    Agent Personal Assistant - Sea Point

    Main Purpose of the Job

    We are looking for a dynamic, experienced Personal Administrative Assistant, to join a top Gold Club Elite team based in Sea Point.

    MAIN PURPOSE OF ROLE

    • To assist the team of Agents with all property matters through competent and effective secretarial support and the smooth running of their office. To promote a welcoming and professional corporate image, through the efficient handling of clients, visitors and other callers, whether telephonically or by personal contact, and the co-ordinating of administration activities for the Agent.

    Key Responsibilities

    • Diary management for a team of busy, high-performance Agents;
    • Arranging house viewings;
    • Dealing with client queries;
    • Loading of new properties and updating existing ones;
    • Advertising of properties;
    • Arrange for marketing collateral to be sent to interested parties;
    • Compilation of show-house brochures and portfolios;
    • Capturing of buyers in Alchemy;
    • Capture and maintain client information on databases;
    • Follow up with clients on all property and administrative matters such as marketing proposals, photography of properties and ensure ongoing communication and feedback at all times;
    • Screening and/or prioritisation of telephone calls, accurate message taking and responsible for correspondence;
    • The handling and co-ordination of responses to complaints;
    • Maintenance of an effective filing system.

    Key Competencies

    • Strong written and verbal communication skills;
    • Good interpersonal skills with an approachable, confident and friendly demeanour;
    • An ability to work independently, make own decisions and use own initiative as well as the ability to work as part of a team;
    • An ability to work under pressure with a solution-orientated attitude;
    • An ability to prioritise with strong organizational skills;
    • Patient and strong self-control;
    • Highly efficient and accurate with a strong ability to pay attention to details;
    • Places a high value on integrity and confidentiality.

    Education & Experience

    • Matric (Secretarial or conveyancing Diploma an advantage);
    • At least 5 years’ experience as a personal assistant;
    • Property knowledge or previous experience in a similar role a definite plus.
    • Knowledge & Skills Required
    • Computer literate and proficient in Microsoft office, Power Point, Excel & Internet (must have own laptop);
    • Alchemy proficient.
