    Faculty Officer (Job Level 10)

    Duties/Pligte

    • Assisting with collating programme information required to place in recruitment material;
    • Collating information to update application forms;
    • Assisting with updating programme information and data on system and other platforms;
    • Providing admissions information to relevant stakeholders;
    • Assisting with updating information relating to selection criteria;
    • Processing applications and referring to relevant departments in the Faculty;
    • Processing selection decisions;
    • Generating and issuing admissions letters to applicants;
    • Assisting with updating the registration information and programme data with approved information;
    • Preparing, storing and updating programme and module brochures;
    • Providing feedback about the registration process and related issues;
    • Assisting with registration and other duties as required during registration;
    • Processing module credit transfer and exemption applications;
    • Uploading the Senate resolutions as identified;
    • Uploading marks as required;
    • Capturing mark changes;
    • Checking student records for correctness after registration (progression checks);
    • Checking academic records - evaluating whether students meet all the requirements of the relevant degree;
    • Identifying cum laude cases;
    • Preparing readmission application documents for submission to the Readmission Committee and issuing correspondence after meetings;
    • Prepare postgraduate theses examination documentation and submitting it to external examiners;
    • Paying moderators and postgraduate external examiners;
    • Assisting with the preparation of the graduation list and presentation cards;
    • Providing graduation service during graduation ceremonies;
    • Assisting with updating the Faculty calendars and other official institutional documents, as well as the website;
    • Handling walk-in, email, telephone enquiries, as well as enquiries received via other platforms as operationally required;
    • Liaising with the divisions and academic departments within the SU as operationally required;
    • Undertaking special projects and ad hoc duties as assigned by line managers.


    Job Requirements/Pos Vereistes

    • A relevant Bachelor's degree;
    • Three years' work experience in high-level administration, preferably in a higher education institution or a position requiring similar skills;
    • Computer literacy in MS Office (Word, Excel, PowerPoint and Outlook) and web applications;
    • Strong interpersonal and communication skills in at least in English;
    • Customer service orientation with a high level of diplomacy, emotional intelligence and personal integrity;
    • Excellent organisational, planning and multi-tasking skills;
    • The ability to function accurately and effectively under pressure;

    Director: Academic ICT

    Duties/Pligte

    • Formulating and implementing strategy and policy related to the Academic ICT portfolio, such as the ICT Digital strategy. Providing input to strategy and policy in related areas, such as the Strategy for Teaching and Learning;
    • Leadership and management of the Academic ICT team;
    • Establishing and maintaining the capacity and expertise to ensure effective service delivery: recruiting and training staff, strengthening partnerships, and managing resources;
    • Improving access to systems, services and infrastructure, in particular storage and HPC;

    • Guiding and facilitating selection and procurement of cost effective fit-for-purpose solutions (equipment, software and services) in the portfolio, starting from needs analysis, requirements gathering, procurement processes to contract negotiations, implementation management and ongoing service delivery, including planning for and ensuring sustainability;
    • Identifying and managing risks;
    • Financial planning and budgeting, and expenditure control in the Academic ICT portfolio;

    Job Requirements/Pos Vereistes

    • An appropriate NQF 8 qualification (four-year bachelor's degree; honour's degree, postgraduate diploma) in Engineering, Information Technology, Computer Science and / or related fields, AND more than ten years' proven experience in a senior IT management position or similar role; OR
    • An appropriate NQF 9 qualification (master's degree) in Engineering, Information Technology, Computer Science and / or related fields, AND eight to ten years' proven experience in a senior IT management position or similar role;
    • An appropriate Business Management qualification (additional to the technical qualification/s stated above);
    • Good understanding of one or more of the academic functions in a higher education context (learning and teaching, research, and engagement);
    • Excellent at building and maintaining good stakeholder relationships;
    • Excellent at building and maintaining value adding vendor partnerships;
    • Customer-centric and approachable in order to build a positive rapport between ICT and its stakeholders (i.e., staff and students);

    Deputy Director: Spinout Companies and Funds

    Duties/Pligte

    • The key responsibilities of the Deputy Director: Spinout Companies and Funds will be to work closely with the Innovus team, spinout companies and the LaunchLab on the following key performance areas:
    • Supporting early-stage spinout companies in the SU Group of Companies to grow and enter markets successfully and to become sustainable profitable businesses. This will involve developing and maintaining close trusting relationships with the spinout portfolio. In addition to acting as a trusted sounding-board for company management, this may involve acting as the University's appointed Observer or Non-Executive Director from time to time;
    • Spreading best practice throughout the early-stage spinout portfolio, and establishing/fostering a community among our spinout companies management teams;
    • Tracking potential investment opportunities from the portfolio in order to be ready to present investment proposals in a timely and effective manner. The incument will need to carry out due diligence, including consultation with key stakeholders and opinion leaders, as required, in order to develop funding proposals for investment and will assist the spinout company management to set up and populate data rooms, manage due diligence processes, etc.;
    • Working closely with the company secretary of USE and the head of finances of Innovus on regular reporting (to a professional fund standard) as required to monitor existing spinout progress, to enable Innovus Technology Transfer and USE to be aware of the value of its assets, and of any opportunity to invest further capital or otherwise assist / intervene. The incumbent will also be responsible for continuous improvement of the fund management processes and reporting to investors and the University's investment committee;
    • Assisting with the recruitment of management talent and fundraising from external sources for the SU group of companies;
    • Assisting the spinout companies that are still in incubation phase with general advice, management, access to networks, access to investors, etc.;
    • Assisting entrepreneurs of the spinout companies (before or after establishing the company) with training and support, pitch deck preparation, pitch training, business plan drafting, due diligence preparations, discussions with investors and industry partners, etc.;
    • Assisting entrepreneurs of the spinout companies to grow their businesses, to access markets, to attract investment, to establish and maintain excellent levels of corporate governance; Leading and/or assisting with negotiations relating to the investment in spinout companies, working with the University's legal advisors and the Chief Director: Innovation and Commercialisation, the Operations Coordinator: Spinout Companies and Project Development and the Technology Transfer team.
    • Freedom to act and decision-making (depth of control, supervision received, use of judgement and initiative, analytical ability):
    • Using evidence to form opinions on IP management and commercialisation strategies;Influencing decision-making in various committees based on sound information;
    • Contributing to the delivery of a range of outputs, including technology disclosures, protection of SU intellectual property, licence and investment deals and new venture formation.

    Job Requirements/Pos Vereistes

    • A relevant degree in law, commerce, engineering, or science;
    • Extensive and proven experience supporting early-stage companies and technology commercialisation;
    • Solid project management experience;
    • Experience of working within a scientific (preferably research) environment;
    • A demonstrated ability to negotiate and conclude deals in commercialisation of technology;
    • A good understanding of the Intellectual Property Rights of Publicly Funded Research and Development Act (51 of 2008) and its regulations;
    • A demonstrated ability to raise funding for start-up companies;
    • Strong industry and investment networks;
    • Incubation support experience;
    • Excellent business acumen;
    • Good numeracy and IT skills, including portfolio management software, spreadsheets, and databases;
