    About the Job

    Duties/Pligte

    • Personal, telephonic and electronic communication, internal as well as external;
    • Secretarial and other general administrative duties;
    • Handling access control, general enquiries of students, visitors, the University and general services;
    • Providing administrative support to personnel, including booking venues, reporting and following-up about faults, purchases and requisitions, internal communications, academic information, administrating module evaluations, coordinating courier and postal services, copying and scanning, stationery;
    • Liaising with other departments/divisions and universities;
    • Booking venues for meetings;
    • Setting up, checking and testing all technical equipment prior to scheduled meetings;
    • Drafting the agenda;
    • Taking and typing of minutes, reports and general correspondence;
    • Maintaining the departmental website and social media.

    Job Requirements/Pos Vereistes

    • Relevant post-matric qualification;
    • Excellent professional communication skills in at least two of the three official languages in the Western Cape;
    • Proven secretarial and administrative experience;
    • Proven computer proficiency (MS Word, Excel, Outlook, Internet);
    • Initiative and the ability to work independently;
    • Excellent organisational and time-management skills;
    • The ability to work in a team;
    • The ability to function under pressure and handle multiple demands;
    • The ability to think ahead.

     

    Recommendation/Aanbeveling

    • Knowledge and experience of the administrative and computer systems of Stellenbosch University;

    Technical Coordinator

    About the Job

     

    Duties/Pligte Toyota SU Woordfees:
    The incumbent is responsible for the technical management of the arts festival. Responsibilities include:

    • Managing the technical budget;
    • Preparing documentation for suppliers for tenders and closed quotes;
    • Negotiating with suppliers;
    • Responsible for the technical set-up of all venues, including audio and lighting, AV, draping, raking, seating plans, and providing behind the scenes services;
    • Liaising with all artists performing at the festival about their specific technical needs;
    • Providing practical assistance to artists and productions before and during the festival;
    • Assisting the Director with scheduling the festival programme;
    • All scheduling information for the printed festival guide and online programme information;
    • Scheduling move-in and technical set-ups as well as communication and negotiation regarding move-in's to approximately 800 role players;
    • Recruiting and managing approximately 100 specialist technicians;
    • Radio room management during the festival - joint operational centre;
    • Assisting with the logistical arrangements for at least 40 venues that are used during the festival;
    • Providing technical services at all Woordfees and WOW functions and events;
    • Technical and stage management of the SU Choir during performances;
    • Handling all arrangements involving the bi-annual recording of the SU Choir CD;
    • Technical coordination and line producer for Woordfees TV, when applicable;
    • Managing large volumes of administration;
    • The ability to work overtime of about 100 hours in April and May to schedule the festival and get the festival guide print ready. Working another 240 hours in the lead-up to and during the festival in September and October.

    Job Requirements/Pos Vereistes

    • An undergraduate qualification in stage management and/or technical theatre aspects;
    • At least three years' work experience in a similar position within an arts festival or technical equipment supplier company;
    • Proven knowledge of sound, lighting, and audio-visual equipment and how it operates;
    • Excellent verbal and written communication skills;
    • The proven ability to work under pressure;
    • The proven ability to work within the context of a bigger team;
    • Willingness to work overtime;
    • Artistic intuition and skill.

    Major Gifts Fundraiser (Individual Donors)

    About the Job

    Duties/Pligte

    • Working primarily across prospective and existing individual donors to the University. This may also necessitate engaging with some corporate, foundations, and trusts portfolios, but the role is to focus on securing donations of above average value via prospect qualification and individual donor cultivation;
    • Meeting fundraising targets as agreed upon each year;
    • Conducting regular cultivation visits against set targets;
    • Facilitating prospects/donor meetings with University leadership and key entities;
    • Working with alumni coordinators to integrate fundraising activities and to build a pipeline of prospects and donors;
    • Stewarding relationships with existing donors, including moving these donors through the fundraising levels.

    Job Requirements/Pos Vereistes

    • Bachelor's degree and at least ten years' experience in an advancement, development and sales environment, or the business of fundraising, with a track record of achieving sales or fundraising targets, OR RPL with ten to 15 years' proven track record in sales and marketing or the business of fundraising;
    • Commercially astute with demonstrable business acumen and a creative approach to business development;
    • The ability to manage people and projects;
    • An outgoing, confident, and warm personality;
    • A self-starter who can organise and manage their own time and workload and who is driven to achieve;
    • The ability to communicate effectively with clients and colleagues;
    • Excellent skills in PowerPoint and presentation generation - balancing visual creativity with sharp professionalism;
    • Organisational skills and time management are critical to balance the variety of tasks;
    • The ability to think and act quickly on new ideas, while working within a larger team and an environment that depends upon the adherence to internal governance regulations and financial processes;
    • General research skills and some key accounts database experience;
    • An understanding and appreciation of the higher education environment.

    Recommendation/Aanbeveling

    • Well-grounded knowledge of South Africa's social, economic, and political issues in a regional context.
