    Administration Controller - Kwa-Zulu Natal

    Your responsibilities will include:

    Office Support

    • Diligently maintain and regularly update vehicle trip-sheets, ensuring precise recording of mileage, fuel consumption, and all maintenance activities for accurate record-keeping.
    • Support operations with timely coordination of vehicle repairs, servicing, and insurance renewals. Ensuring all fuel data is recorded and any anomalies is reported back to operations.
    • Collaborate closely with the finance department to track and manage expenses related to fleet management, ensuring accurate financial records.
    • Oversee the processing of all insurance claims within the stipulated period, ensuring timely resolution and compliance with insurance requirements.
    • Oversee record keeping and reporting of time and attendance, and ensure data is accurate.

    Office Management

    • Ensure a clean, safe, and well-organized working environment through the application of 5S principles in office spaces.
    • Oversee the maintenance and repair of office equipment and furniture to ensure optimal functionality and a conducive work environment.
    • Monitor and replenish office supplies, including stationery and consumables, to support daily operations and maintain efficiency.
    • Coordinate and schedule facility repairs and maintenance, addressing issues promptly to ensure the continuous functionality of office spaces.
    • Manage office access control systems, maintaining accurate records of employee access for security and accountability.
    • Oversee the ordering of employee uniforms and coordinate the quality control of Personal Protective Equipment (PPE) to ensure safety compliance.

    Vendor Management

    • Consistently evaluate vendor performance to ensure adherence to agreed-upon service levels and maintain high-quality standards.
    • Address any vendor-related issues or disputes promptly and efficiently to maintain smooth operations and positive vendor relationships.
    • Conduct vendor payments and efficiently upload and process invoices on the system, ensuring accurate and timely financial transactions.
    • Generate vendor Purchase Orders (POs) on the system and ensure that no invoices are carried over to the next month, maintaining financial accuracy.
    • Ensure the accurate processing of all monthly accruals, including those related to staff, rentals, and fuel expenses.

    Attributes required:

    • Have a detailed understanding of warehouse management systems
    • Problem solving skills required
    • Possess excellent verbal and written communication skills for a demanding and customer focused working environment.
    • Possess excellent personal organisation and business administration skills in accordance with modern best practice methods.
    • Possess the ability to work productively, efficiently & effectively with initiative and drive under tight timescales and pressure whilst maintaining attention to detail and quality.
    • Possess the willingness to learn, improve and adapt.

    Qualifications:

    DC Claims Controller - Durban

    Your responsibilities will include:

    DISPATCH

    • All processes, procedures and action must prescribe to the Takealot quality and standards at all times. Collate claims reports, examine information and assist in determining the validity of the claims from Order Fulfilment, assess the liability and provide feedback to the business.

    SAFETY

    • Ensure that all prescribed safety and operational procedures are adhered to at all times.
    • Ensure all safety rules are enforced and adhered to at all time.
    • Correct PPE to be worn always by all staff with the correct care taken to enhance the life span off he PPE.
    • Ensure that all accidents and incidents are reported to Takealot management immediately.
    • Ensure high standard of housekeeping and tidiness within working area.

    OPERATIONAL

    • Monitor and evaluate daily operational reports and ensure that dispatch KPI are controlled and met, any discrepancies are to be addressed and resolved. And assist in maintaining FIFO within the dispatch area
    • Ensure that Dispatch queries are resolved timeously, and exception trends are addressed and resolved.
    • Ensure that all queries related to dispatch are attended to and resolved timeously.
    • Attend to the validated address unscanned report after each milkrun and give feedback on parcels that missed the cut-off/Milkrun.
    • Assist the team in identifying and resolving any mistakes or inaccuracies.

    KPI – TARGETS

    • Dispatch Lates <0.5%
    • Multiparcel Lates <10%
    • Warehouse Claims < 0.2% of shipped parcels/week

    REPORTS

    • Validated Address Unscanned Reports – Daily
    • Warehouse Claims Report – Daily/Weekly
    • Misroutes Reports - Daily
    • Dispatch Damages – Daily
    • Cancelled/Duplicated parcels report - Daily

    GENERAL

    • You may from time to time be requested to perform tasks outside your normal function, which will be to the benefit of the total operation team.
    • You are required to keep high productivity level at all times.

    Training Coordinator - Cape Town

    Your responsibilities will include:

    • Assisting in the setting up and maintenance of Standard Operating Procedures (SOP’s).
    • Involvement in content writing in both SOP and training material.
    • Willing and able to travel for hands on, face-to-face training.
    • Franchise adherence to SOP compliance.
    • Training compliance auditing - monitor, evaluate and report on franchise network learning and progress.
    • New management and driver training assistance.
    • Gain contextual understanding of the operational levers involved in driving improved execution performance.

    Qualifications & Experience:

    • Diploma in Human Resources or Training Management.
    • Minimum 3 years’ experience as a Training Coordinator/Supervisor.

    • Proven track record in delivery and execution of successfully created & implemented training material and initiatives.
    • Previous hospitality/retail franchise working experience.
    • Hands-on field and operational training experience.
    • Qualification specialization in Skills Development, Training Management, Instructional Learning Development & Design will be advantageous.
    • IT or tech savvy will be advantageous.
    • Certification in Train-the-Trainer and Assessors will be advantageous.
    • Previous experience in the logistics industry is not required.

    Food Compliance Officer - Durban KZN

    Key Responsibilities:

    Regulatory Compliance:

    • Ensure all food products meet the South African National Standards (SANS) and other relevant legislation, including the Foodstuffs, Cosmetics and Disinfectants Act.
    • Stay updated with changes in food legislation and communicate these changes to relevant departments.
    • Prepare for and manage third-party audits, and government inspections.
    • Food Safety Management:
    •  Implement and maintain a Hazard Analysis and Critical Control Points (HACCP) system.
    •  Oversee the food safety management system and ensure it is compliant with ISO 22000 standards.
    •  Conduct risk assessments and enforce preventive measures to mitigate food safety risks.
    • Quality Assurance:
    •  Monitor the quality of products received, stored, and distributed.
    •  Investigate and address customer complaints related to food quality and safety.
    •  Ensure proper labeling of food products, including allergen information and expiry dates.
    • Training & Development:
    •  Develop and deliver food safety and compliance training programs for staff.
    •  Ensure all employees are aware of their roles in maintaining food safety standards.
    • Record Keeping & Documentation:
    • Maintain accurate records of compliance activities, including audits, inspections, corrective actions, and training.
    • Prepare reports on compliance status and present them to senior management.
    • Supplier Management:
    • Work with suppliers to ensure their practices meet compliance standards.
    • Conduct supplier audits and assessments.

    Qualifications:

    • Bachelor’s degree in Food Science, Microbiology, or a related field.
    • Certification in HACCP, ISO 22000, or similar food safety management systems.
    • Knowledge of South African food legislation and international food safety standards.
    • Experience in a compliance role within the food industry, preferably in a distribution center environment.

    Skills:

    • Excellent communication and interpersonal skills.
    • Strong analytical and problem-solving abilities.
    • Detail-oriented with a high level of accuracy.
    • Ability to work independently and as part of a team.
    • Proficient in Microsoft Office Suite and compliance management software.
