    Alumni Coordinator

    Duties

    • The Alumni Coordinator works under the supervision of the Public Diplomacy Officer for Public Engagement (PDO/PE) or Public Affairs Officer (PAO) designee and has no supervisory responsibilities.  Designs, develops, and coordinates the Mission's alumni programs for Emerging Voices (EV) exchange alumni, including youth and communities that are not included in traditional U.S. diplomatic engagement, such as civil society groups and populations vulnerable to extremist appeals; and for Established Opinion Leaders (EOL) exchange alumni, including influential individuals and institutions such as think tanks, labor institutions.  Working with Public Diplomacy (PD) colleagues in Pretoria and at three constituent posts, designs and implements a broad range of activities to maintain contact with alumni of all EV and EOL activities and initiatives.  Develops a country-wide strategy for engaging alumni over the long-term, and, based on alumni insights and feedback, analyzes the effectiveness of various exchange programs based on Mission goals and recommends adjustments accordingly.

    Qualifications and Evaluations
    Requirements:

    EXPERIENCE:

    •  A minimum of three years of progressively responsible experience in a multicultural, or multinational work environment is required, with project management, marketing, public relations, communication, or education duties as a significant part of the job is required.

    OR

    • In the absence of University degree in International Relations, Communications, Marketing, American Studies, Intercultural/Multicultural Studies, a minimum of six (6) years of progressively responsible experience in a multicultural, or multinational work environment is required, with project management, marketing, public relations, communication, or education duties as a significant part of the job is required

    Communication/Interpersonal Skills:

    •  Must have excellent customer relations, interpersonal and cross-cultural communication  skills, and be able to identify and engage key figures critical to shaping local public opinion.  Must have excellent written and oral communication skills, including public speaking, interviewing for evaluation purposes, writing reports,  and contributing material for publication in English and local language; must be tailor communications to fit formal and informal situations and different ethnic, religious and linguistic cultures.  Must be able to brief on a variety of issues and interpret informally between English and local language for public programs.

    Management Skill:  

    • Strong management skills are required, including the ability to develop and oversee project budgets.  Must be able to negotiate agreements with partner institutions and manage their fulfillment.

    Technical Skills:  

    • Good keyboarding and data entry skills and excellent familiarity with electronic discovery tools, in particular the internet, and standard information retrieval practices and procedures are required.  Thorough, detailed knowledge of various computer software programs, specifically Microsoft Word, Excel, graphic design and photo editing software, and PD-specific software, database, and reporting tools is required.  Must be able to use social media and mobile platforms, photo and video sharing sites, podcast creation, and basic photo and video tools.  Must have good numerical skills to develop and manage projects and monitor grant budgets; must be able to develop descriptive statistical analysis of target audience segments and impact of eV exchanges activities and initiatives.

    General Maintenance Worker

    Duties

    • This position provides semi-skilled assistance to the technical level positions by performing general maintenance and upkeep work at the U.S. Consulate compound buildings, residences and grounds. Responsibilities include the performance of non-skilled manual tasks such as demolition work, painting, minor plumbing work, general cleanup of common areas, minor masonry work to include filling gaps on walls, laying of bricks, repairing and/or installing locks and other minor preventative maintenance tasks. This position would assist other Facility Management trades positions such as the Electrical Maintenance Worker, HVAC Maintenance Worker, or the Carpentry Maintenance Worker. 

    Qualifications and Evaluations
    Requirements:

    • EXPERIENCE: A minimum of two (2) years of experience in the repair and maintenance of plumbing and commercial or industrial HVAC/mechanical heating, refrigeration, and ventilation systems.  

    Education Requirements:

    • EDUCATION: Completion of secondary school is required.

    • LANGUAGE: English level II (Limited knowledge) Reading/Writing/Speaking is required.

    JOB KNOWLEDGE:

    • Maintenance and repair of standard plumbing methods and techniques including potable water and sewage systems, motor starters, thermostats, humidistats, variable frequency drive (VFD) motors and controllers, gravity dampers, sensors, furnaces, hydronic systems, hot water heaters and heat pumps, evaporators and condensers.
    • Minor component replacement of motors, valves, pumps, controls and recording instruments

    • Reading and working from sketches, architectural and engineering drawings, specifications, schematics, one-line diagrams and material lists

    Established Opinion Leaders Specialist (Senior Advisor)

    Duties

    • The Established Opinion Leaders (EOL) Specialist works under the direct supervision of the Public Diplomacy Officer for Established Opinion Leaders (PDO/EOL) or Public Affairs Officer (PAO) designee.  The job holder is the leading locally employed (LE) Staff strategist/advisor responsible for Embassy Pretoria's Public Diplomacy (PD) engagement with Established Opinion Leaders, including influential individuals and institutions such as think tanks, professional associations, civil society organizations, prominent academics, and professional training institutions.  Designs and recommends PD strategies to support for U.S. policy.  Plans, develops, coordinates, oversees, and evaluates projects and initiatives to engage EOL subject matter experts and the audiences they reach.

    Qualifications and Evaluations
    Requirements:

    • EXPERIENCE:  This position requires at least  four years of progressively responsible experience in a multilingual, multicultural, multinational, academic,  or governmental work environment, with communications, project management, or education duties as a significant part of the job.  Experience with audience or market analysis, marketing, and managing social media content is required.  At least one additional year of supervisory experience is required.

    Education Requirements:

    • University degree in political science, economics, international relations, communications, American Studies or local equivalent is required.

    Evaluations:

    • Detailed knowledge of U.S. foreign policy objectives and American interests in South Africa as they relate to the influence of EOL institutions and experts; understanding of U.S. historical, political, economic, social and cultural forces that shape U.S. foreign policy, comprehensive knowledge of the policy focus and positions of EOL institutions and experts; and understanding of ethnic, socioeconomic cultural and linguistic factors and the influence of religious, cultural, and educational institutions in shaping South African perceptions of the United States are all required.
    • Knowledge of marketing techniques, market analysis and analytics, and customer service standards in the United States and South Africa; knowledge of trends in audience engagement; understanding of communications in the region and the international information environment as it affects South Africa; detailed knowledge of PD engagement tools, related policies and procedures for each; and knowledge of multiple PD resource streams and regulations are  all required.

    Analytical Skills:  

    • Must have strong analytical skills and the ability to conceptualize how best to use PD tools  to move South African attitudes in positive ways.  Must be able to advise senior Mission leaders of opportunities to promote Mission objectives; and  modify approaches for greatest outcomes.

    Strategic Content & Digital Production Coordinator

    Duties

    • The Strategic Content & Digital Production Coordinator works under the direct supervision of the Strategic Content Coordinator or Consulate General Cape Town Public Affairs Officer (PAO) or PAO designee, and has no supervisory responsibilities. Is responsible for the production of all visual and multimedia elements of Consulate General Cape Town's public engagement, including design, creation, and acquisition of customized visual and multimedia content that is disseminated online, in person, or via traditional broadcast. Creates compelling visual content for all Consulate outreach materials by assessing visual aspects of the South African media environment, public preferences for visual content formats and dissemination channels, and the impact of Consulate visual materials.

    Qualifications and Evaluations
    Requirements:

    • EXPERIENCE:  This position requires a total of at least five years of progressively responsible experience in design, creation, and packaging of visual and multimedia content for digital marketing, advertising, or mass communications purposes, including extensive experience as an advanced end-user of industry-standard desktop and mobile software applications, internet, and related communications technologies and integration of visual content into web content management systems. [Note: candidates considered for this position must provide a portfolio of original work demonstrating visual and multimedia design competence.

    Security Escort

    Duties

    • Under supervision of Facility Maintenance Manager, the position serves as the Embassy Contractor Escort in all classified and Controlled Access Area (CAA) areas, where contractors and Local Employed Staff (LE Staff) need to perform assigned duties. The Security Escort develops his/her daily work schedules for all security escorting duties within the Chancery. Serves as a security escort for the Locally Employed Staff (LE Staff) and local contractors while they are working in CAA spaces. Monitors work to ensure security is not compromised. Randomly select materials to be used and ensures that nothing is brought into the Controlled Access Area (CAA) that could compromise the integrity of the area. Coordinates the work schedules between the concerned offices.

    • EXPERIENCE:  One year of prior experience in an office, administrative, management, or security-related position is required.

    Office Management Assistant (Access Control Coordinator)

    Duties

    • The incumbent performs clerical and administrative duties as the Access Control Coordinator for the Regional Security Office (RSO) pertaining to a multitude of RSO administrative items, both classified and unclassified. The

    Management Administrative Clerk

    Duties

    • Under the direct supervision of Supervisory General Services Assistant, the incumbent oversees inventory aspects for all expendable and non-expendable supplies. Serves as point of contact for all residential and non-residential work orders and utility bills. Provides general administrative support to Management Section, initiates procurement requests, and monitors customer service requests.  Escorts vendors and contractors as required.  Oversees event setup at the Consul General Residence and all other events of U.S. Government required. 

    Inventory/Warehouse Receiving and Distributing:      25 % OF TIME

     

    • Incumbent oversees all aspects of USG inventory - receiving, tracking and disbursing all expendable and certain non-expendable supplies, manages the annual inventory process - including accounting for IRM assets as required.  Incumbent ensures that all inventory is catalogued and recorded in ILMS and processes disposal of inventory through approved guidelines.  Incumbent replenishes and maintains all welcome kits - ensures that each residence has the appropriate stock.  Incumbent manages and maintains the management section's office supplies,  Consulate's cleaning supplies, Consulate's ICASS supply room; and inventory at CGR warehouse and storage units.

    Procurements:      25 % OF TIME 

     

    • Incumbent initiates procurements in ARIBA, reconciles invoices, and assists sections with procurement requests.  Incumbent serves as POC for all residential and non-residential utility billings such as water, sewer, telephone, electric, internet, and DSTV invoices, and liaises with contractors and vendors to start and terminate services, and reconciles invoices and , payments.  Incumbent reviews utility invoices and approves them in MIPs.  Other duties also include overseeing preventive maintenance and billing of all office copiers, scanners and shredders.

    Facilities Work Orders:    20 % OF TIME 

     

    • Incumbent receives work guidance from the Facility Supervisor and ensures that all residential and non-residential work orders are logged and properly resolved.  Incumbent contacts vendors, U.S. direct hire officers, and their family members regarding housing issues and schedules preventive maintenance and repair work with contractors as needed.

    Customer Service:  20 % OF TIME

     

    • Incumbent serves as the Mission's POC for customer service standards and oversees Post's MyServices/eService system and customer service requests.  Incumbent monitors and ensures all requests for Post ICASS services are entered into the MyServices system and will be the sole POC for the Department's Collaborative Management Initiative (CMI).  Incumbent tracks Durban's use of the MyServices platform and ensures that there are no incomplete service requests.  Incumbent works with all sections to resolve internal work flow and processes delays and will also be the POC for U.S. direct hires and family members to resolve any management services bottle necks. 

    Event Set-up and Escorting:     10 % OF TIME

    • Incumbent will be the POC for all event set up at the Consulate and also oversees event setup at the CGR, and other USG events as needed.  Incumbent assists in transporting supplies and equipment and works with the Consulate cleaning crew to ensure event at the Consulate are fully prepared.  Incumbent serves as the first point of contact for the cleaning crew regarding supplies, work schedules etc.
    • Incumbent serves as a security escort for vendors, contractors and visitors to all residential and non-residential buildings as required.    
    • Incumbent serves as backup timekeeper for payroll, switch board operator when necessary, and driver when necessary.
