    Administration Clerk - JHB

    Qualifications & Experience

    • Matric/ Grade 12 or equivalent
    • Certificate/ Diploma in a Logistics related field will be an added advantage
    • 3+ years warehouse experience
    • 3+ years experience in administration
    • CargoWise experience
    • SAP experience will be an added advantage.

    Key Responsibilities

    PLANNING STOCK MANAGEMENT 

    • Stock management of system and controls within the Supply Chain Facility to ensure an efficient and effective operation 
    • Capture all incoming cargo and check delivery notes.  
    • Advise supervisor and Stock Controller of any discrepancies.  
    • Input of information onto BIL and Customer systems.
    • Check Theoretical stock availability on customer systems. 
    • Reconcile Theoretical stocks to physical stock takes as and when required. 
    • Report discrepancies to your superior and stock controller immeditately and seek resolution.  
    • Report any damages noticed in the warehouse to your superior.   
    • Report any short dated/expired stock to your superior and clients when noticed in the warehouse or on stock counts. 
    • Supply operations with picking instructions timeously as per BIL delivery Schedule, to ensure good customer service. 
    • Check picking instructions prior to invoicing to ensure that the correct stock is dispatched on the correct date.
    • Responsible for the reception, general office administration, invoicing and any other reasonable administration function                                
    • that is required by an BIL client. 
    • Make sure all POD's coming in from your clients and invoices going out to stores are accounted for, scanned on edocs and managed.                     Need to be able to resolve Client queries timeously and efficiently  

    PLANNING DISTRIBUTION MANAGMENT                                

    • Orders - release orders on the Clients system and capture orders on BIL system                                 
    • Hand orders  to warehouse for picking, print invoices on Clients system, capture dispatches on BIL and client system.                                
    • Receipts - capture receipts on Clients system / BIL system. If damages, Photo's taken and forwarded o client.                                
    • Returns - capture good stock returned on Clients and BIL systems and ensure that it is correct return reason codes are                                
    • captured on the systems the same day Pod is returned.                                
    • Maintain correct flow of documentation with regards to incoming and outgoing cargo.                                
    • Ensure all administration of documentation is photocopied/scanned and filed.                                
    • Compile reports, spreadsheets for Management & Clients.                                
    • Prepare client charge out and forward to admin controller for processing. 
    • Follow up on any outstanding invoices and orders             

    VERBAL COMMUNICATION 

    • Liaise with 3rd party depot (Supply Chain) regarding issues, procedures and solving problems. 
    • Liaise with the sales agents on a daily basis regarding orders, deliveries and stores problems.
    • Liaise with the Warehouse on a daily basis regarding orders/deliveries or any queries             
    • Liaise with Clients on a daily basis regarding issues and solving problems.

    Storeman Operator - Kempton Park

    Qualifications & Experience

    • Matric/ Grade 12 or equivalent.
    • 2+ years experience within a cargo handling environment.
    • 2+ years exposure to operational administration procedures.
    • Computers / use of scanners expperience (CargoWise and SAP)
    • 3+ years years of warehousing experience.

    Key Responsibilities

    Operational Activities

    • Ensure all bins visited are Cycle counted to ensure stock Accuracy    
    • Ensure to Count all areas under BIL control as per SLA and KPI requirements    
    • Ensure daily stock receipted and binned is confirmed in the WMS systems correctly    
    • Ensure all daily receipts are Quality Checked ensuring 100% correctness prior to binning    
    • Expedite any urgent materials to the bins to ensure the stock is available soonest for production    
    • Inspect cargo counted for damages and report if necessary    
    • Bin cargo using hand held scanners after ensuring the labels on stock correlate to the actual material received    
    • Ensure that the daily exception report is checked to ensure all receipts were binned as planned    
    • Rectify any mistakes and highlight these to the receiving team as and when required    
    • Assist with securing cargo by strapping and shrink-wrapping where necessary for safe storage    
    • Safely operate reach truck and forklift as and when required    
    • Ensure that handling of all client stock is done with reasonable care    
    • Ensure that all scheduled daily tasks are completed prior to leaving    
    • Ensure that all generated documents correlate to the receipted loads at all times     
    • Quality check all receipted cargo for accuracy and correctness against system generated documents    
    • Always complete any operational documents with a Name. Signature, Date and Time stamp    
    • Help in other departments within the team when your area of responsibility is not busy to alleviate pressure    
    • Ensure that hazardous materials are stored in accordance to the compatibility charts    
    • Ensure that all inbound materials are packaged in a manner so that they will not be damaged in transit / storage    
    • Identify and quarantine expired stock and report to quality control for a decision to be made    
    • Ensure all stock queries are investigated and closed out as soon as possible    

    General Duties

    • Ensure a clear understanding of the companies SOP's as well as policies.
    • Report any non conformances to Facility Manager.
    • Ensure that near misses are completed and escalated to management.
    • Involvement and participation in BIL WAREHOUSING EC as well as the compliance to OSH Act.

    • In care of clients cargo as well as company assets at all times.
    • Attend Daily/Weekly Blue Area Talks - Staff Meetings

    Adjustment Controller (Customs) - Port Elizabeth Office

    Qualifications & Experience

    • Matric Certificate essential
    • Tertiary education would be advantageous
    • A minimum of four years customs Bill of Entry experience
    • Strong, proven experience in an Customs environment

    Imports Client Controller (Ocean) FTC - Durban

    QUALIFICATIONS: 

    • Matric                                
    • Relevant tertiary qualification essential

    EXPERIANCE: 

    • 3-5 previous experience as a Import Client Controller (ocean) with a good working knowledge of all aspects of Seafreight Imports, including the Customs and related EDI processes.                                
    • An excellent track record of effective communication skills                      

    Key Responsibilities 

    • Ensure close liaison with clients in that they are continually updated via telephonic or electronic feedback on the status of their clearances and delivery of their cargo.  All pertinent instructions and key issues to be noted on the file in our operating system.                    
    • Responsible for regular client meetings, visits and telephonic discussions to solicite information on clients business requirements, understanding client's potential problem areas, investigating competitor activities and networking and provide written feedback to management.        
    • Ensure close liaison and correspondence with Vessel Agents, groupage agents, TNPA, TPT, TFR, unpack depots, container parks and other third parties as and when necessary.            
    • Regular monitoring of the status of import shipments ( BIL tools) to ensure that there are no delays in the import clearance process - from time of receipt of documents to time of invoicing and delivery.   Where delays occur, ensure the necessary action is undertaken to resolve with applicable department or staff concerned and the reasons for the delays are noted on BIL operating system.             
    • To back up the Senior, Client Controllers and Assistant Controllers as required.            
    • Ensure all billing, reconciliation, debtors, financial queries and other import related queries are actioned as per KPI's.                                 
    • Ensure import and KPI's process are followed to limit BIL risk and impact to reputation.        
    • Vetting of Client documents and requesting for any outstanding or specific document/s that will be required for the smooth clearance of the shipment through the relevant authorities        
    • Ensure strict adherence to intergrated management system (IMS)                
    • Working closely with internal stakeholders to ensure file management is closed off.         
    • Handling and following up on disputes until resolved.                         
    • Notify neccessarry stakeholders and process claims within time frames.                 
    • Zero tolerance of write off's                                
    • Log all incident reports using SmartSure tool.

    Export controller - Durban

    Qualifications & Experience

    • QUALIFICATION: Matric and a relevant shipping qualification would be an advantage.
    • EXPERIENCE: Atleast 2-5 years experience in similar role.

    Key Responsibilities

    • Taking control and ownership of the shipment and keeping the client pro-actively informed of the progress of the export shipments.              
    • Booking of cargo, monitoring of stacks / loading dates and ETD's and keeping clients updated accordingly. Arranging movement of cargo from shipper to Port.                
    • Complete registration to invoicing on Cargo wise, including all processing and any rework required (VOC)                                
    • Controlling the movement of the shipment from customs clearance to transport arrangements, movements of cargo to export stack, providing the client with draft documentation, tracking vessel sailing, release of bills of lading from the shipping line, sending final pre-alerts to the client, invoicing of the file and forwarding the billing invoice to the clients. Controlling of shipment based on Inco terms.     
    • Recording of all shipment activities on Cargo-wise system.(Milestones, detailed Clients and internal notes)                                
    • QC all pro-forma invoices, ensure that all supplier invoices are received and captured, and all disbursements are recovered . 
    • Managing and minimising the risk to the company and the client in regard to the shipments. ( This includes, but is not limited to , taking proactive action to ensure that any delays to shipments are minimised).                                 
    • Understanding and effectively looking after the clients’ interests and keeping them informed of all relevant developments in the industry and the impact these will have on the client’s business.
    • Ability to learn Clients IT systems if interface is required.                
    • Establishing and strengthening good business relationship with clients through regular visits,  in conjunction with the Export Manager    
    • Recording of all client visits / calls on Cargo - wise.                
    • Resolving queries on Invoices with the clients as well as with Credit Control and  Accounts personnel ( this will include resolving and finalizing WIPS and accruals)                                

    Skills & Competencies

    SKILLS:

    • Strong Interpersonal and communication skills are critical in this position.
    • Ability to make decisions , deal with Complex and adverse shipping problems as they arise, to take corrective and preventative actions to avoid a recurrence.         
    • Fluency in written and spoken English.                                
    • Attention to detail coupled with the ability to get the work done by other role players within and outside the department.                                
    • Time management / prioritizing of shipments / tasks    
    • Email etiquette                                
    • A driver’s licence will be an advantage.    

    COMPETENCIES:

    • A thorough knowledge of export procedures ( these procedures include but not limited to customs, harbour authorise, shipping lines, banking, DCCI, Government departments, etc)

    • Basic SARS knowledge is advantageous
