    Operational Accounting Coordinator

    Responsibilities

    • Ensure that all shipment files are maintained in terms of invoice and cost control; leading to profitable and well-maintained job file management.
    • Ensure that all files handed over for invoicing are quality checked against the Cost Sheet and invoiced accurately within required customer service levels and payment terms.
    • Ensure that all supplier invoicing is quality checked and processed within supplier payment deadline. 
    • Ensure that all income and cost accruals are properly captured on TMS and support in updating accruals as applicable.
    • Monitor and follow up on un-invoiced shipments for billing.
    • Monitor and coordinate the dispute resolutions.

    Qualifications

    • Minimum of Matric / Senior Certificate or equivalent
    • 3 - 5 years’ experience in administration

    Customer Service Controller Air Imports

    Responsibilities

    • Coordinate and control Air freight shipments from collection to final delivery ensuring all shipments are processed and controlled in accordance internal and external requirements including Customs, attending to plant inspector, Port Health and State Vet releases.
    • Maintain full accountability for service delivery in accordance with customer requirements with expected delivery date required versus flight bookings available.
    • Arrange forwarding as per client shipping instruction, and liaise with foreign offices to expedite shipments in accordance with agreed SOP’s.
    • Ensure that all shipments are continuously monitored until final delivery or hand-over.
    • Monitor shipments for registration status from central team, and arrange Customs clearing instructions from client where required.
    • Monitor shipment status and review shipments that are Customs cleared in order to prepare for retrieval of cargo from the assigned carrier and prepare for delivery to client.
    • Invoicing - Ensure that the correct cost and income accruals are raised on the shipment file and that an Income/Cost reconciliation sheet is prepared in time for the customer invoice to be generated by Central teams.
    • Optimise freight processes, performance and data quality through the updating of the Event Control on Procars and ensure a high level of adherence to procedures and assist with the implementation of any improvements as and when required.
    • Proactively interact with clients and Schenker global network and provide visible support and information in response to enquiries and queries pertaining to shipment movement, customs queries, updating and submission of client tracking and status reports and KPI’s whilst ensuring complete and timeous close out hereof.
    • Ensure that all activities in the area of responsibility are compliant with company specific regulations.
    • Facilitate a seamless and smooth service delivery by assisting clients with any technical matters and documentary requirements related to Air Imports.

    Qualifications

    • NCFF (NQF 3/4), FIATA diploma advantageous.
    • Comprehensive knowledge of the forwarding and clearing industry, Incoterms and regulatory requirements both local and international.
    • 5 years’ experience in Air freight forwarding services.

    Business Development Executive Airfreight

    Responsibilities

    • Business Development: Identify and prospect for potential clients in South Africa for airfreight. This involves conducting market research, attending industry events, leveraging personal networks, and using various sales techniques to generate leads and new business opportunities.
    • Pipeline Management:  Proactively build a robust sales pipeline by identifying and engaging potential clients within Johannesburg.
    • Sales Presentations and Proposals: Prepare and deliver sales presentations, proposals, and quotations to prospective clients, showcasing DB Schenker's services, capabilities, and value proposition. Tailor presentations to address specific client needs and highlight competitive advantages. Negotiate pricing and contractual terms to secure new business.
    • New Business Implementation:  Document SOP between customers and DB Schenker to effectively implement new business secured across DB Schenker services.
    • Collaboration with Internal Teams: Work closely with internal teams, such as operations, pricing, and customer service, to ensure seamless execution of services and meet client expectations. Collaborate with the operations team to develop tailored logistics solutions for clients and provide accurate information on shipment status, timelines, and delivery updates.
    • Market Analysis and Reporting: Stay updated on market trends, competitors, and industry developments, providing insights and recommendations to the management team. Generate regular reports on sales activities, pipeline, and revenue forecasts, ensuring accurate tracking of sales performance.
    • Customer Relationship Management (CRM): Utilize CRM systems to manage and track sales activities, maintain client profiles, document interactions, and generate reports. Ensure timely and accurate data entry to facilitate effective sales management and reporting.
    • Sales Targets and Performance: Meet and exceed sales targets and objectives set by the company. Regularly review sales performance, identify areas for improvement, and implement strategies to achieve sales growth and profitability.
    • Continuous Learning and Skill Development: Stay updated on industry best practices, logistics trends, and DB Schenker's service offerings. Participate in training programs, workshops, and conference.

    Qualifications

    • Matric certificate essential.
    • Min 3 years sales experience in airfreight.
    • Proven sales track record of successful business development with multinational logistics company.
    • Relevant Bachelor and/ or Master’s degree or equivalent preferred.
    • High degree of work flexibility and willingness to travel. 
    • Outstanding interpersonal competencies, and cultural sensitivity.
    • Ability to drive business success through virtual teams.
    • Strong business acumen, result-focused business approach.
    • Excellent communication, negotiation and presentation skills. 
    • Focus on business development along with strong “selling” ability.

    Customer Management Import Controller

    Responsibilities

     Accountable

    • Run compliance check against corporate and legal guidelines - as applicable.
    • Ensure valid quotation for Consignee is in place.
    • Obtain adequate shipping volume forecast information from Consignee and maintain this information at all times - as applicable.
    • Continuously provide Consignee's volume forecast information to Origin Office - as applicable.
    • Receive pre-shipment status from Origin office and continuously inform Consignee - as applicable.
    • Receive booking request from Consignee or Origin Office - as applicable.
    • Qualify booking request details against customer agreement and current market conditions- as applicable.
    • Verify booking request with Consignee and provide shipping instructions to Origin Office - as applicable.
    • Provide preferred routing instructions to Origin office - as applicable.
    • Request and received the clearing instructions from the consignee and relay to customs team.
    • Request and receive delivery instructions from Consignee and relay to Operations Team.
    • Continues tracking and tracing of shipments from pick up to delivery and relay any delays to the client timeously
    • Request update from/with MDM Team (Master Data Management) as applicable.
    • Follow up on Consignee’s credit issues with Finance Team.
    • Facilitate communication between Customer and Import customs department - as applicable.
    • Receive and/or upload relevant Customer documents to digital archive (ODM) via TANGO - as applicable.
    • Continuously provide demurrage & detention details to Consignee.
    • Evaluate and ensure shipment profitability.
    • Explore upsell opportunities with the Consignee.
    • Generate operational reporting for Customer daily and distribute accordingly
    • Ensure compliance with Customer specific KPI's - as applicable.
    • Verify and create income reserves and cost accruals in TMS (TANGO).
    • Comply with DB Schenker’s internal KPI’s at all times for both Data Quality and invoicing.
    • Ensure timeously distribution of client documents.
