    Information and Governance & Records Manager

    Role Purpose

    This role will monitor local and UK-specific regulations on information management and data protection,  develop a strategy to address key risk areas and deliver first-line support across the region. The role will provide practical support and guidance to Asset Managers and SROs in the business areas to comply with  GIS and IGRM policy.

    The Head of Regional Collaboration and Information Governance is a key leadership role responsible for overseeing and driving regional collaboration initiatives and ensuring the effective management of information governance within the Region.

    This role liaises with the Global Information Services (GIS) / Digital and Information Security Governance & Management (IGRM) teams to agree and manage appropriate file plans for offices and SharePoint sites and ensure regional information on the various sites is being managed correctly and regularly reviewed. This includes changes in premises or presence and changes in operating models.

    This role leads to designing, developing, and supporting SharePoint, MS Teams, and MS 365 Group sites across the region. It will provide guidance and good practice to facilitate virtual collaborative working and the best use of MS 365.

    Main accountabilities but not limited to the following:

    Regional Collaboration

    Develop and execute a regional collaboration strategy, aligning with organizational goals and objectives including: 

    • Identifying the region’s knowledge and information sharing needs,  providing strategic direction and support to implementation
    • Providing strategic direction and guidance for optimal use of MS 365 in the region and directing users to appropriate training materials
    • Refreshing the region’s Sharepoint, MS Teams, and MS365 Group sites, advising owners on their management, and supporting them to ensure sites are being kept up to date and that owners are aware of their responsibilities
    • Monitoring compliance with GIS/Digital and IGRM standards and policies in the region and addressing key risk areas
    • Identify opportunities for collaboration, partnerships, and joint projects to enhance the organization's regional presence.

    Information Governance:

    • Establish and enforce information governance policies, procedures, and best practices to ensure the confidentiality, integrity, and availability of information assets.
    • Oversee compliance with data protection regulations, including UK & EU GDPR, or any other applicable standards locally.
    • Lead the development and implementation of a comprehensive information governance framework within the region.

    Risk Management:

    • Identify and mitigate information governance risks, including data breaches and compliance violations.
    • Develop and maintain incident response plans and procedures in collaboration with the IGRM Team.

    Role-specific knowledge and experience:

    Essential requirements:

    • Graduate degree or equivalent work experience.
    • A confident IT user with good knowledge of SharePoint, MS Teams, Groups and M365 applications
    • Knowledge of and advisory-level experience in collaboration incl. related platforms, records management (with a focus on digital formats), personal data protection/GDPR, information security, and information assurance.

    Desirable:

    • Recognized Certified International Privacy Professional qualification awarded by the International Association of Privacy Professionals (IAPP).
    • Archives and Records Association (ARA) approved records management course.
    • Good understanding of how to apply M365 applications to business scenarios
