    Project Manager - Centurion

    Job purpose

    • Role is assigned to manage and execute projects within SENSORS IPT which is part of HENSODLT Optronics product groups. 
    • The Project Manager is responsible for the management and development of solution(s) that meets the customer requirements (internal & external to HOSA) within the rapidly changing business environment with very high- technical content and risks. 
    • The key project constraints, on schedule, cost and the end technical quality, is usually very challenging and requires dynamic adaption by the project manager. 
    • The role will amongst other key performance areas entail: requirement management, resource requirements and contracting budgeting, scope management and stakeholders management to realizing the technical solutions within the SENSORS product group.

    Qualifications

    • BSc. Engineering qualification (Electronics or Mechanical preferable), with a Masters Qualification an added advantage but not a pre-requisite, and /or an Equivalent Technical Qualification in engineering
    • Formal qualification in Project Management or an equivalent and/or relevant project management experience.

    Ideal experience required

    • Minimum 4-8 years’ experience in project management & Leadership role of new technology and product
    • development, with Operational, Customer, and technical management experience respectively;
    • Minimum 0-4 years’ experience in opto-mechanical technology or similar military or commercial high technologies
    • Managing and leading complex projects with high technical content, preferably within the military and defence industry or similar;
    • Very good knowledge and experience in Scope management and Stakeholder Management (internal & external) and Communication, respectively within a dynamic environment;
    • Application of ERP SAP and MS Office project, as tools for effective project management planning and monitoring;
    • Knowledge of various project management methodologies, techniques, and processes when adopted to complex
    • projects and or high technology manufacturing environments.
    • Some Fair to Good understanding and application of the various military standards, such as RTCA DO 178C,
    • ARP4754A, DO-254, MIL-810/ DO160, AS9145 , MIL-STD 461, REACH and ROHS compliance etc. to ensure
    • compliance of products to military requirements;
    • Key technical skills and experience required
    • How to approach and manage new product development including research and development wherein management
    • content entails to some degree optical/mechanical and electronics, and software design content which must be coordinated;
    • A good and effective knowledge of project planning techniques and tools, and how this applies to the project
    • lifecycle of new product development and techniques during controlling outputs of the project;
    • Business analysis, modeling of requirements, and management thereof of contracting SOW (statement of work) to project teams;
    • Application of Systems engineering and systems thinking when applied to new product development;
    • Understanding of total cost of ownership/lifecycle of the product, including product industrialisation;
    • Leading and management experience of teams within a diverse environment consisting of highly skilled engineers, operators, technicians and general staff.

    Key responsibility areas
    PROJECT PLANNING/ CONTRACTUAL MANAGEMENT:

    • Ensure planning of projects is done effectively based on agreed statement of work with relevant key resources designated to the SENSORS IPT or those that support the IPT's mandate,
    • Create and maintain a Project Management structure and team, including cash-flow and/or delivery forecast.
    • Ensure a RISK Log is defined with mitigation actions and integrated into the planning execution
    • Assist the IPT Head and IPT Programme and IPT Chief Systems Engineer to:
    • Ensure the requirements are formally agreed and documented within technical, schedule and budget
    • constraints.
    • Contract scope of work and any applicable changes in order to deliver of the said requirements to ensure successful execution and minimal impact of project’s objectives
    • Ensure effective transfer of changes within the execution environment to production and or customer support, without negatively impacting the schedule, technical, and cost objectives, unless agreed.
    • Monitor and control project execution status through proper controls and engagement with line managers (within applicable functional areas).
    • Deliver contracted defined milestones allocated to the Project Team to the end-user or internal client (as may be applicable) as a total solution.

    PROJECT CONTROL / MONITORING:

    • Manage and lead the key development project following the full-life cycle development and engineering
    • principles within HENSLODT Optronics.
    • Maintain and monitor monthly milestones forecast and expenditure forecast of the project against defined scope of work (SOWs).
    • Ensure and review regularly the project scope outputs with the project team and IPT where applicable.
    • Establish a framework together with system engineers to achieve product acceptance requirements of the
    • product under development, and ensure a plan is in place to achieve this objective.
    • Serve as a bridge between internal customers and SENSORS IPT to ensure alignment of goals and milestones
    • that support the attainment of the requirement of the end customer through proactive and Regularly
    • communication to all applicable stakeholders including project team and support functions..
    • Report internally on execution status of project in terms of financial, technical, schedule and risks status to the IPT, and other relevant stakeholders within the business.

    LEADERSHIP

    • Facilitate the creation of a conducive environment for the development team to achieve project’s goals.
    • Team building and motivation of the project team(s).
    • Where applicable, Mentor and coach team members across the wider team spectrum, as part of managing
    • outputs.
    • Demonstrate good leadership skills and engagement continuously to the project teams, Executive Management,
    • IPT Head and the other relevant internal (and external (where applicable)) stakeholders.

    TECHNICAL MANAGEMENT:

    • Develop and manifest a good fundamental understanding of SENSORS technology and products.
    • Understand the systems engineering framework (adopted within HOSA) and be able to influence the design and technical solutions during project execution.
    • Ensure that the project team has proper gate reviews that facilitate decision making and help improve the
    • technical integrity of the end product.
    • Engage with the technical team, engineers, procurement, product industrialisation and external suppliers to ensure the technical solution proposed meets the customer expectations, within the technical function,
    • maintainability, usability, and overall produceability.
    • Ensure proper contracting and engagement with the quality representatives, IPTs to agree the technical scope of work related to EN9145, and other products quality requirements to ensure EN9100 compliance as may be applicable.

    Administrator - Centurion

    Job purpose

    • To provide administrative and secretarial support to the Senior Managers and the Staff to ensure the efficient operationof the department.

    Qualifications

    • Matric;
    • Relevant Secretarial Diploma/Certificate or equivalent qualification;

    Ideal experience required

    • 5 -10 years’ experience as a PA or Secretary;

    Key technical skills and experience required

    • Knowledge and able to organize local and international accommodation, flights and registration at conferences and congresses;
    • Computer literate with MS Packages i.e., Word, PowerPoint, Excel, Outlook;
    • Ability to write routine reports and correspondence;
    • Ability to listen and take minutes from meetings and departmental staff sessions;
    • Ability to communicate effectively with internal and external customers;
    • Able to make critical decisions under pressure, while maintaining high level of professionalism;
    • Proven track record of ability to manage time and work with strict deadlines;
    • Able to manage departmental costs and expense register;
    • Ability to work systematically according to SAP system;
    • Working knowledge of timesheets and Jarrison system;
    • Up to date with operational systems and maintain relevant Q: DRIVE info.

    Key responsibility areas
    PERSONAL ASSISTANT SUPPORT

    • Provide administrative and secretarial support to the Senior/Line Managers within the department;
    • Screening of all telephone calls, enquiries and requests and handle them when appropriate;
    • Organizing, maintaining diaries and making appointments;
    • Organizing and attending meetings, and ensuring that the manager is well prepared for meetings;
    • Dealing with correspondence and writing letters, taking dictation and minutes.
    • Producing documents, briefing papers, reports and presentations;
    • Standing in for managers and delegate work in their absence;
    • Control of budgets and expenditure on refreshments, stationary and other items in the department;
    • Manage leave administration in accordance with the company leave policy and provide appropriate feedback and reports to Executive Manager and Line Managers.
    • Obtain inputs from the dept regarding external visitors and updating of Visitors Report on an ongoing basis.

    SECRETARIAL SUPPORT

    • Dealing with incoming email, faxes and post and ensuring the appropriate handling, filing and distribution;
    • Typing of documents, minutes, reports and presentations for dept staff;
    • Establishing and maintaining office/filing system to deal efficiently with paper flow and organising and storing paperwork, documents and computer-based information;
    • Liaising with clients, suppliers and other staff;
    • Processing of claim and expense forms, leave forms and other departmental forms;
    • Assist other Divisional Secretaries where and when required;
    • Documenting secretarial and administrative processes and systems to ensure consistent operations and allow continued functioning of the department in the event of absence;

    MEETINGS AND FUNCTIONS

    • Scheduling and diarising of department and client meetings.
    • Sending out reminders in advance of upcoming meetings and events and ensuring attendance of compulsory meetings and events.
    • Welcoming and attending to visitors.
    • Arrange refreshments for meetings and functions as required.

    TRAVEL

    • Arrange local and international accommodation, flights and registration at conferences and congresses.
    • Coordinate and manage Visa Applications.
    • Coordinate and manage Foreign Exchange advances.
    • Follow up on Forex advances and ensure that expense claims are received at least 7 days after the traveller has returned from his/her trip.
    • Maintain a travel and expense register.
    • Coordinate and manage overseas travelling by means of providing sufficient information and all relevant documentation.
    • Continued coordination and confirmation of bookings made.
    • Coordinate and liaise with travel agent requests.
    • Furnish traveller with travel documents well in advance.
    • Assist with travel claims where appropriate.

    TIME KEEPING AND ADMINISTRATION

    • Ensuring all weekly timesheets are received and loaded onto the system;
    • Ensuring timekeeping data base is updated reflecting personnel movement and attendance and in line with the overtime and leave applications;
    • Providing weekly and monthly reports on leave, timesheet and timekeeping status and general expenditure.

    GENERAL

    • Adhere to company policies and disciplinary code;
    • Acts within limits of authority and where possible, ensures department members do the same;
    • Execute any reasonable ad hoc duty given by Senior Managers;
    • Suggests areas for improvement in internal processes along with possible solutions;
    • Cooperate and add value where possible in the Business Unit;
    • Booking retrospective hours on SAP;
    • Booking hours on SAP for non-SAP users;
    • Assist with Department licence renewals (Software Licences).
