    Operations Coordinator - South Africa

    Job purpose:

    Responsible for sourcing and procuring, identifying, selecting, and onboarding suppliers, ensuring stock availability based on sales requirements, and demand planning. Managing supplier relationships, optimizing margins, and leading negotiations to formulate optimal purchasing strategies. The scope of this role will involve managing relationships with 3PL Partners. The incumbent must be based in Gauteng province of South Africa.

    N.B: An assignment may form part of the selection process.

    Job Responsibilities:

    • Monitor and evaluate the performance of 3PL partners, ensuring service levels meet Kasha standards.
    • Onboard new suppliers, conducting audits or assessments to assess their capabilities, financial stability, and compliance with industry standards.
    • Oversee the procurement process to secure high-quality products for Kasha at competitive prices, strategically enhancing profit margins.
    • Develop and nurture strong relationships with suppliers and vendors.
    • Coordinate with suppliers to ensure timely delivery and resolve any issues or non-compliance with contractual agreements.
    • Regularly evaluate supplier performance and take corrective actions as needed.
    • Manage the creation, approval, and processing of purchase orders within MS Dynamics, ensuring accuracy and compliance with company policies and procedures.
    • Onboard new suppliers, conducting audits or assessments to assess their capabilities, financial stability, and compliance with industry standards.
    • Maintain optimal inventory levels to prevent stockouts and disruptions.
    • Expand product categories and stay updated on market trends, price fluctuations, and industry developments influencing procurement decisions.
    • Oversee inbound processes in collaboration with warehousing partners and ensure in-store stock accuracy through cycle counts and related activities.
    • Coordinate activities performed by logistics partners and handle cancellations and returns efficiently.
    • Manage outbound order processes, including order assignment, route planning, order tracking, payment reconciliation, and coordination with third-party riders.

    Role Requirements:

    • Bachelor's Degree/Diploma in Logistics, Supply Chain Management, or a related field.
    • Have a proven high level of understanding and experience in procurement and supply chain and last-mile delivery of consumer and pharma products. 3-7 years of experience.
    • In-depth knowledge of supply chain analytics and KPI measurement.
    • Hands-on experience using Microsoft Dynamics and Excel is a plus and an aptitude to learn new software and systems.
    • Exceptional analytical and strong time-management skills.

    Mass Market Agents Coordinator

    Job Purpose:

    To lead all Agent Consumer business programs and ensure that the agency network is well organized and managed appropriately and all operations are running accordingly. Be a qualified thought leader on how to best serve lower-income women with health products, personal care products, and information in both urban and rural areas.

    Role Responsibilities:

    • Communication and coordination of agent activities, commission structure, and any running promotions.
    • Keep track of active and inactive agents to ensure the network is healthy towards a target.
    • Respond to agents’ inquiries and concerns and organize monthly agent meetings/training.
    • Provide all required materials to agents in the field whenever needed such as price lists, badges, catalogs, Jackets, and masks.
    • Compile and report on key learnings on Agent Consumer and Bulk segment activities monthly.
    • Monitor out-of-stock products and in-stock products for effective communication.
    • Update products related to the individual location on USSD and activate agents on Sarucore and Dynamics.
    • Update monthly agent lists with active and inactive agents.
    • Ensure timely payment of agents’ commissions and update commission structures on the go.
    • Add and update mass-market products on the USSD backend.
    • Monitoring and Evaluation of agent performance weekly and monthly (active & non-active).
    • Ensure the effectiveness of new programs introduced by planning strategies to achieve program outcomes for example referral programs, different incentives etc.
    • Working with the health team on agent community impact and health care programs.
    • Work with the supply chain on improving delivery logistics for the agent consumer and the segment with the supply chain team.

    Role Requirements:

    • Minimum education of a Bachelor’s Degree in Business, Economics, or any other related field.
    • A minimum of 3-5 years of experience within customer care, business management or field supervisory roles.
    • Aptitude for technology and strong analytical skills.
    • Experience using software and tools, including MS Dynamics.
    • Strong interpersonal skills with the ability to work as part of a team.
    • Strong negotiation skills to acquire the best prices for customers with the ability to multi-task and generate quality work.

    Responsible Pharmacist & Quality Assurance Manager

    Job purpose:

    Responsible for Kasha complying with the South Africa Health Products Regulatory Authority (SAHPRA) and South African Pharmacy Council (SAPC). The incumbent will also set up Kasha Retail and Wholesale Pharmacy in South Africa, and develop & execute its strategies for success. Act as the single point of contact (SPOC) for internal and external business partners with regard to:

    • Communication with South African Regulatory Authorities (BoH) i.e. SAHPRA, SAPC, and the National Department of Health (NDoH). 
    • Country/Region Specific Quality System mandates and requirements. 
    • The cross-functional team where technical expertise is needed.

    Job Responsibilities:

    • To lead Quality Systems for Kasha Technologies products marketed in South Africa.
    • Be the leadership team contact for Quality Assurance and Quality related issues for Kasha Technologies in South Africa. Timely sharing of quality issues that have a potential impact on compliance or business with key stakeholders as per corporate policies and procedures.
    • To define, update, and maintain the Quality Management System of the Kasha Technologies South Africa Subsidiary, to meet internal and external compliance for Kasha Technologies products marketed in the Country/Region.
    • Reporting & documenting quality events/deviations. Ensure timely closure of documentation completion with respect to investigation and action plan.
    • To secure implementation of local legislation and Kasha Technologies global standards.
    • Maintain Country/Region Scorecard, lead review & quality improvement plans. 
    • Report/escalate non-conformities and departures from quality agreements in a timely manner.
    • To approve & review requests for changes and provide needed inputs to change controls for country-specific changes. 
    • To review organizational requirements with respect to resources.
    • Ensure that an adequate Quality Training System is in place for the Kasha team in the Country/Region.
    • To proactively cooperate with internal and external interfaces (cross-functional and cross-region) for issues that impact across regions and multi-functional discussions.
    • To assure inspection readiness of regional quality activities and coordinate and follow-up health authority inspections.
    • Timely Response to any BoH/FDA query letters to ensure action plan compliance.
    • Ensure pharmacovigilance systems & interfaces are aligned within the Country/Region. Have oversight over the agreement with the third-party provider performing this function and ensure that regulatory updates are shared with service providers by the person(s) responsible for local regulatory intelligence.
    • Support Initiatives & launches in the Country/Region by providing inputs on technical readiness, validation /document reviews (where required), compliance, and quality risk.
    • Coordinate and review Quality Technical Agreements (QATAs) for all outsourced activities relating to the manufacture, storage, and distribution of all Kasha Technologies products for domestic and export markets, as applicable.
    • Manage the process of release for sale for Kasha Technologies Finished Products in accordance with corporate standards and local regulatory requirements. 
    • Lead customer and consumer complaints data review, investigation, and action plan as applicable.
    • Ensure conformance to applicable Good Distribution Practices rules in the region (warehousing and both incoming and outgoing shipments) with customers and third-party logistics (3PL) (as applicable).
    • Work closely with 3PL QA, and Kasha Product Supply Team by supporting external and internal audit & action plans in addition to capability building & coaching when needed.
    • Ensure audit readiness and manage audit action plan closure for any site audits performed by corporate QA auditors or external regulators.
    • Be part of the decision-making processes affecting pharmacy business and quality assurance.
    • Supervise over any pharmacists appointed by the owner of the Pharmacy and ensure that the Pharmacy Owner complies with the conditions of ownership and registration of a pharmacy business.
    • Appointment of a Deputy Responsible Pharmacist (DRP) and ensuring delegation of authority to the DRP in his/her absence.
    • Compile/maintain letters for all activities delegated, initiate and coordinate all product recall activities as per corporate standards and local regulatory requirements.
    • Ensure that ongoing product stability and product quality reviews are being done.
    • Management and coaching of all direct reports, ensuring that they only perform acts that fall in line with the scope of practice of the pharmacy.

    Role Requirements:

    •  Bachelor of Pharmacy Degree from an accredited institution. A master's degree in a health-related field will be an added advantage.
    • Minimum of 5 years experience in the Pharma Industry as a Responsible Pharmacist. 
    • Must be licensed to work as a pharmacist and be in good standing with the South African Pharmacy Council.
    • Minimum 5 years of related experience within the field of Quality Assurance and GMP/GDP-regulated environment.
    • Demonstrated working knowledge of principles and concepts of Quality Assurance, including those related to risk-based approach and quality design (ICH Q8 – Q12).
    • Demonstrate a working knowledge of ISO 9001, ISO 13485, and PICS guidelines.
    • Adequate technical expertise in the Quality Assurance field.
    • Good Interpersonal skills including good leadership and communication skills with internal and external business partners.

    • Making regularly scheduled sales calls and in-person contact with all major customers within your region.
    • Developing and maintaining amicable win-win relationships with key customers; building goodwill with customers and exerting all effort to help businesses resell KASHA’s products prior to their expiry date.
    • Maintaining accurate and neat records, files, and reports on customers and their geographic scope of business, and sales opportunities as well as staying abreast and reporting on competitor activity within the agent geography.
    • Maximize customer satisfaction by expediting the resolution of customer problems, complaints, and queries about credit terms, products, prices, and availability.
    • Submitting all required reports such as market-intelligent, with a key focus on pricing, product changes, promotions, NPDs, and new players in the trade.

    Role Requirements:

    • Bachelor’s degree/Diploma in business, marketing, economics, or a related field.
    • 3-5 years of proven work experience preferably in a fast-moving consumer goods company with some tangible experience in team (agent) management.
    • In-depth knowledge of Sales and KPI measurement.
    • High competency levels in Microsoft applications including Word, Excel, and Outlook. Experience with an ERP such as Dynamics is an advance.
