    Administrative Officer

    Duties 

    • Drafting inputs into the strategy and business plan of the Museum with respect to financial management; 
    • Rendering administrative and secretarial assistance to the Director and the Museum Advisory Board;
    • Providing ad hoc, monthly, quarterly and annual reports as per the Museum business plan as and when required;
    • Procuring goods and services in line with the finance policy of the University;
    • Assisting management in managing the Museum's assets and updating the assets register;
    • Administering externally sourced funds and funding contracts linked to the Museum;
    • Assisting the cost centre owner with managing the Museum's budgets;
    • Inventory control and procurement; 
    • Administering vehicle pool bookings;
    • Administering bookings for the use of the Museum; 
    • Administering procurement of goods and services from internal suppliers;
    • Issuing goods received notes; 
    • Administering the requisition of diverse payments; 
    • Administering contracts and payment of suppliers; 
    • Managing debtors and creditors;
    • Administering cashier deposits; 
    • Filing all financial records for audit purposes;
    • Liaising with the Finance and Procurement Division; 
    • Putting in place systems for internal financial control;
    • Introducing and administering a transparent bookkeeping system for the Museum;
    • Executing ad hoc functions and administering overtime payments as directed by the cost centre owner. 

    Job Requirements

    • A relevant post matric qualification (NQF 6 or higher) in finance or accounting;
    • At least two years' relevant experience;
    • Experience in financial management and procurement; 
    • Computer literacy in the MS Office package (Word, Excel, PowerPoint);
    • Excellent written and verbal communication; 
    • Conflict and interpersonal skills;
    • The ability to work in a diverse and changing environment; 
    • The ability to work overtime based on the operational requirements of the Museum
