    Student Advisor - Cape Town

    Duties and Responsibilities:

    Final Year Presentations

    • Achieve presentation target as set by Head: Student Recruitment.
    • Complete presentations with final year current students promoting postgraduate studies.
    • Distribute marketing material such as pamphlets and information brochures.
    • Hand out interest cards to students.
    • Facilitates stakeholder events and open days.

    Database Collection

    • Achievement of database collection target as per set final year presentation targets.
    • Ensure all database (interest cards, telephonic enquiries, walk-ins) secured is captured accurately and in full on STASY.
    • For leads that are integrated into STASY (e.g. website leads, online applications etc.) ensure that all additional student personal information is captured.

    Consultations

    • Responds telephonically to all enquiries within 48 hours of query (where telephone number has been supplied).
    • After the initial telephone call, send all necessary information via email.
    • Responds to and consults with, if necessary, all applications not yet consulted with.
    • Conducts follow up calls with all enquiries within 5 working days of initial contact.

    Applications

    • Secure applications by following the consultation process with all leads and enquiries.
    • Follow up with unpaid online applications to secure payment and necessary certified supporting documentation.

    Admissions Officer - Cape Town

    Duties and Responsibilities:

    Student Application & Admission Administration

    • Collaborates with the campus Student Recruitment team to generate student admissions related queries
    • Follows up with the Student Recruitment team for missing student information in order to finalise all student admissions related queries.
    • Evaluates student admissions against the set admission criteria and communicates the appropriate outcomes.
    • Liaises with the campus Student Recruitment team during the admission evaluation process and assessment.
    • Escalates admission queries to the Admissions Manager.
    • Liaises with the campus Student Recruitment team on the management of admission waitlists.
    • Liaises with the campus Student Recruitment team on the management of declined admissions and expired offers and the issuing of new offers of study.
    • Documents management and issuance of appropriate admission letters.
    • Determines conditions associated with student admission and follows up on them thereafter.
    • Determines the eligibility of the admittees onto academic programmes.

    Student Registration Administration

    • Applies necessary holds on student accounts based on outstanding documentation or conditional admissions
    • Verifies registrations against the admission criteria.
    • Responsible for completing all School of Education counselling documentation prior to admission approval to ensure students are registered for the correct FAL/diadactic modules. All counselling documents must be uploaded to the applicant profile before admission is approved
    • Manages the new student transfer process in conjunction with Head: Student Recruitment, Marketing Assistants and other relevant stakeholder, and thereafter sends to the finance department for processing (from admission to registration).
    • Processes new student SLP & NQP registrations as required by Head: Student Recruitment
    • Takes ownertship of the external credit application process for new students once application has been submitted - supports student with application to the Hub and responsible for follow up until outcome is received by student
    • Checks the National Senior Certificate (NSC) exception reports on a weekly basis.
    • Follows up on all outstanding documentation and uploads once received.

    • Tracks and monitors conditional admissions throughout the year such as Universities South Africa (USAF) / South African Qualifications Authority (SAQA) / combined National Senior Certificate (NSC ) / study visas and all other ad hoc conditional admissions.
    • Adheres to the established service level agreements of the registration process set by the organisation.

    Reports and Other

    • Responsible for training all new student recruitment staff and continuous upskilling of sales team as changes to admission criteria/processes occurs
    • Facilitates continuous communication with the Assistant Registrar in relation to resolving the Registrar related queries.
    • Complies with The Protection of Personal Information Act (POPIA) legislation relevant to new student admissions.
    • Performs other ad hoc administrative and/or reporting duties as and when required.

    Customer Relations Officer - Durban

    Duties and Responsibilities:

    Student Registration and Academic Progression Counselling

    • Facilitates consultations with students in cases where a change is required to their current registration contract, e.g. this could be for students who wish to change within a semester, between semesters or between years of study.
    • Works with the Admission Centre to understand different curriculum scenarios (e.g. phase-in and phase-out etc.) to ensure that the student is advised correctly.
    • Supports the Senior Customer Relations Officer, Campus Deputy Head and/or Head: Academic Operations and/or Deputy Head: Academic Operations in co-ordinating the Retention Project on campus.                                                                                                           

    Active Student Engagement and Support                                       

    • Delivers the academic orientation programme for new and returning students by means of programme information presentations, an overview of pertinent academic policies and an outline of the academic year etc.                                                                                                           
    • Manages the dissemination of student related policies (new and updates).                                                                                                          
    • Attends informal meet-and-greet sessions with students.                                                                                                
    • Facilitates Programme Information Sessions by addressing students in class with a view to explain and induct the students on the relevant policies and procedures that govern student life on campus.
    • Facilitates follow-up Programme Information Sessions by way of email broadcasts that occur throughout the year and that drip feed policy and procedure related information to the students as is deemed necessary by the Academic Operations department.
    • Conducts periodical class visits to canvas student concerns and share relevant information.

    Student Query Resolution

    • Resolves student queries via the appropriate channel/s within a committed time frame in line with the agreed Service Level Agreement for the Customer Relations Centre and escalates queries to the Senior Customer Relations Officer where appropriate.
    • Captures details of all student contact made by the Customer Relations Centre on the academic system.
    • Provides various letters/documents that are generated from the academic system on request by students.
    • Assists with unresolved queries from The Students HUB and escalates queries to the Senior Customer Relations Officer where quires require further attention.
    • Assists with the roll out of all relevant customer related surveys.

    Cross Departmental Query Resolution 

    • Liaises with various departments on campus to stay up-to-date with any relevant changes or developments in those departments in order to enable the smooth processing of student queries.

    Team Support, General & System Administration

    • Responsible for ensuring all students notes are captured in the academic System. 
    • Maintains a good knowledge of products and policies in order to ensure that students are advised correctly. 
    • Identifies and flags student query trends and escalates these identifies trends to the Senior Customer Officer where required.
    • Supports other member of other Customer Relations Centre team to ensure and drive the efficient resolution of student queries.
    • Complies with The Protection of the Personal Information Act (POPIA) legislation relevant to the Customer Relations Centre.
    • Supports and collaborates with other members of the Academic Operations team to ensure the efficient running of the Academic Operations department as a whole.

    Head: Academic - Roodepoort

    Duties and Responsibilities:

    Academic Management                                                                                               

    • Creates and manages the implementation of the campus academic delivery plan with Head of Faculties, Teaching and Learning Specialist, Educational Technologist, Lecturers, Academic Support Co-ordinators, Information Specialist and Assistant Information Specialist.

    This will be achieved through the following:

    • The achievement of greater student success (by achieving set targets) via an ongoing analysis of academic results, reporting on and addressing areas of risk;
    • The improvement of student retention rates through the management of the quality student support interventions and strategies to improve student perseverance/resilience;
    • The measurement of the effectiveness of student support interventions on an ongoing basis; and
    • The management and development of the lecturing team with a focus on lecturer upskilling and scholarship, allocation of modules and lecturer workload.
    • Ensures equity of academic delivery across schools.
    • Accountable for compliance to the policies and procedures of The Independent Institute of Education.
    • Responsible for engagement with the relevant National portfolio heads regarding campus Academic performance and compliance.

    Academic Staff Management                                                                                                    

    • Recruits permanent academic staff and part-time staff.

    • Responsible for the line management of the Head of Facilities, Teaching and Learning Specialist, Educational Technologist, Lecturers, Academic Support Co-ordinators, Information Specialist and Assistant Information Specialist. Within this, the clear communication of roles and responsibilities of each permanent academic team member.
    • Co-ordinates the development of the permanent academic team.

    Lecturing

    • Teaches 1 undergraduate module per semester OR 1 postgraduate degree module in a year or supervision of Postgraduate students (campus capacity dependent). If engaged in approved formal research activity then the Head: Academic will be required to lecturer 1 undergraduate module per year. 

    Research and Scholarship

    • Plans, manages and reviews the research target deliverables on campus, and makes the necessary adjustments throughout the year to ensure that the required research outputs are achieved.
    • Responsible for the annual reporting to the National Academic Manager on the research points achieved and qualifications completed by the permanent Academic staff and part-time staff.
    • All designated academic employees are required to promote a culture of scholarship within their practice, discipline and campus/team and are also required to contribute towards The IIE’s MSA achieving its annual research output targets. Individual research output unit/s will be set in consultation with the line manager on an annual basis (Informed by The IIE 018 Academic Conditions of Service Policy).

    Assistant Accountant (National)

    Duties and Responsibilities:

    Accounts Payable

    • Checks invoices/expenses and allocates to the Vendor Account and correct General Ledger as per allocation per campus.
    • Checks and attaches all quotes and purchase orders to invoices (follows approvals framework).
    • Compiles all supporting documents required for payment and prepares payment journal
    • Reconciles all creditors accounts to statements, loads payment journal and submits for approval.
    • Adheres to and maintains all financial procedures throughout completion of the accounts payable process (compliance with the audit procedures)
    • Reviews all documents supplied with vendor forms, loads new vendors on accounting system and submits for approval.

    • Finalise creditors age analysis for month end reporting

    General Ledger
