    General Assistant (Facilities)

    Overall Purpose of the Job: 

    To oversee and co-ordinate facility operations and services at the school or campus where they are based.  The main responsibilities include:

    • Oversee the daily facility services and coordination of operations at the facility whether insourced or outsourced
    • Site Maintenance management
    • Provision of financial input for budgeting purposes
    • Resolve facility-specific issues and achieve KPAs specific to each facility
    • Management of relationships with stakeholders
    • Reports to the Area Facility Manager.

    Responsibilities: 

    Output 1 - Facilities Operational Oversight:

    • Set facility-specific KPAs/Outputs in consultation with Area Facility Manager.
    • Plan and obtain the resources necessary to enable implementation of the KPAs/Outputs.
    • Oversee the implementation of plans for the facilities within their area of responsibility. Lead the staff within the Facility towards achieving the plans.
    • Measure and report on progress in accordance with defined reporting templates.
    • Proactively identify performance shortcomings or risks, report these timeously and institute corrective measures.
    • Regularly meet with Principals to report on facility-specific performance and give and receive feedback on relevant operations and tactical matters.
    • Review current operating practices and processes within the respective facilities and ensure alignment with the relevant area standards.
    • Take charge of all emergencies and ensure responsible back-up is available in order to take corrective action as necessary. Emergencies also includes acts of Gods, plagues and pandemics.

    Output 2 - Maintenance Management:

    • Provide input to the preventive maintenance plans for the facility in accordance with ADvTECH developed standards and maintenance lifecycle plans.
    • Oversee the planning and implementation of preventive maintenance, whether insourced or outsourced.
    • Expedite any foreseen delays specifically in preventative maintenance prescribed by Law and mitigate any health and safety risks.
    • Co- ordinate the planning, scheduling and implementation of resources  to assure restoration of functions within shortest period, where unplanned maintenance is required due to failure.
    • Ensure that staff have the required supervision, training, certification, health and safety understanding to perform the tasks required of them, where maintenance is performed by ADvTECH personnel.

    Output 3 - Service Provider oversight (Outsourced and contracted):

    • Provide input into national/regional service specifications for those services to be outsourced.
    • Facilitate and support procurement and contracting of new providers and transitioning/exit of existing providers.
    • Monitor and measure Service Provider performance against contracted Service Level Agreements and reactively/proactively intervene to assure achievement of SLAs.
    • Meet with Service Providers on a routine basis for proactive contract management.
    • Report on Service Provider performance against SLAs and financial budgets.

    Output 4 - Financial Management:

    • Provide input to the annual budgeting process for the Area and facility-specific budgets.
    • Provide input to the five-year maintenance refurbishment and replacement budgets.
    • Report on performance against budget, project future cost versus budget and advise on corrective measures where projections are exceeding budgets including savings on utilities.

    Output 5 - Stakeholder management (Principals, Financial Administrators etc.): 

    • Participate in facility / Site specific meetings with Principals and other stakeholders.
    • Report to Facility / Site Management daily on all operations affecting the education and resourcing businesses.
    • Manage relationships with the relevant stakeholders on site ensuring that their needs are responded to and met, timeously.

    Output 6 - Staff Management and Development:

    • Determine human resource requirements and ensure that the Facility employs the right staff in line with the facilities standards.
    • Ensure identification of critical skills essential for sustainability of service delivery and succession plans for the facilities.
    • Oversee the development of the training and development plan for the facility.
    • Lead and supervise the Facilities staff on site in the achievement of set objectives, targets and deliverables.
    • Provide feedback and coaching to direct reports to ensure optimal productivity and foster growth, on an ongoing basis.
    • Drive performance management across the Facilities team.
    • Develop capability within the team to ensure continuity and build appropriate succession plans.

    Part-Time Occupational Therapist

    Detailed Description

    Clinical Responsibilities

    • Plan and deliver a student-centred occupational therapy service to a personal caseload of students and their families/ carer.
    • Assess and treat students with various conditions/disabilities and complex social and functional needs, within occupational therapy performance guidelines.
    • Formulate intervention plans from thorough assessment results with individuals and their family and carers as required to bring about positive change.
    • Recommend and implement support/intervention plan based on individual needs.
    • Assess students applying for future placements and identify their needs and make recommendations based on outcomes.
    • Assess motor, sensory and cognitive function in the context of the student’s social and physical environment.
    • Discuss treatment proposal with parent/carer and obtain informed consent for interventions.
    • Manage and treat a diagnostically varied and complex patient caseload.
    • Assess, prescribe, arrange provision and installation of specialised equipment and adaptations including seating, safety and assisted devices.
    • Monitor, evaluate and modify treatment in order to measure progress and ensure effectiveness of intervention.
    • Ensure student’s reviews demonstrate clinical reasoning and problem-solving techniques to determine agreed outcomes across health services.
    • Conduct risk assessments to determine appropriate management, specifically related to moving and handling, safe use of equipment, and safety in the home and care environment.
    • Ensure safety for self and others during all occupational therapy interventions.
    • Provide training and advice on lifestyle changes and adaptations to the student’s social and physical environment.
    • Ensure that services provided comply with professional and departmental standards of practice.
    • Execute tests, activities or interventions including but not limited to fine motor skills (i.e. handwriting, computer access), gross motor skills, praxis, activities of daily living (i.e. eating dressing), equipment (i.e. wheelchairs, specialised equipment, hand splints, computer switches) and sensory integration/ self-regulation and sensory processing.
    • Maintain up-to-date and accurate case/progress notes and write reports reflecting advanced knowledge and clinical reasoning for audited purposes and as per HPCSA requirements.

    Communication

    • Communicate and liaise effectively with other professionals, students, family/carers and other agencies to ensure an integrated pattern of service delivery. Use formal and informal reporting mechanisms to ensure effective communication.
    • Use verbal and nonverbal communication to receive and disseminate clinical information, acknowledging sensitivity and complexity e.g. adult/ child safeguarding issues, and using approaches appropriate to the context or culture. Use effective interpersonal skills to encourage students’ and families’/carers’ active participation in the occupational therapy process.
    • Attend and contribute to department meetings, including multi-disciplinary- and Therapy team meetings, and progress meetings relating to clinical caseload.
    • Record students’ treatment and other related activity in accordance with professional and departmental guidelines.
    • Build and sustain relationships as an independent practitioner and collaboratively as a member of the team.

    Professional Development

    • Remain informed on developments and trends in occupational therapy practice by study of the current literature available and to adapt own working practices accordingly.
    • Develop clinical, managerial and teaching skills via continuous professional development (CPD), including maintenance of an up to date CPD portfolio.
    • Attend and contribute to regular supervision sessions and participate in performance reviews.
    • Attend mandatory training for moving and handling, first aid, and safeguarding children.
    • Maintain own professional registration as a practicing professional with the Health Care Professions Council as an Occupational Therapist.

    Service Development and Delivery

    Duties required:

    • Executes the academic policies and procedures for all academic and support staff

    Systems Administrator Finance Applications And Businesss Systems

    Job Description

    Overall Purpose of the Job (Please provide a summary of why the job was created and what the main responsibilities are)

    • Responsible for the timely and effective response to IT/System user queries and problems through the receipt and logging of problems and the co-ordination of rapid and appropriate responses for basic problem resolution for new and existing systems and provides basic telephonic training on these systems when required. May manage the incident to completion.
    • Ensures that optimum relations with clients are established and maintained. Ensures that agreed standards in respect of length of call, wrap-up time, log-on time and completion of correct code system and database are maintained. In a sales oriented centre, maximises cross selling opportunities and ensures that targets are attained. In a Service Centre / Help Desk function provides first-line support for user enquiries on problems relating to hardware and software products installed, responds timeously and effectively to IT user queries and problems through logging of problems reported and the co-ordination of rapid and appropriate responses. This includes: basic training for the user, assisting the user to resume normal operation, channelling requests for help to appropriate functions; monitoring progress, and keeping users appraised.
    • The maintenance of an inventory of equipment supported by the Service Desk / Help Desk together with logs of user details, problems and resolutions, for administration and planning purposes.

    Qualifications & Experience

    • an undergraduate degree (NQF level 6) in ECD or B. Education (Foundation Phase)
    • A PGCE would be necessary if the degree is deemed suitable viz Psychology
    • SACE certification and a police clearance are requirements
    • 2-5 years Teaching Experience
    • Computer and digital literacy
    • First Aid
