    Payroll Administrator

    Key duties and responsibilities:

    Payroll

    • Ensure all input received is processed accurately within the specified time, according to Anova procedures and Statutory laws.
    • Capture new employees on Sage 300 People from authorised documents.
    • Generate employee numbers and files for new employees.
    • Filing paperwork into employee files and other files.
    • Ensure paperwork is filed accurately and in alphabetical/numerical order.
    • Capture terminated employees on Sage 300 People, following full termination process.
    • Capture overtime claims onto Sage 300 People.
    • Calculate and capture consultant hours from timesheets or invoices.
    • Manage, maintain, and update payroll related data.
    • Monitor Payroll Admin e-mails and follow up on all queries to ensure payroll data is kept up to date.
    • Co-ordinate and capture data from Per Diems and Travel Claims received from Finance onto Sage 300 People, ensuring no duplications.
    • Generate dummy payslips on Sage 300 People for potential new staff as requested by HR Department.

     ESS, Info Slips, Timesheets & Medical Aid

    • Approve leave on ESS in line with BCEA and Company Policy.
    • Ensure all employees are linked to the correct approvers on ESS.
    • Ensure all applicable employees are impersonated correctly on ESS.
    • Assist and guide all employees on the process to reset their passwords.
    • Monitor ESS Admin e-mails.
    • Capture annual and sick leave onto Sage 300 People.
    • Export of Info Slips from Sage 300 People, generation of PUK Letters, sending out info slips. monthly by e-mail to all employees linked to this option.
    • Verify timesheets from projects on a monthly basis.
    • Ensure timesheets and leave correspond and address discrepancies.
    • Process Discovery and UMVUZO applications for new employees.
    • Maintenance of medical changes on payroll on an annual & monthly basis.

     General Payroll Administration

    • Ensure all termination checklist documents, final timesheets are signed off correctly.
    • Ensure all payroll input is placed accurately in the monthly folders/files for payroll checks and for audit requests.
    • Assist with audit reviews.
    • Complete Department of Labour UI19s for terminated and employees on maternity leave.
    • Respond to external employee confirmations and staff queries.
    • Process payments to employees for the 10th, 25th and adhoc payment runs each month.

    Any other tasks as agreed with line manager.

    Minimum qualifications and experience:

    • Matric Certificate.
    • Certification on Sage VIP Premier/Sage 300 People and ESS.
    • 5 years’ experience in payroll administration on Sage VIP.
    • Experience in Sage 300 People advantageous.
    • BIM/Smart/Sage Reporting.
    • Sound knowledge of BCEA and LRA.
    • Report generation (Excel and Sage 300 People).

    HR Manager

    Key duties and responsibilities:

    • Partner with line managers and provide comprehensive, pro-active, and holistic business partnering HR service to the District.
    • Assist in developing and implementing HR initiatives focused on achieving business objectives and improving the effectiveness of the HR department.

    Professional Nurse

    Key duties and responsibilities:

    • Work with the facility team and outreach teams to get referrals and to initiate ART and IPT for eligible HIV infected clients: Paediatrics, adolescent, and adults, including PrEP.
    • Provide follow up care for patients on treatment in line with DoH HIV Management guidelines as well as Anova work plan and Facility 95-95-95 plans.
    • Routinely monitor performance & registers of (TB/HIV/STI) programmes at facility level and provide mentorship & technical support where required.
    • Identify poor performing indicators, put together quality improvement (QI) plans and implement as agreed upon with the team.
    • Identify training needs at facility level and arrange in-service training where needed.
    • Conduct monthly facility file audits using the relevant tools as agreed with the line manager (paediatric, Adolescent and adult).
    • Use relevant M&E tools to report weekly to Anova sub-district team on number of clients initiated on ART and IPT.
    • Support facilities with implementation of I-ACT support groups and Chronic treatment clubs in line with Anova’s work plan.
    • Oversee Anova DSD staff based at supported facility (linkage officer, data capture, enrolled nurse).
    • Ensure that the correct TB/ART/PMTCT stationery is available and used.
    • Action and feedback on Results For Action (RFA).
    • Decant eligible clients on CCMDD program.

    Essential qualifications, skills and experience:

    • A degree or diploma qualification as a Professional Nurse.
    • Registration as a Professional Nurse with the South African Nursing Council
    • NIMART trained and certified as competent to work independently
    • At least 4 years’ experience in working at a clinic (PHC or CHC) facility
    • At least 2 years NIMART experience
    • Familiar with latest HIV Management, PrEP, STI and TB and guidelines
    • PHC Qualification is advantageous

    Decanting Mentor

    Key duties and responsibilities

    • Support implementation of repeat prescription collection strategies (RPCS) in supported sites.
    • Identify stable chronic patients for recruitment into repeat prescription collection strategies (RPCS) –in line with targets given to the facility.
    • Train & Mentor DoH & Anova staff on repeat prescription collection strategies (RPCS).
    • Ensure the availability and distribution of Adherence guidelines’; SOPs; tools and stationery.
    • Supervise and train on site staff on the use of Adherence guidelines tools and documentation; viz (Adherence plan, RPCS consent form, club registers, cohorting SOP, Appointment cards, CCMDD SOPs, CCMDD/CDU scripts, use of VL cascade).
    • Supervise and perform monitoring activities including updating of relevant registers and collection of statistics and validating of data at facility level (CDU/CCMDD).
    • Compile Daily; Weekly and Monthly Progress Reports to line manager on specific reports (M&E Tool, Sedibeng decanting report and PEPFAR report) using Tier.NET
    • Participate in continuous development trainings.
    • Conduct and Participate in Clinic SIMS visits, and Anova CME sessions.
    • Ensure timeous requisition of supplies related to running of CCMDD.
    • Participate in Sedibeng Task Team meetings and provide reports and technical advice on decanting.
    • Assist adherence support and provide patient education on adherence.
    • Support the implementation and growth of RPCS in facilities.

    Minimum qualifications, skills and experience:

    • Grade 12.
    • Minimum of three years related experience and/or training: or equivalent combination of education and experience.
    • At least 2 years’ experience working in the field of HIV/TB public healthcare environment.

    Decanting Coordinator

    Key Duties and Responsibilities

    • Provide direction and supervision to sub-ordinates i.e. the Decanting Professional and Enrolled Nurse and other staff members.
    • Familiarise self with district healthcare system, policies, and appropriate lines of communication
    • Familiarise with and ability to use clinical standards and guidelines
    • Implement, monitor and evaluate operational plans
    •  Conduct continuous reviews on programme implementation progress of programmes implemented.

    • Mentor on & ensure that pre-packaging of medication for clubs is done according to SOPs/GPP.

    Qualifications and Experience

    • Grade 12 (Matric).
    • Professional Nurse Diploma or Degree and registered with South African Nursing Council (SANC).
    • NIMART trained, mentored and certified as competent with at least 2 years experience.
    • At least 2 years experience with CCMDD.
    • A certificate in project management or a good understanding of project management
    • PHC Qualification will be an added advantage.
    • Support Group and Adherence Club Facilitation experience will be an added advantage
    • A course in HIV Management will be an added advantage.
    • 3-5 years’ experience in a health or related field.
    • Have knowledge and experience in TB/HIV/AIDS management.
    • Be able to work independently and as part of a multidisciplinary team.
    • Able to communicate in English and any other local language.
    • Report Writing skills.
