    Debtors Controller - Johannesburg

    PRIMARY PURPOSE OF THIS JOB:

    • Responsible for the full Debtors and Cashbook function, which included administration, liaising with internal and external clients as well as suppliers & Financial Institutions.

    KEY RESULT AREAS:

    Debtors control and maintenance

    • Receives documentation from relevant departments and journalism revenues/corrections and payments
    • Compiles journals with detailed documentation on a monthly/daily basis
    • Forwards journals for authorization
    • Communicates and negotiates with fee payers, lawyers, staff and departments to recover outstanding monies and arrange payment
    • Prepares letters and communicates with Administrators on a monthly basis

    Financial Administrator

    Key Responsibilities:

    • Finance administration.
    • Procurement and accounts payable.
    • Accurate expense allocations.

    Responsibilities include:

    Administrative and Organizational Responsibilities

    • Ensure compliance with financial processes, procedures, policies and internal control requirements.
    • Provide administrative support to campus bursars, school principals, staff and brand finance.
    • Assist with GSS, brand and campus related finance admin projects or tasks as and when required.
    • Plan and schedule procurement, aligned to school requirements and deliverables.
    • Track and manage the schools procurement requests from receipt of request to payment of supplier.
    • Assist credit controller with any parent files required in preparing pre-legal files.

    Procurement and Accounts Payable

    • Submit procurement requests daily on the centralised procurement portal, within 24 hours of receipt from staff member.
    • Provide the correct GL / procurement category for all requests and the correct fixed asset group for fixed assets.
    • Ensure that detailed information is submitted to procurement for all requests including ISBN numbers, goods/job specifications where relevant.
    • Submit Capex quotes to bursar within 24 hours of receipt from procurement.
    • Upload approved Capex applications on the procurement portal.
    • Compile new vendor applications and existing vendor changes and load these onto SharePoint.
    • Generate purchase orders for purchases under R10 000 in one month, procurement card reloads and instore purchases, eg. Makro and Builders Warehouse.
    • Email purchase orders generated by school to the staff/suppliers and request them to email Invoices directly to [email protected].
    • Process staff expense claims according to the Advtech approval framework.
    • Follow up on all purchase orders older than 24 hours which have not been approved and confirmed.
    • Delivery notes to be requested from the relevant staff members for all confirmed purchase orders older than 1 week.
    • GRV (goods receipt) purchase orders raised at a school level upon delivery/receipt of goods or services.
    • Upload delivery notes or confirmation of service received on the procurement portal for all purchase orders generated by GSS.
    • Process returns to vendors when required with approval from brand accountant.
    • GSS SharePoint account payable queries to be reviewed daily and resolved timeously.
    • Assist in resolving procurement agent queries within 24 hours.
    • Forward payment queries from staff and suppliers to GSS and follow up until resolved.
    • Provide campus bursar with accruals listing for all goods or services which have been received.
    • Plan and track procurement to avoid urgent payments, if unavoidable ensure that all required documents are submitted to the bursar in one pack for approval.

    Education: 

    • Minimum Grade 12

    Experience: 

    • 3- 5 years in a similar finance administrator role.
    • Accounting knowledge preferable.

    Campus Bursar

    Key Purpose Statement

    • To provide financial support and assistance to staff and parents at school level and to act as the conduit between the School and Group Shared Services in providing input and resolving queries.
    • To assist the School Principal/s with budgetary control and expense management at the School/s.
    • Responsibilities will include payroll checking and input, petty cash, purchase orders, banking and student number tracking and reconciliation.
    • Incumbent is the primary liaison, at the School/ Campus for Payroll, Shared Services and Brand and Group Finance.

    Qualification: 

    • Bachelor Commerce in Accounting

    Experience: 

    • 3 to 5 years

    Principal Accountabilities:

    Payroll:

    • Checks monthly payroll (Dummy and Final) and liaises with GSS & Principal to resolve anomalies. Reconciling payrolls.
    • Handles individual staff payslip and/or tax queries and resolves these timeously liasing with GSS to do so
    • Set up of IC and other contract staff for employment and payment
    • Reviews timesheets submitted by ICs and fixed term contractors before despatching these to GSS

    School Budget Control:

    • Reviews budget monitors expenditure against actual POs daily, weekly, and monthly and advises staff and Principal/s accordingly.
    • Prepares annual budget/s for the schools and submits same for approval.
    • Ensures inclusion and planning for special campus events, tours, and recoveries where appropriate.
    • Provide financial support and assistance to Principals as required.
    • Handle queries from Schools and respond timeously.
    • Prepares variance analysis for Principal and BFM, monthly.
    • Advise Principal on trade-offs and opportunities.

    Debtors/Receivables:

    • Meets with walk -in parents to resolve billing and account queries.
    • Manages and controls use of the credit card machine at the school, liaising with service provider as necessary to resolve problems (where applicable).
    • Manages and controls staff and other bursary applications.
    • Provides student numbers as and when required and reconciles these.
    • Manages sibling accounts ensuring relevant discounts are applied.
    • Collate, capture, and check ad hoc billing for music, bus and aftercare, books, and levies.
    • Receives arrears/ outstanding debts and advises GSS accordingly.
    • Prepares Acknowledgement of Debt and gets required signatures.
    • Responsible for all AODs and reviewing the status of these.
    • Manages and monitors repayment plans.
    • Reconciles student billing.

    Cash Management:

    • Receives cheque and card payments and receipts these.
    •  
    • Updates cash control schedule / receipt register, monthly 
    • Counting and banking cash received for fees
    • Manages and controls petty cash on campus (petty card cashless.
    • Banks payments received for ad hoc purchases and events.
    • Monitors and controls purchases on Procurement card and reconciles these.
    • Prepare input for statutory returns for Brand/Brands timeously.

    Creditors / Payables:

    • Places Purchase orders (POs) with suppliers after obtaining the necessary quotes and approvals for general items, books, special events etc.
    • Monitors outstanding POs and follows up with suppliers.
    • Receives invoices, checks these, and gets them signed off for submission to GSS.
    • Checks expense claims and ensures these are approved before submitting them for payment.
    • Monitors and reports on monthly charges eg. rent, water, rates, electricity, photo copies etc.

    • Reports to the Executive Head who is accountable for all the schools in a location, across all phases. Ensures that agreed targets are attained and that the optimal student experience is delivered. Provides leadership to staff, students and parents.

    Principal Accountabilities

    Management of School Operations

    • Oversees the efficient operation of the school by controlling and monitoring financial expenditure and reducing waste. Provides input to the Executive Head regarding the budget for the school, signs off on expenditure for their school
    • Implements agreed plans ensuring that staff understand these and are fully committed to achieving them
    • Responsible for providing a learning environment for students and teachers which is conducive to academic excellence. Identifies opportunities for improvement and advises the Executive Head accordingly
    • Monitors Key Performance Indicators/ Targets (Student Retention, Exits, Rollovers etc) for the school and reports back to Executive Head, regularly. Makes recommendations where improvement is required
    • Ensures compliance with the requisite policies, procedures and legislation, at the school. Takes corrective action in the event of any breaches by either staff or students
    • Collaborates with other Heads of School, at the location, to ensure Brand alignment as well as to solve problems and troubleshoot

    Implementation of Academic Strategy

    • Implements the academic policies and procedures for all academic and support staff in the school. Communicates new policies to school staff and monitors their application
    • Oversees Curriculum development across all subjects and grades in the school to ensure alignment with all relevant requirements viz. IEB, IB, IIE, DOE etc
    • Ensures the timetabling process occurs timeously and is implemented efficiently with the optimal utilization of resources, in the school
    • Monitors the academic performance of the school and the teachers. Identifies areas requiring attention, makes recommendations and implements the necessary action to improve teaching and learning and student achievement
    • Ensures curriculums are adhered to and students receive tuition in keeping with agreed standards and the Brand promise
    • Monitors the assessment of students ensuring proper processes are followed and any risks identified and reported timeously to the Executive Head
    • Oversees the Reporting process to students/ parents/ governing bodies ensuring standards are met and returns submitted timeously

     Customer Relationship Management

    • Participates in planned Marketing/ Sales events and/or communications for the school including open days, parents’ evenings, sporting events, newsletters etc
    • Builds relationships with parents to position the school favourably. Meets with parents/ parent bodies, as necessary, to resolve individual / group complaints/ issues
    • Engages in word-of-mouth marketing for the school
    • Ensures the registration and the graduation processes run efficiently and are aligned with Brand requirements
    • Monitors student experience at the school, meeting with students/ teachers, student bodies, as required, to identify issues and resolve problems timeously

     Human Resource Management

    • Leads and motivates their staff to achieve agreed objectives. Promotes their growth and development and drives mentorship
    • Ensures that academic and support staff roles and responsibilities are clarified, performance objectives are set and that staff are adequately trained
    • Manages and conducts performance reviews in accordance with policies and procedures and takes corrective action where necessary. Provides continuous feedback to direct reports
    • Provides input to Executive Head in respect of a succession plan for the school
    • Manages Human Resources in accordance with policies, procedures and legal requirements
    • Monitors staff labour turnover in the school, investigating reasons for leaving and ensuring issues are resolved appropriately
    • Drives the achievement of Employment Equity targets, in the school
    • Ensures understanding of and adherence to the Code of Conduct

    Health & Safety Management

    • Ensures school property, including buildings and office equipment are functional and properly maintained and that a safe environment prevails at the school
    • Assumes overall responsibility for the health, safety and welfare of students, staff and visitors, at the school. Identifies risks and potential hazards and reports these to Executive Head and follows up on their resolution

    Academic Administrator

    Key Purpose Statement

    • The Academic Administrator role was created to provide professional and efficient assistance.

    Key Responsibilities:

    ADvTECH IT Liaison for academic system support and School academic system support 
       
    ADvTECH IT liaison for upgrades, manual and query support to the community.

    • Distribution of new manuals and communication of system changes and upgrades.
    • Assist with ADvTECH IT queries, responses and changes to be made.
    • Liaise with ADvTECH IT, Toddle and/or TEAMS on system changes and complete change request forms.
    • Assist with parent queries and profile changes and updates related to STASY, Toddle and TEAMS or any other management systems used by Crawford International.
    • Communication system upgrades and changes made by ADvTECH IT to the learning community.
    • Assist parent with all STASY, Toddle and/or TEAMS queries and access control if required. (including assisting parents with updating personal details and accessing of reporting etc. )
    • Resetting passwords for parents on all management systems and do applications for of students whose parents are unable to do the application online.
    • Creation and maintenance of student access rights to the academic platforms
    • Keeping a log of system issues and system change requests.

    User role allocation, implementation and training of new and current users.

    • Allocation of users according to their roles.
    • Training of new staff, parent and student users.
    • Support to the learning community on using STASY, Toddle, TEAMS and/or any other management systems used by Crawford International.

    Academic platforms (STASY, Toddle, Teams, Advlearn) - Academic reporting (for students & Brands) 

    Create and maintain student academic master data

    • At the beginning of the year, academic set up of classes, subject and option allocation.
    • Checking teacher and student subject allocation and access to input information.
    • After new year re-registrations or new registrations, share the list of new registrations for music, aftercare and boarding with the relevant school staff (Music Department, aftercare supervisor).
    • Accurately capture the student’s academic records
    • At time of the student registration, ensure that certified copies from the previous schools’ report and academic record, where applicable, are kept in the student file.
    • Responsible for leading the Annual STASY/Management system rollover and re-registration process of all classes, subjects and school-related academic activities. It includes the update of the students statuses in STASY at year-end (grade promotion, deactivating of graduated grade 12, deactivation of students identified for Non-reenrolment in the new year)

    Set up of markbooks and assessment events

    • STASY - setting up of Markbooks/Assessment Events
    • Allocation of weighting according to management plans.
    • STASY - Printing of Draft teacher comments.
    • STASY -  Printing of Draft reports for the SMT.

    Input of assessment criteria, outcomes and indicators required per school

    • STASY - Input of Marks/Indicators/ Effort Indicators.
    • STASY - Input of teacher comments and subject comments.
    • STASY – Assist with inputting of marks for certain teachers and deputies

     Attending to all reporting tasks and queries related to the administration of reports

    • STASY -  Printing of Draft teacher reports 
    • Toddle/TEAMS – Set up, data input and reporting on all student management systems.
    • STASY – Printing of subject ranking for Deputies.
    • STASY – Printing of improvement ranking for Deputies.
    • STASY - Printing of ranking reports for Awards and celebration assemblies.

      Target-driven reporting and data analysis as required

    • Pulling Data from all management systems used to navigate teaching and learning.  
    • Look at stats of various data and report back on the trends occurring that are of value to Crawford International academics.
    • STASY/other management systems - Check in and communicate with deputies regarding failures and subject related concerns.
    • Gather data from all management systems, analyse it and then translate the results into non-technical language for the academic learning community to understand.
    • Using diagnostic, descriptive, predictive and prescriptive analytics to feed back to the Academic department in order to bring increasing value to Crawford International, as a Brand.

    STASY – maintenance of student and parent record and registrations Other School Administration Duties 

    • Assist students and parents for changes and updating of documents and personal details on all SIS and Academic systems.
    • Capture in STASY the aftercare and music registrations which were not recorded at the beginning of the year at the time of re-registration or registrations
    • Weekly: based on report downloaded from the Crawford website registration portal
    • Ad hoc: based on requests from parents or school staff
    • Responsible for deactivating students in STASY timeously when they leave the school, based on the student withdrawal form received from the CXO and Bursar
    • Responsible for capturing in STASY the de-registrations of aftercare/music services
    • Manage student transfers to and from Crawford (identify them in STASY and prepare documentation pack for transfers)
    • Performing physical verification on a monthly basis of the accuracy of the STASY list of registrations (“bums on seat count” to be compared to STASY) for tuition, music, aftercare and boarding. If STASY data corrections are highlighted, perform the registration/de-registration corrections in STASY.
    • Report on STASY data accuracy twice a month to the Brand Office. Attend to Brand Office queries relating to STASY data accuracy (including discrepancy vs Bums on seat verification)
    • Responsible for putting students flagged for financial suspensions on financial hold in STASY

     Other School Administration Duties

    • School newsletters and communication
    • Newsletters on Sway for parents – design and distribution.
    • Support and work closely with your campus CXO and AC to support and ensure the flow of communication to the entire learning community from both a                          marketing and academic perspective.
    • Communication to parents regarding school communication via email and sms.
    • Communication to staff on system changes, updated manuals and any other form of comms from STASY, Toddle and/or TEAMS
    • Academic awards and certificates

    • Plans, prepares, and delivers lesson to meet the needs of individuals or groups of students to enable them to progress incrementally as part of personalised learning journey.
    • Enriches teaching and learning by including frequent use of technology and additional learning resources as well as engaging and stimulating teaching practices.

    • Assesses and monitors student performance and progress, using data driven decision making and defines next steps in the personalised learning journey. Integrates this information into future planning
    • Undertakes, teaching and learning assessment of students as required by Academics Department as well as Crawford International assessment expectations.
    • Provides feedback and reports for parents, Principals and/or Academics Department throughout the year (STASY, Inquiry Units, Other)
    • Participates in the moderation and standardisation process, of formal assessments. Participate in team marking, clusters and IEB moderation as required.

    Student Behaviour Management (15%)

    • Manages student behaviour in the classroom by establishing rules, essential agreements, and procedures as expected behaviours.
    • Maintains good philosophy of Crawfordology to guide expectations of behaviour.
    • Promotes personal, social, physical, and emotional well-being of individual students, groups of students, through mentorship program.
    • Provides guidance and advice to students and parents.
    • Identifies students who may have barriers to learning and inform the appropriate people to initiate the next steps to support individual progress.

    School Brand Ambassadorship (15%)

    • Knows and demonstrates the Crawford International mission statement and embracing Crawford International DNA.
    • Acts as a role model with regard to work ethic, attitude and professionalism, Embracing the Crawford DNA
    • Assists with additional offerings, duties and extra murals, assemblies and other events taking place across Crawford International. Attends and supports a range of school activities and events.
    • Promotes the good reputation of the school and Brand both internally and externally and is readily available to market the school at Open Days, exhibitions etc.
    • Contributes to the professional development of new teachers and student teachers/ interns as required.
    • Submits articles for newsletters or School magazine/ yearbook, social media or other as requested.
    • Monitors student multiform and maintains agreed expectations with respect to the Crawford International code of conduct.

    Administration (10%)

    • Assists with plans for excursions by obtaining all the relevant approvals and liaises with service providers, where required.
    • Keeps and maintains the Crawford International learning space as dynamic learning environment.
    • Where applicable, conduct inventory activities of consumables and equipment to monitor usage and ensure availability as required. Repair and replacement
