    Admissions Officer (Fixed-Term Contract)

    About the Job

    • The IIE Varsity College, Durban North Campus has vacancy for Admissions Officer (Fixed-Term Contract).

    Duties and Responsibilities:
    Student Application & Admission Administration

    • Collaborates with the campus student retention team to generate student admissions related queries.
    • Follows up with the campus retention team for missing student information in order to finalise all student admissions related queries.
    • Evaluates retention student admissions against the set admission criteria and communicates the appropriate outcomes.
    • Liaises with the campus student retention team during the admission evaluation process and assessment.
    • Escalates admission queries to the Head: Academic Operations and Office of the Registrar.
    • Liaises with the campus Head Academic Operations on the management of declined admissions and expired offers
    • Documents management and issuance of appropriate admission letters.
    • Checks the accuracy of student registration information on an ongoing basis.
    • Determines conditions associated with student admission and follows up on them thereafter.

    Student Registration Administration

    • Checks pre-requisites for 1st to 2nd semester

    • Manages the de-registration and transfer process, and thereafter sends to the Finance department for processing.
    • Follows up on all outstanding documentation and uploads once received.
    • Determines eligibility and captures academic credits.
    • Determines maximum completion time and credit load of such registrations.
    • Maintains student records for a period of two years before archiving the files in line with the data retention regulations of the Protection of Personal Information Act (PoPIA).
    • Ensures compliance of international students from a document perspective.
    • Adheres to the International Student Policy/Procedure and updates reports regularly.
    • Re-audits all registration files in line with the stipulated deadline for the Data Verification Report.
    • Re-audits all registration files by the audit date stipulated by the Registrar, this would include the following; the South African Qualifications Authority SAQA / Universities South Africa (USAF)
    • Tracks and monitors conditional admissions throughout the year such as one module outstanding / Universities South Africa (USAF) / South African Qualifications Authority (SAQA) / combined.
    • Adheres to the established service level agreements of the registration process set by the organisation.
    • Drafts letters for current students such as; Proof of Registration letters, Travel letters, Medical Aid letters, Universities South Africa (USAF) letters, SAQA letters and Study Permit letters.

    Graduation

    • Determines eligibility of the graduation cohort including late graduation.
      Identifies and advises of any students who are graduating outside of their graduation year (exception graduates).
    • Verifies student information for prospective graduates.
    • Prepares Short Learning Programme (SLP) and Corporate offer certificates.
    • Checks the graduation programme for sign off.

    Ticket Management

    • Processes assigned admission, graduation & registration tickets received face-to-face or via Assist

    Reports & Other

    • Facilitates continuous communication with the Assistant Registrar in relation to resolving the Registrar related queries

    Customer Relations Officer

    About the Job

    • The IIE's Varsity College, Online Centre has a vacancy for a Customer Relations Officer.

    Duties and Responsibilities:

    Student Registration and Academic Progression Counselling

    • Facilitates consultations with students in cases where a change is required to their current registration contract, e.g. this could be for students who wish for change within a semester, between semesters or between years of study.
    • Works with the Admission Centre to understand different curriculum scenarios (e.g. phase-in and phase-out- etc.) to ensure that student is advised correctly.
    • Supports the Senior Customer Relations Officer, Campus Deputy Head and/ or Head: Academic Operations in co-ordinating the Retention Project on campus.

    Active Student Engagement and Support

    • Delivers the academic orientation programme for new and returning students by means of the programme information presentations, on overview of pertinent academic policies and an outline of the academic year etc.
    • Manage the dissemination of policies (new and updates).
    • Attends informal meet-and-greet sessions with students.
    • Facilitates Programme information Session by addressing students in class with a view to explain and induction the students on the relevant policies and procedures that govern student life on campus.

    Assistant Accountant (Fixed-Term Contract)

    Job Purpose : 

    • The Assistant Accountant is accountable for processing, recording, updating and reconciling information in compliance with established company policies and procedures as well as analysing expenditures against budget. In addition to this, to provide accounting support to the campus Finance staff.

    Duties and Responsibilities:
    Business Partnering

    • Tracks and monitors the budget throughout the year and reports on variances - discussions documented for control & audit purposes
    • Assists in the drawing up of the yearly budget - normally twice a year.

    Fixed assets

    • Manages the asset register and updates in the event of movements and changes
    • Conducts monthly audit of assets across the campus including working with it and facilities for tagging of assets.
    • Monitors the compliance to registration process including documentation, process adherence and accuracy.
    • Runs the monthly depreciation journal.
    • Updates and reconciles fixed asset register reconciliations - gives the new asset numbers to the relevant departments to ensure asset are tagged - weekly / monthly

    Debtors

    • Co-ordinates the correct allocation of bank statements to student accounts.

    • Co-ordinates that all adjustments and refunds are captured as well correct supporting documentation is obtained.

    Student Administration

    • Oversees the administration process related to cancellations, deregistration's and appeals of student contracts continuously. This includes weekly participation on relevant committee.

    General Accounting

    Student Wellness Manager

    About the Job

    • The IIE's Varsity College, Online Centre has a vacancy for a Student Wellness Manager.
    • NB. This position may be based at either our Cape Town, Durban, Waterfall (Midrand) or Nelson Mandela Bay Online Centre.

    Duties and Responsibilities:

    Provision of Student Emotional and Mental Counselling Services

    • Creates a plan and schedule of provision of counselling services for online students.
    • Provides individual primary counselling to online students and explores/determines if the student should be referred for secondary counselling and unpacks their referral options if necessary. (Up to 6 Sessions)
    • Provides students with coping techniques and skills to deal with life challenges.
    • Receives the signed consent form from the student prior to the commencement of the first counselling session.
    • Establishes trustworthy relationships with students that opens channels for communication between the online campus and students.
    • Facilitates online group counselling for students with similar problems.
    • Establishes a referral network for secondary online / face to face (geographical location) counselling.
    • Presents online Life Skills workshops or video's addressing relevant social and emotional problems experienced by students.
    • Creates online awareness campaigns surrounding universal social and emotional issues and sources relevant guest speakers to add value to the campaign to address students on relevant topics.

    Creation, Rollout and Monitoring of Awareness Campaigns

    • Sets a bi-annual calendar for the following semester of online awareness campaigns based on the reports compiled throughout the previous year.
    • Identifies key themes, suggests possible campaigns and plans awareness campaigns accordingly.
    • Designs, develops, implements and manages awareness programmes and campaigns and includes and oversees the VC Online Student Representatives assisting with marketing and creating awareness for these campaigns

    • Facilitates engagements between the students and community engagement programmes at IIE Campuses.
    • Plans the bi-annual community engagement and awareness campaign calendar.

    • Establishes and maintains relationships with contact campuses Student Wellness Managers / Wellness Navigators.
    • Empowers students with a sense of citizenship and encourages online students to get involved in activities for community projects in their area (e.g. by donating blood in their area, donation drives and outreach projects).
    • Educates students about giving back and sharing the skills with them to do so.

    Student Wellness and Administration Reporting

    • Provides annual registration process support specifically relating to the marketing of the Student Wellness Manager services.

    Academic Support Co-ordinator

    Duties and Responsibilities:
    Academic Department Administrative Support

    • Responsible for the day-to-day administrative support of the campus Academic department across all School/s and Programmes.
    • Compiles, manages and distributes academic reports as required by the campus Academic School/s.

    • Provides the Junior HR Officer: Academic with the relevant lecturing schedules needed to complete the Independent Contractor Agreements and associated Annexures.
    • First level approver for the Lecturer timesheet approval process on the HR & Payroll system.
    • Collaborates with the campus Capacity Planning and Timetabling Centre to fulfil the timesheet approval function and checks timeously in the HR & Payroll system on a monthly basis in accordance with the payroll deadlines to ensure that all timesheets are approved, and any queries are resolved before the timesheet cut off date.
    • Works with Academic Department in driving lecturer evaluations.

    • Ensures that all new Lectures are invited to attend the semester Induction and Orientation sessions as part of their onboarding process.
    • Updates the campus tracker to identify Lecturer gaps and work with the Head: Academic to put recruitment plans in place to fill the identified gaps accordingly, and proactively identifies a pool of suitable Lecturer candidates across the relevant Programmes as part of an ongoing recruitment drive.

    Campus Synergy & General

    • Assists the Academic department with the co-ordination of academic workshops when required.
    • Assists in identifying at risk students and lecturers and directs academic related queries to the relevant Academic team member timeously.
    • Liaises with the Capacity Planning and Timetabling Centre and manages the Programme Managers class visit schedule on a regular basis.

    Duties and Responsibilities:
    Administration/Collections/Handovers

    • Assist with all campus administrative related activities: (Bank Statements/ Credits/Journals/ Refunds/Billing/Debit Orders/Banking/Bursaries/Cancellations/Transfers/Payment Plans).
    • Processing adjustments on D365.
    • Attend to additional ad-hoc administrative duties as and when required.

    Minimum Education Requirements:

    • Minimum of Matric, Credit management/Book keeping/Financial qualification advantageous

    Minimum Work Experience Requirements:

    • Minimum of 2 years credit control experience
