    Project Administrator

    About the job:

    The CSIR has a vacancy for a Project Administrator in the Hosted National Programmes: Circular Innovation South Africa. The incumbent will be responsible for providing administrative support according to applicable project management frameworks in support of the effective and efficient delivery of projects. This position is based in Pretoria, but the CSIR will consider hybrid/remote working arrangements with the other CSIR Centres in Johannesburg, Durban, Cape Town, and Stellenbosch.

    Key responsibilities:

    • Support in drafting, routing and follow-up of new agreements, contracts, proposals, etc., ensuring timeous and correct approvals.
    • Liaise with the CSIR Strategic Procurement Unit on all procurement requests (publishing of RFQs/RFPs, requesting of Purchase Orders, etc.).
    • Assist with the administrative aspects required to establish, implement and maintain project controls
    • Facilitate and plan meetings, including booking of venues
    • Draft and distribute meeting documentation
    • Participate in meetings and capture minutes, actions and resolutions
    • Assist with travel bookings for staff members, as required
    • Receive and process quarterly reports from funding recipients
    • Assist the Manager in preparing quarterly progress reports
    • Assist the Manager in receiving and processing technical project deliverables
    • Maintain a financial spreadsheet to monitor payments to beneficiaries
    • Track project milestones that trigger invoicing and payments 
    • Receive project status feedback from stakeholders and record information
    • Follow up with CSIR Finances to ensure payments are made timeously
    • Quality assurance and control:
    • Maintain accurate, neat and effective data sets, documents and records
    • Perform continuous quality checks and timeously report anomalies to the Manager
    • Assist the Manager to capture project data and documentation into appropriate configuration / document management systems
    • Facilitate project documentation and ensure compliance with project management and business frameworks and CSIR quality standards
    • Assist the Manager in preparing the Annual Progress Report
    • Assist the Manager with administrative tasks for project close out, including preparation of final list of deliverables and evaluation against contract / agreement

    Qualifications, skills and experience:

    • A National Diploma in project management with at least three years project administration experience within a project/programme management training environment assisting in the coordination of multiple projects.

    Archivist

    About the job:

    The CSIR has a vacancy for Archivist in the Knowledge Management and Information Services.The successful candidate will manage the CSIR Archives and the archival processes. The incumbent takes primary responsibility for the efficient running and performance of the Archives to assist the end-users with archiving services with an emphasis on transfer of records to the Archive, retrieval of records, retention and disposal thereof. The position is based in Pretoria.

    Key responsibilities:

    To apply the Records Management Policy and linked procedures in the management of CSIR’s archives and archival records i.e

    • Take responsibility of research and non-research related archival records as stipulated in the CSIR’s file plan.
    • Collect, appraise, analyse and index materials in support of historical corporate and research collections, including the identification of special collection and samples of research artefacts when feasible. (A variety of formats should be expected).
    • Transform the CSIR archives and archival processes through automation and other digital methods. Develop, maintain and improve the Archives Database in terms of the selection and maintenance of the software, structure, standards, metadata requirements (e.g. validation lists) and ensuring that the need of the organisation is met.
    • Keep abreast of developments and trends regarding archival services including relevant Acts. Contribute to the development and update of archival processes and procedures and create awareness thereof. Ensure that internal stakeholders and staff are inducted on these processes and practices.
    • Apply proven experience in using the following systems and being able to apply that knowledge while indexing File Plan, Archival systems, Workflow or other routing systems, Metadata standards and subject specific thesauri.
    • Apply sound records management principle in terms of non-routine requests for archival artefacts received. Assists both external clients and historians and CSIR staff in retrieving and providing records by applying access criteria as stated in the Records Management Policy and procedures.
    • Provide professional opinion in matters related to archiving. Interact with Legal Services regarding the provision of information that are classified.
    • Provide end-user training on archival services and in support of efficient retrieval support as well as the effective utilization of available databases. Monitor compliance of the organisation in terms of archiving of CSIR invaluable records
    • Liaise with stakeholders and the National Archives ensuring that compliance and governance issues are met.

    Maintenance of the physical archives

    • Manage and monitor access control to the physical archives.
    • Conduct regular shelf reading to ensure that items are correctly filed according to the information provided in the database.
    • Recommend new equipment and technologies in the archives.
    • Monitor existing systems in the archives e.g. climate control system, the fire prevention systems, (checking for balanced temperature, leaks and damage; and reporting and recording such instances and ensuring that reparation is done). Communicate with Facilities Management and other relevant stakeholders or service providers.
    • Ensure that the Archive meets the SHEQ requirements.   

    Qualifications, skills and experience:

    • A Bachelor degree in an information science or related field is required with at least three years’ experience in the Records Management and Archival environment.
    • A post graduate degree will be advantageous.
    • Knowledge and understanding of the CSIR core subject matters, file plan and retention periods.
    • Ability to appraise and analyse documents (and other formats) and extract relevant metadata so that these could be captured and retrieved accurately in the existing systems.
    • Understanding of metadata schemas, preservation, and conservation techniques.
    • Ability to build and maintain strong collaborative working relationships in the organisation, marketing and end-user training skills.
    • All international qualifications require an evaluation report / certificate issued by the South African Qualifications Authority (SAQA).

    Chief Information Security Officer (CISO)

    About the job:

    The CSIR has a vacancy for a Chief Information Security Officer who will be responsible for  leading the Information Security Office and maintaining a comprehensive CSIR-wide information security programme to ensure that all CSIR information assets are adequately protected against current/future and internal/external threats. Tasked with developing and implementing policies, standards, procedures, and oversight of information security in the CSIR, ensuring the organisation can identify various security concerns, gaps and remedial actions to guarantee security of operations.     Key responsibilities:

    Leadership

    • Develop, review and drive implementation of information security policy, strategy and short (annual)- and long-range operational plans in order to ensure secure operations across the CSIR;
    • Maintain a comprehensive, CSIR-wide information security programme;
    • Oversee ISO & Cybersecurity Centre of Innovation managers and teams, allocating resources to ensure that staff deliver secure and robust IT solutions to the CSIR’s requirements;
    • Manage and develop staff to ensure high calibre personnel who achieve performance objectives in support of the CSIR mission and vision as they pertain to information security;
    • Conduct performance management contracting and reviews for all staff at the recommended periods, for the purpose of managing & improving service delivery.

    Information Security

    • Provide leadership and vision for information security at the CSIR;
    • Provide managerial oversight in the development and implementation of an information security programme, ensuring the programme is continuously updated in alignment with the changing threat landscape;
    • Determine projects and priorities for all CSIR information security issues;
    • Direct the dissemination of CSIR information security policies;
    • Oversee development of an effective information security incident response plan and determine metrics measure effectiveness;
    • Lead the response to information security incidents and act as the primary control point in the case of any significant information security incidents;
    • Define vulnerability management programme and oversee the planning and execution of vulnerability audits, penetration testing, or forensic IT audits and investigations, ensuring the results improve CSIR’s information security through developing metrics to prove its effectiveness;
    • Oversee development of CSIR wide information security training and awareness programme
    • Oversee the development and implementation of all necessary information security controls;
    • Understand and interact with RD&I divisions and support functions across the CSIR (through risk management or other committees) to ensure the consistent application of policies and standards across all technology projects, systems, and services;
    • Advise the CSIR regarding internal or external information security threats to allow CSIR to focus efforts and allocate budget for their mitigation;
    • Provide technical guidance on information security products and technical controls to the CSIR business as a whole;
    • Manage the information security team to proactively analyse, and directly respond to internal and external threats to information infrastructure and minimise / mitigate risk;
    • Conduct risk assessments in alignment with the CSIR Risk Management Process;
    • Ensure security controls in place support the compliance to national data and protection of information regulations;
    • Build formal relationship with third parties, vendors and industry as well as threat intelligence feed providers and establish forum for information exchange;
    • Stay abreast of changing technologies, developing threats, including cybersecurity risks, and regulatory changes affecting the CSIR’s information security, and respond accordingly;
    • Understand and examine the impact of new technologies on the CSIR’s information security, establishing processes to review the implementation of new technologies to ensure security compliance.

    Financial management

    • Develop and manage the Information Security Office budget;
    • Manage information security assets;
    • Ensure cost effective service delivery;
    • Ensure compliance with financial legislative requirements.

    Qualifications, skills and experience:

    • A Bachelor’s degree in information technology (IT) Computer Science, Information Systems, Computer Engineering, or related field with at least eight years’experience in ICT services, of which five years should be in a management role;
    • Must also have five years relevant experience managing Information Security and risk, particularly in large organisations or projects;

    A proven track record in:

    • Business continuity, disaster recovery, risk management, vulnerability assessments and incident management
    • Defining information security architecture

    Internship: Finance (Two positions)

    The CSIR has two Internship opportunities in the Financial Services portfolio within Payroll and Bursary Administration department. The purpose of this internship is to provide graduates with an opportunity to gain practical work experience through performing accounting and administrative duties. These positions are based in Pretoria.

    Key responsibilities:

    • Process financial transactions in the bursary administration and payroll environment under guidance and supervision to ensure the transactions are recorded accurately, in compliance with policies, processes, guidelines and legislation.
    • Assist with processing monthly allowance for bursars and study fees upon receiving invoices from academic institutions to ensure that payments are done in accordance with the award letter.
    • Assist with processing of bursary payments on receipt of approved Workflow requests and prepare bursary agreement between CSIR and employee, to be signed prior to transferring of funds to academic institutions.
    • Prepare and process monthly transactions, in accordance with legislation, CSIR policies and procedures.
    • Ensure the correct accounting of transactions based on valid substantiating documents for review by the supervisor.
    • Assist with preparing monthly reconciliations of the relevant study/bursary/payroll control and suspense accounts to detect long outstanding transactions for action to reduce the risk of losses or incorrect legislative application.
    • Follow up and resolve outstanding stakeholder queries (internal and external) or escalate to the Management Accountant.
    • Record keeping of all relevant documents in adherence with the CSIR document retention policy and legislative requirements to ensure documents are available when necessary.
    • Comply with month-end and year-end processes according to the established plan so that transactions, processes, and reports are completed on time.

    • A three-year Diploma or Bachelors Degree in Accounting or Finance.

    The CSIR has two internship opportunities for End User Support in the ICT Services Centre. The incumbents will do first-line and second-line support to end-users within the CSIR. These positions are based in Pretoria.

    Key responsibilities:

    • Assemble, configure and support end-point devices, inclusive of the necessary user support required;

    The CSIR has a vacancy for a Barista/Barman/Driver in the Conferencing and Accommodation portfolio. The incumbent will be responsible for making and serving cold and hot beverages, explaining the ingredients to customers in an engaging manner and conducting onsite deliveries and collections as and when required. This position is based in Pretoria.

    Key responsibilities:

    • Receive and preparing hot and cold beverage orders from service staff for sit-down customers;
