    Kitting Coordinator

    Purpose of the Job

    • Responsible for execution of material handling and processing activities including kitting related documentation and safe storage, receiving and delivery of goods to the appropriate storage location/plant, as well as general housekeeping of all logistics operational areas.

    Key responsibilities include the following:

    • Perform a physical check of goods received or dispatched and verify the item numbers, description, quantity and referenced PO/WO number.
    • Match the physical check of the goods to the TO PO/WO on SAP and accept/dispatch goods if all checks are correct.
    • Over supply – The logistics coordinator must ensure only receive/Kit the quantity required and send back the over-supply. The delivery document must be signed-off with the drivers name, drivers ID, signature and vehicle registration number as confirmation that the over-supply was not received by Gibela.
    • Under Supply – The logistics coordinator must only receive the physical quantity supplied and the delivery document must be signed-off with the drivers name, signature and ID as confirmation that a shortage of supply exists.
    • Check for damages which are to be returned to the supplier and the process in receiving shortages is applicable.
    • Report discrepancies on supplies and/or damaged goods to the Supervisor. (An NCR may be raised).
    • Receive/dispatch the goods on SAP only if the documentation matches the physical goods checked which also matches the PO/WO.
    • The SAP transaction must be completed before goods are physically moved in or out of the warehouse.
    • If both the goods and delivery documents have been checked for compliance, the documents must bear a security stamp when the goods passed through the gate and signed-off by the logistics coordinator who receives/dispatches the goods.
    • Ensure that all on-site deliveries are captured into block stock in SAP (103 transaction) prior to the vehicle entering the works;
    • Ensure that all deliveries that were captured into block stock (103) on SAP are captured out of blocked stock (105) within 24 hours of physical receipt;
    • Ensure that all deliveries that were captured into Quality Hold on SAP are captured out of quality hold within 48 hours of physical receipt.
    • Ensure that the Quality Assuror clears all quality receipts within 48hours;
    • Ensure that no services are received on a goods order;
    • Record and report all ‘warehouse-bypass’ instances to the Warehouse Supervisor.
    • Ensure that all receipts are done against the correct orders and that errors are corrected in a timeous manner.
    • Ensure that all proof of delivery documentation are retained, appropriately secured and filed and scanned for future reference.
    • Responsible to ensure that the correct handover controls are always adhered to for warehouse and plant deliveries.

    Storage, Transportation and Housekeeping

    • Ensure that high standards of housekeeping are maintained within all storage and surrounding areas by addressing Safety Incidents of non-compliance, hazards identified, gross negligence and damage to property.
    • Ensure compliance with safe storage and stacking procedures as well as legal and statutory regulations while stored, loading, off-loading or in transit areas
    • Setup and optimize layout and space management of all receiving areas;
    • Ensure that items are transported in a safe manner to relevant storage locations/plants and that material safety data sheets (MSDS) are available when transporting hazardous materials;
    • Take responsibility for the security of the building, stock, warehouse equipment and people;
    • Ensure that all physical controls, such as that, gates are kept closed, access to storage areas are controlled etc, are adhered to.
    • Take accountability for physical controls and security at perimeter receiving areas;
    • Ensuring that floors are swept; shelves and cages are clean, neat and well maintained; and that documentation is orderly stacked and filed.

    Stock Taking

    • Provide input to stock take planning and schedules and help drive the execution of the plan to ensure accurate stock levels are maintained in SAP;
    • Assist with periodic and annual stock takes as well as with the investigation, correction and motivation of stock variances.

    Warehouse Equipment Maintenance

    • Adhere to relevant vehicle and materials handling policies and procedures;
    • Ensure that all warehouse equipment, storage structures and general facilities are well maintained.

    Safety, Health and Environment

    • Ensure that safety awareness is cultivated within the warehouse environment and ensure compliance with all relevant EHS policies, procedure and systems;
    • Ensure that all team members are adequately trained with regard to the relevant EHS policies, procedure and systems and comply with them;
    • Implement product and employee safety by ensuring that dangerous chemicals, flammable goods, expired stock, etc are segregated to prevent accidents.
    • Ensure that all suppliers performing on-site deliveries comply with EHS policies, procedure and
      systems and take appropriate action if they do not comply.
    • Conduct EHS risk assessments, develop and implement mitigation plans and monitor progress.

    Policy, Processes, Systems and Reporting

    • Adhere to relevant warehouse and inventory management policies, processes, procedures and reporting requirements;
    • Provide improvement input to warehouse management policies, strategy, processes and procedures;
    • Comply with relevant quality standards and procedures.
    • Support all follow-up, investigation and close-off of NCRs

    Relationships

    • Develop and maintain relationships within the Supply Chain function as well as with user departments and suppliers;
    • Deliver on service delivery metrics and targets and monitor the quality of service being delivered;
    • Ensure that queries are attended to and resolved in an efficient manner.

    Requirements:                                                                                                                                       

    • Grade 12;
    • Code 8 drivers and forklift licenses.
    • Certificate in materials management, logistics or warehouse management is advantageous
    • Minimum of 2 years Warehouse experience
    • Relevant ERP system experience, preferably SAP Materials Management.
