Executive Support Specialist - Brackenfell at Shoprite Group of Companies

Purpose of the Job    

The Executive Support Specialist plays a crucial role in supporting the Chief Analytics Officer (CAO) and team leads within the data analytics function. This role assists in coordinating events, programs, and team-building exercises, while also delivering key projects. The EA does not require a specific data/analytics background but must have excellent rapport and connections within the wider business. The EA will establish the CAO office's presence in relevant forums and contribute to the success of the data analytics function through effective support and project delivery.

Administrative Support

• Provide comprehensive administrative support to the CAO and team leads, including calendar management, travel arrangements, and meeting coordination.
• Prepare documents, reports, and presentations for internal and external communications.
• Manage confidential and sensitive information with discretion.

Event and Program Coordination

• Coordinate events, programs, and team-building exercises for the data analytics function, including planning logistics, coordinating invitations, and managing event budgets.
• Collaborate with stakeholders to ensure smooth execution of events and programs.
• Assist in organizing training sessions, workshops, and knowledge sharing activities.

Project Delivery

• Take ownership of key projects, working closely with the CAO and team leads to define project objectives and deliverables.
• Coordinate project resources, timelines, and tasks to ensure successful project completion.
• Monitor project progress, identify risks, and develop mitigation strategies.
• Prepare project documentation, reports, and updates for stakeholders.
• Relationship Building and Communication
• Establish and maintain relationships with stakeholders within and outside the data analytics function.
• Represent the CAO office in relevant forums and meetings, ensuring effective communication and rapport with key individuals.
• Collaborate with other executive assistants to support cross-functional initiatives and promote collaboration.

Qualifications    

• Matric / Grade 12 Certification – (essentials)

Experience    

• 3+ years of proven experience as an executive assistant or in a similar operational and/or support orientated role in the Data Analytics environment, with exposure to cross-functional Data projects and a good understanding of the Data environment, trends and the uses of digital and related technologies including relevant platforms and channels – (essentials).

Knowledge and Skills    

• Demonstrable track record of providing general business/office support in terms of reporting at various levels from internal team reporting and feedback, through to executive board reports and related reporting inputs – (essential).
