    Officer (Post Level 10/11) (3 Positions) - (1048)

    Duties and responsibilities:
    Client Support

    • Address support and academic personnel queries and escalate difficult queries to line managers.
    • Provide training to academic/support staff on policies/processes.

    Data Capturing

    • Capture daily journal requests.
    • Balance and finalize daily subsystem and routine journals.
    • Capture year-end journals for financials.
    • Follow up on outstanding journals before the closure of month-end.
    • Capture Petty Cash Claims.
    • Capture foreign payments on ABSA Global.

    Compliance

    • Ensure compliance with internal financial and accounting policies and procedures.  This relates to procurement, reimbursement of expenses, travel and subsistence, general entity and account structure, electronic approval setup, journal processes and other relevant financial policies.
    • Ensure compliance with Reserve bank policies and regulations in relation to foreign payments.
    • Ensure compliance with NRF regulations.

    Quality Assurance

    • Compilation of exception reports regarding foreign payments and other general ledger queries.
    • Generation and follow-up of exception reports on the general ledger, as well as electronic security, to ensure data quality.

    Internal Reporting

    • Generate and follow-up exception reports and internal management reports on the general ledger data and NRF.
    • Prepare external audit files.

    Process administration

    • Ensure all CA’s, TA’s and expense claims are approved and followed up within agreed turnaround times.  

    Inherent requirements:

    • A bachelor’s degree or B-Tech degree on NQF level 7 in the field of B. Com Acc or B.Acc/B.Tech.
    • A minimum of two (2) years of relevant working experience related to the duties and responsibilities.

    Recommendations: 

    • Experience within the higher education environment.
    • Knowledge of university systems, policies, and procedures.
    • Member of a or registration at a professional body.

    Officer: Gardening (post level 11) - (1049)

    Duties and responsibilities:

    • Roll out the processing of gardening projects. 
    • Identify and address critical work.
    • Complete and arrange for any ad hoc requests given verbally or per official communication by management.
    • Ensure protocol and sign-off compliance.
    • Manage direction boards on design posters, printers, and placement of direction boards.
    • Handle general administration on the scope of work.
    • Comply with all administrative tasks mentioned and given by management.
    • Attend event meetings. 
    • Keep reports and records.
    • Comply with work order administration and complete arrangements within set procedures.
    • Complete work programs/schedules according to standard operating procedures/ protocols set by the division and the sign-off thereof. 
    • Process tender projects and adjudications: compiling bill of quantities on landscaping and relevant gardening matters.
    • Report to the line manager on all aspects of services delivered within the scope of work.
    • Assist with risk and process management.
    • Monitor project processes and progress.
    • Complete dashboards.
    • Assist with the management of personnel in the division.
    • Manage workflow.
    • Assist with performance management of personnel.
    • Communicate, assist, and address operational matters.
    • Assist with employee leave and performance. 
    • Ensure compliance with UFS health and safety standards.
    • Manage inspections and landscaping projects.

    Inherent requirements:

    • Bachelor’s’ degree or an advanced diploma/ BTech degree/ postgraduate certificate on NQF level 7 or a three-year national diploma on NQF Level 6 in Horticulture and/or any related field  
    • EB driving license.
    • A minimum of three (3) years of relevant working experience related to the duties and responsibilities.

    Recommendations: 

    • Horticultural courses and/or relevant courses.
    • Knowledgeable on event management.
    • Design and maintenance management.
    • Computer skilled in Publisher.
