    Administrator Assistant

    The key performance areas of the role are:

    • Day to day office support and administration assistance to two Programme Specialists and programme team
    • Assist with procurement administration, including obtaining quotes from suppliers for programme related services, submitting invoices to finance
    • Assist with transporting supplies, equipment, commodities, and collection of documents from the field
    • Maintain programme team calendar of events, key meetings; training calendar
    • Supply chain monitoring of key commodities for programme interventions.
    • Assist with locating venues for implementation sessions within selected communities.
    • Assist with keeping a logbook register (refreshments being disbursed to participants, disbursement of airtime or data to the programme team)
    • Develop and maintain a network of working level external contacts
    • Liaison with third parties (i.e. caterers, venues) as required
    • Assemble materials (stationery, printing, etc.) for meetings and trainings
    • Document management and filing, including electronic filing on central database
    • Maintain office supplies and equipment inventory as required
    • Maintain administrative records including meeting minutes and reports
    • Ad-hoc duties as required by the project

    Requirements

    Required Qualifications and Experience

    • Matric certificate or equivalent NQF qualification.
    • An Office/Business Administration Certificate or Diploma would be a strong recommendation.
    • Minimum of 2 years Administrative and / or PA experience.
    • Strong computer knowledge (Excel, Word and PowerPoint, E-mails, Internet).
    • Previous experience arranging flight bookings, finance admin, procurement, and training logistics.
    • Be fully conversant in spoken and written English and be able to communicate at ease with all levels of staff and clients.
    • Experience working in NGO/NPO field will be advantageous
    • Strong attention to detail and meticulous organisational skills.
    • Valid driver’s license and own vehicle

    Fleet Officer

    The duties and responsibilities of the role will include but not limited to:

    • Action any reports / defaults given by drivers.
    • Manage dealer and supplier relationships, maintaining warranty claims, maintenance & service plans.
    • Ensure all procedures are followed as per the Company Policy Manual
    • Ensure preventative, predictive & corrective maintenance measures are in place and adhered to
    • Ensure that road worthy for vehicles is done.
    • Comply with & impliment all NACOSA fleet and driving policies and procedures
    • Maintain and submit a weekly vehicle report to monitor services, licenses and roadworthy
    • Assist with license renewals, re-registration and other documentation required for fleet
    • Maintain tracking system by updating vehicle information
    • Inspects vehicle and equipment for safety, efficiency of operation, and appearance
    • Ensure cleanliness and good running order of all vehicles in coordination with other fleet staff.
    • Regular visits to fleet outside your location as agreed with the Fleet Manager.
    • Submit, monitor & resolve accident claims with Insurance

    Requirements

    Requirements:

    • Matric certificate or equivalent NQF qualification (Post matric qualification will be advantages)
    • 3 years proven experience as fleet officer.
    • Excellent organizational and leadership skills
    • Good analytical/critical thinking
    • Good knowledge of vehicles and fleet maintenance
    • Computer literate
    • Good command of written and spoken English
    • Valid unendorsed Code C1 driver’s license (non-negotiable)
    • Clear criminal record
