    MAIN OUTPUTS

    Commercial Specialist - Gqeberha

    ROLE PURPOSE

    Management of the planning and scheduling of all resources to ensure work is executed in accordance with Engineering Standards, Service level agreements and also drive optimal stock level in the distribution facilities in accordance with Inventory management principles to ensure cost effectiveness of the entire operation. This includes exploring and seeking various workable commercial frameworks, work in collaborations with all the departments in reviewing, scrutinizing and developing efficient and effective systems and process flow.

    MAIN OUTPUTS

    • Monitor and ensure regional on time service delivery as per SLA's or as agreed with Client
    • Pro-actively interact and engage with the client to understand areas of improvement and ensure that turn-around times are shortened to the satisfaction of the client.
    • Ensure relevant feedback, information and reports are prepared, submitted and presented to various stakeholders on all aspects of service delivery and profitability.
    • Leading, facilitating, developing and implementing relevant resource management process improvements in order to achieve SLA targets
    • Management of the regional store inventory, churn & asset (Tools & equipment) budget, ensuring that proper utilization of allocated budget and being able to provide valid variance explanation on P&L’s.     • Monitor the productivity of all Human Capital allocated to the regional resource section and ensure that all human capital operate to capacity. Effectively deal with non-performance and destructive behavior which might jeopardize Bidvest FM standing with the Client.
    • Ensure Health & Safety is a primary function and all mechanisms, processes and procedures are in place, monitored and adhered to at all times
    • Ensuring through Supply Chain that the region has competent and diligent service providers to utilize in cases of emergencies and that such service providers are compliant with Bidvest FM BBBEE strategy.
    • Coaching, mentoring and counseling of staff not performing to the required standards and ensuring that employees improve on performance gaps highlighted during informal sessions and performance appraisals.

    Executive Operations

    ROLE PURPOSE

    Takes full accountability to ensure that all strategic, critical & other facilities as defined by the Customer meet business as well as contractual needs. Takes full accountability to develop the operating model (people, process, system) to the level where service can be delivered effectively and economically.

    MAIN OUTPUTS

    Finance:

    • Ensure strategies, mechanisms and guidelines are developed that would govern the development & maintenance of short, medium and long term capex budgets for the associated contracts
    • Develop FM operational budget (short & medium term) and ensure compliance thereto

    Customer:

    • Engage with different customer groups on a senior level to determine the associated business plan & requirements

    Project Compliance Specialist (OHS)

    ROLE PURPOSE

    The responsibilities of Compliance Specialists in Bidvest Facilities Management can be summarized as follows:

    • To ensure that the required Health, Safety, Environmental and Quality client submissions in line with contractual obligations are met.
    • Ensure that contractors are vetted timeously according to standards.
    • Support any other Compliance key performance areas across all contracts as and when required.

    MAIN OUTPUTS

    • Monitor and measure the status of the required Health, Safety, Environmental and Quality client submissions in line with contractual obligations.
    • Facilitate the review of Health, Safety, Environmental and Quality documentation for client submission by due dates.
    • Coordinate the submission to clients and ensure timeous approval from clients across all contracts.
    • Manage, monitor, and verify corrective actions in line with client feedback for resubmission by agreed due dates.

    Senior Technical Soultions Engineer

    ROLE PURPOSE

    Provide technical and engineering solutions to client scope of services and portfolio according to Company range of services, capabilities and offering that increases New Business revenue and profit.

    MAIN OUTPUTS

    Engineering and Technical Solutioning

    • Develop PPM’s and resource requirements based on clients technical / engineering scope of services.
    • Develop corrective / adhoc maintenance resource availability to adhere to client services and response times.

    Stock Controller - Montague Gardens

    ROLE PURPOSE

    The purpose of this position is to manage stock in & out of the Distribution Facility and to maintain accurate stock level in the system.

    MAIN OUTPUTS

    • Receiving and issuing stock physically and in the system
    • Strive to achieve 100% stock accuracy and take accountability of stock movement in the stores
    • Place orders to replenish merchandise as needed
    • Track shipments status and address delay, where necessary expedite shipments
    • Check all stock received not damaged and the delivery notes aligns with the information in the system
    • Follow up on outstanding purchase orders and deliveries
    • Resolve any return or delivery issues

    Technical Supervisor - Sandton

    ROLE PURPOSE

    To ensure that there is an attainment of the business unit’s objectives, the creation and maintenance of the infrastructure, the establishment of standards of service, and the provision of amenities that create the working environment that supports the operating needs of all tenant.

    MAIN OUTPUTS

    • Ensure the day-to-day provision of services to tenants in the managed site/s, through specialist Direct and Outsourced Business Partners set out fully in the attached schedule but including the following: Building Services & Specialist Services
    • Monitor and report on the performance of the client’s specialist FM Direct and Outsourced Business Partners appointed to the managed site/s (specifically, its compliance with the requirements of Service Level Agreement) as per the appropriate Matrix
    • Ensure that all FM-related administration and accounting routines are observed, including: preparation and submission of annual budgets of expenditure and approval of expenditure
    • Maintenance of records, including accuracy of floor plans and layouts
    • Maintain harmonious relationships with visitors, tenants and tenants’ representatives at the managed site/s
    • Maintain harmonious relationships with internal and external specialist Business Partners, including Security Services, Professional and Technical Services, Group Sustainability.
    • Serve as a project team member on specific projects (installation, maintenance, upgrade, site-commissioning and refurbishment projects)
    • Monitor and enforce occupational health and safety standards, as well as working environment standards, in the managed site/s, as set out in the bank’s Occupational Health and Safety policy (with the tenants’ line management and specialist support departments, Group OHS, Group Risk, Security Services, etc)
    • Serve as a ADHOC member of the managed site/s emergency and disaster recovery teams, and to provide support to tenants with their business continuity needs
    • Ensure that Quality Assurance protocols are documented and consistently applied in all managed premises
    • Ensure that a “continuous improvement” regimen is developed, approved and implemented, in conjunction with the bank’s specialist Direct and Outsourced Business Partners
