    Office Administrator

    POSITION OVERVIEW

    The Office Administrator will be responsible for providing administrative support to ensure efficient operation of the IIA SA Durban Branch. This role involves a variety of tasks, including but not limited to, managing office communications, organising events, maintaining office supplies, and providing excellent service to members and visitors.

    KEY TASKS AND RESPONSIBILITIES

    KEY AREAS OF RESPONSIBILITY

    Administrative Support

    • Handle incoming calls, emails, and other communications
    • Manage the branch's correspondence
    • Assist the Regional Committee with administrative duties
    • Drafting AGM minutes and regional committee minutes

    Member Services

    • Assist with membership inquiries and provide information about services and events
    • Support the coordination and delivery of member events and activities

    Office Management

    • Ensure the office is clean, organized, and well-stocked with necessary supplies
    • Coordinate maintenance and repair of office equipment and facilities

    Events Coordination

    • Assist in planning and executing regional events, meetings, and workshops
    • Handle logistics for events, including attendee registration

    Communication

    • Manage the branch's social media presence and website updates
    • Serve as the point of contact for external stakeholders and visitors

    Support Regional Portfolio Manager

    • Provide administrative support to the Regional Portfolio Manager as needed
    • Assist with special projects and tasks assigned by the Regional Portfolio Manager

    KEY REQUIREMENTS

    Knowledge and Experience

    • Diploma or degree in Office Administration, Business Administration, or a related field.
    • At least 2-3 years of experience in office administration or a similar role.

    Skills and Personal Attributes/Qualities

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent written and verbal communication skills.
    • Strong organizational and time-management abilities.
    • Ability to multitask and prioritise tasks effectively.
    • Attention to detail and problem-solving skills.
    • Knowledge of office management systems and procedures.
    • Friendly and professional demeanour.
    • Ability to work independently and as part of a team.
    • Flexibility and adaptability to changing priorities.
