    Export Shipping Coordinator

    Main Accountabilities:

    Retail:

    • Establish the optimal shipping terms in accordance with Weylandts policy.
    • Complete the customer’s appointed agents shipping instruction where Weylandts is the exporter of record.
    • Advise retail on the documentation fees required to be recovered from the client.
    • Clear communication that is to be developed for retail on obligations of Weylandts in relation to ex Works Shipments, such that retail can manage engagements with customers and their agents if required.
    • Prepare and submit the commercial invoices to support exports.
    • Prepare the export document pack that is required to be submitted to the shipping agent. This document pack needs to be tailored per shipment.
    • In instances where there is a cost implication that arises from shipping, update retail to communicate to their clients for approval before cost is incurred.

    Planning and Buying:

    • Engage with Purchasing Coordinators & Buying Assistants to assist with documentation when required. This could include documents such as: Certificates of origin / compliance reports.

    Finance:

    • Any Review or Risk related assessment to be presented to CFO and or CEO in terms of special projects.
    • Request and facilitate any payment instructions in relation to shipping costs or transport costs.

    Distribution Centre:

    • Send commercial invoices to Export Supervisor and then assist in the alignment of the packing list to the commercial invoice.
    • Include the completed packing list and QC imagery in the client documentation pack.

    Imports:

    • The major elements of the import function are administered through our current Freight Forwarder.
    • Ad-hoc non-traditional retail stock imports where assistance will be required to ensure a smooth import.

    Technical Experience:

    • A recognized Import/Export diploma (or recognized Institute course)
    • Minimum 3-5 years’ experience in importing/ exporting both to Africa and internationally.
    • Excellent PC skills (MS Office, especially Excel plus ERP System experience – Syspro would be advantageous)
    • Operational / supply chain experience in retail advantageous


    Personal Skills and Attributes:

    • This department requires a high level of attention to detail and accuracy.
    • Ability to plan and co-ordinate between multiple parties.
    • Able to work independently yet be a team player.
