    Night-Shift Transport Controller

    • Fleet Control:
    • Manage the daily schedule.
    • Check that a job card has been allocated to work and that the driver has managed to complete the form correctly.
    • Ensure that drivers complete the checklist every morning and afternoon to establish if there are any defaults.
    • Request complaints and difficulties for the day and take the appropriate action.
    • Monitor transport performance against benchmarks by obtaining vehicle exception reports from the tracking department as a means of monitoring drivers’ conduct and vehicle performance such as: speeding, excessive revving or braking, backdoor standing time, yard delays.
    • Take the necessary disciplinary action depending on the particular instance or trend.
    • Build a culture of asset care through counselling discussions with staff particularly drivers.

    • Report daily to the Transport Manager on the trucks, indicating trucks that have been booked off.
    • Providing reasons for why trucks are not being utilized and when they are expected to be in use again.
    • Reconcile hired trucks kilometres to supplier shipments on a daily basis.
    • Ensure that all vehicles are used optimally by checking that they are loaded to capacity and updated on the Vehicle Utilization Report on a daily basis.
    • Complete a daily Casuals Report indicating reasons why ad hoc casuals were used.
    • Monitor daily overtime on the BLICK system for drivers, van assistants, supervisors and refrigeration mechanics.

    Manage routes ensuring that time is optimised for each delivery.

    Workshop Control:

    • Consolidate the total cost allocated to each truck on a monthly basis in a Cost Analysis Report.
    • Demonstrate in report format the reasons for additional expenditure on vehicles.
    • Keep diesel documents on a daily basis ensuring that they are reconciled to the Vector statement(s).
    • Check and sign off overtime for the workshop.
    • Monitor workshop service standards.
    • Identify anomalies in service quality and stocks levels and investigate further.
    • Complete a combined summary of all monthly expenditure and report on a cost analysis sheet ensuring that it balances to the income statement.
    • Ensure that all traffic fines have been paid correctly and promptly.
    • Complete the Weekly Repair Template reflecting time and reasons spent on trucks booked off.
    • Control fuel-related issues regarding hired and vector trucks.
    • Complete the daily checklists for the workshop.

    Vehicle Maintenance:

    • Oversee cleaning team to ensure that trucks are cleaned on a regular basis.
    • Ensure that vehicles are sent for a service in line with the vehicle maintenance plan.
    • Provide a consolidated accident/incident report to the Logistics Manager.
    • Conduct a daily visual check on all vehicles, ensuring compliance with AARTO and organisational safety requirements.
    • Record faults on the vehicle inspection sheet and ensure that the necessary vehicle repairs are completed timeously.

    Risk Control:

    • Investigate hijacking incidents to establish whether or not they are genuine cases.
    • Handle proxy responsibilities.
    • Ensure that all drivers have valid driver’s license and PDP’s.
    • Health and Safety Compliance:
    • Ensure all staff members comply with health and safety requirements.
    • Investigate and report on all injuries on duty (IOD’s).
    • Implement safe working procedures.
    • Manage the outsourced washing of trucks and check all chemicals used are approved.

    Dispatch Controller - Bushbuckridge

    The role will report into the Distribution Manager and will be based in Bushbuckridge.

    This position exists to manage and maintain the outbound and returns processes and outbound team thereby ensuring that productivity and performance are maximized. To manage and maintain the fleet and the transport team in the depot, thereby ensuring that productivity and performance are maximized.

    Minimum Requirements

    • A 3-year National Diploma in Logistics, Fleet and/or Warehouse Management is required.
    • Must have a valid Code EB drivers' license.
    • A minimum of 3 years’ management experience in a similar environment is required.
    • Computer literacy (MS Office & Excel) is required.
    • Knowledge:

    SAP system.

    Smartech system.

    • Outbound and stock handling processes.
    • Transport and road regulations and bylaws.

    Duties & Responsibilities

    Outbound Control:

    • Control the functions of outbound, ensuring products are dispatched out to customer.
    • Ensure that all orders leave the site correctly snake loaded onto the trucks.
    • Ensure all dispatch paperwork, including but not limited to delivery notes and invoices, has been completed accurately and accompanies stock delivery.
    • Manage and facilitate the process of loading goods onto trucks and ensure all products are sealed for transport to customers.
    • Track outbound damage trends related to Logistics, establish root causes and take the appropriate corrective action.
    • Liaise with the production team and align transport and customer expectations accordingly.

    Customer Liaison:

    • Communicate and resolve issues regarding damaged stock, stock shortages or wrong stock.
    • Check that details on dispatch paperwork accurately align with customer orders.
    • Notify customers should any transport incident have a likely impact on delivery.
    • Loading Bay and Office Maintenance Management:
    • Manage and monitor the condition of the loading bay and office ensuring that: It is kept clean.
    • Damaged goods are dealt with according to SOP.
    • Areas in need of attention are reported to the Maintenance Manager via the job card system
    • All forklifts are in good working condition and issues are reported to the Supply Planning Manager.

    Fleet Control:

    Execute the daily schedule.

    • Check that a job card has been allocated to work and that the driver has managed to complete the form correctly.
    • Ensure that drivers complete the checklist every morning and afternoon to establish if there are any defaults.
    • Request complaints and difficulties for the day and take the appropriate action.
    • Track transport performance against benchmarks by means of monitoring: 1. Backdoor standing time. 2. Yard delays. 3. Truck turnaround time.

    Compliance Control:

    • Ensure that all truck and forklift drivers have valid driver’s licences and PDP’s.
    • Ensure appropriate PPE and uniforms are worn at all times.
    • Ensure all staff members comply with health and safety requirements.
    • Investigate and report on all injuries on duty (IOD’s).
    • Implement safe working procedures.
    • Ensure staff understand and comply with the standards set by ISO 22 000 and HACCP (if applicable).
    • Certify that a new load always enters a clean and well maintained vehicle highlighting the significance of quality.

    Health and Safety Compliance:

    • Schedule and manage washing of trucks, either internally or externally, and check all chemicals used are approved.
    • Ensure trucks are fumigated as and when required, either internally or externally.
    • Ensure Internal parties (Drivers) or Outsourced parties (washing or fumigation) have received sufficient training and follow the correct washing and/or fumigation procedures.
    • Ensure all outsourced washing and/or fumigation records are kept and are approved by the Supply Planning Manager.

    Security Control:

    • Investigate hijacking incidents to establish whether or not they are genuine cases.
    • Ensure that all stock leaves the site with proper documentation.
    • Ensure where cameras are used that they are focused on risk areas such as entry and exit points and on staff activity/inactivity to ensure staff are appropriately utilised and productive.
    • Ensure that security staff check staff leaving for tea and lunch breaks.
    • Ensure all trucks leaving the site are sealed and recorded in a seal register.

    Team Supervision:

    • Complete a daily Report indicating reasons why ad hoc casuals and or overtime were used and obtain approval from Supply Planning Manager prior to arranging casuals and or overtime.
    • Train staff on the Standard Operating Procedures that serve to guide their approach to work.

    Transport Manager (Bushbuckridge)

    Our Talent Team is looking for a talented Transport Manager with impressive technical and leadership abilities to join our Baking Division based in Bushbuckridge.

    In this role, you'll be responsible to ensure:

    •  the effective management of workshop, depots and staff.  
    •  the total fleet is maintained and in good running condition and within budget constraints. 
    • effective management of fuel costs and to ensure that vehicles are running at the desire optimum cost.

    Minimum Requirements

    • Completed Matric (or equivalent N4 qualification) + Trade-tested Diesel Technician.
    • An additional Diploma in Road Transport Management is preferred.
    • Valid Code EB drivers' licence.
    • 5+ years' experience on trucks (Mechanical, Auto Electrical, Cooling Systems).
    • 5+ years' experience in Workshop Management. 
    • Experience in an FMCG warehouse and distribution environment is highly advantageous.
    • Must have proven leadership abilities.

    Duties & Responsibilities

    • Oversee transport, workshop departments and all depots, including assets and employees.
    • Plan and implement budgets.
    • Plan, Motivate and Implement Capex Replacements.
    • Maintain Vehicle Asset Register.
    • Source cost effective parts and ensure on time delivery by securing reliable suppliers.
    • Develop relationship with suppliers.
    • Daily recon of all fuel used to ensure that target fuel usage margins are maintained. 
    • Ensure all fleet is available for Distribution on a daily basis including spare units.
    • Schedule all services, repairs and ensure parts availability.
    • Maintain and repair fleet as per OEM and FOSA requirements.
    • Downtime to be kept to a minimum. (Daily VOR).
    • Verify and sign off job cards in the workshop including depots.
    • Manage performance of employees with emphasis on productivity, efficiency, and service delivery – using RCL Standards of Leadership and Our Way.
    • Train, motivate, coach, and mentor transport and workshop employees 
    • Identify and implement continuous improvement opportunities in the workshop.
    • Weekly Depot visits to ensure that standards are maintained at Depot level.
    • Ensure the workshop staff adhere to all Health and Safety Regulations.
    • Ensure that workshop staff adhere to all Food Safety Regulations.
    • Oversee and approve of all parts purchased in the workshop.
    • Monitor fuel reserves and order timeously. 
    • Weekly and Monthly Fuel Recons to balance all diesel stock for month end.
    • Ensure stores stock availability, complete monthly stock take and balancing. 
    • Ensure that all drivers adhere to the National Road Traffic act, daily monitoring of speeding, misuse of any company vehicles and implement corrective action.
    • Monthly tyre surveys and sourcing of the correct tyre application for the fleet.
    • Monthly tyre reconciliation and document tyre performance and utilization on the total fleet including depots.
    • Ensure recapped stock is returned to Workshop Stores.
    • Daily and Monthly Tyre Stock Recons.
    • Monthly Tyre scrapping reports.
    • Daily and Weekly Vehicle inspections.
    • Ensure that all vehicle checklists are complete and closed out.

    • Requesting parts and necessary equipment for the purpose of inventory maintenance to ensure the availability of required items and tools to complete the necessary installation and repair work.
    • Coordinate with administration and other staff to complete the ongoing project or work order efficiently.
    • Report work progress to the Engineering Manager in order to take appropriate and necessary action in case there are some issues or delay in work.
    • Maintain tools and equipment to ensure the availability of necessary thing for safe operating conditions.
    • Performing other related duties assigned by the Line Manager
    • Some duties of the job include connecting refrigeration lines and electrical power sources, handling hazardous refrigerant substances, and checking systems and equipment for leaks.

    Conduct daily checks on all refrigeration systems and equipment as detailed in Preventative Maintenance Schedule.
