    Imports Controller

    Job description

    MAIN PURPOSE OF THE JOB

    • To accurately and timeously process the necessary import and export financing applications, i.e. Irrevocable Letters of Credit: Imports and Exports, Foreign Bills for Collections, Telegraphic transfers, Guarantees, letters of confirmations , Forward Exchange Cover (FEC) and local payments, within laid down policies and procedures and time frames/Service Level Agreements (SLA’s).
    • To ensure the smooth running of a portfolio of clients and be able to work under pressure with the Trade Finance Sales team and the Credit Department.
    • To ensure compliance of conditions applicable to Trade Finance facilities which Credit imposes on the facilities.
    • Deliver good service within agreed turnaround times and guide clients without giving any financial advice where required.

    KEY AREAS OF RESPONSIBILITY

    • Accurate processing of all types of payments, i.e. foreign on behalf of Sasfin Asia Ltd. (“SAL”) and local, Sasfin Bank Ltd. (“Sasfin”) within a maximum of 48 hours of receipt but preferably A.S.A.P. after receipt thereof;
    • Verifying signatures on clients’ application forms;
    • Checking and verifying supporting documents for payments made;
    • Obtaining the custom documents from the clients for South African Reserve Bank (SARB) purposes;
    • Ensuring payments from clients are received in time;
    • Ensuring bills processes are followed according to requirements and held back as per mandate instructions;
    • Develop good relationships with clients and colleagues;
    • Compliance with Sasfin and SAL policies and procedures;
    • Ensuring adherence to terms and conditions on Trade Finance (TF) accounts, as imposed by Credit;
    • Capturing of deals on SWIFT, i.e. accurate and timeous capturing within agreed policies and procedures and SLA’s;
    • Capturing of local payments on Nedbank Transactional Banking in house system;
    • Controlling of client accounts with special conditions i.e. disclosed, enforced, pre-sold, back-to-back type of facilities, etc.;
    • Requesting of rates from Senior Imports Controllers/Supervisors which are obtained from the Forex Dealers in London / SBL;
    • Monitoring bills falling due on a daily basis, for your portfolio;
    • Consolidation of daily invoices and providing turnover figures to accounts, on a daily basis;
    • Assisting with BFS queries where necessary;
    • Ensure that funding of our bank accounts, with regards to FEC’S, outward Swifts and loans are actioned timeously;
    • Ensure that BOP forms are completed for Treasury for Funding purposes, where required;
    • Capture any loan applications on behalf of SAL on Swift. Ensure that this is done accurately and timeously;
    • Ensure that Nedbank LDN FEC confirmations are signed and sent to Accounts Department and Nedbank London; and
    • Any other ad-hoc functions as communicated by management.

    ACCOUNTABILITY

    Accuracy on daily functions;

    • Timeous banking of clients cheques;
    • Monitoring that payments are received on due date from clients;
    • Monitoring of extensions and holds on the unpaid list;
    • Ensuring receipt of payment by clients when payments are due;
    • Ensuring that unpaid advices are sent to Sales and Credit;
    • Ensuring accuracy when capturing Swift messages;
    • Ensure accuracy when capturing local payments on the Nedbank/Transactional Banking in-house banking system;
    • Monitoring risk on portfolio of clients within laid down policies and procedures;
    • Good communication on conduct of portfolio of clients;
    • Developing and maintaining a strong understanding of daily expectations within Operations;
    • Providing a high level of client and colleagues relationships;
    • Operating as a team player, ensuring the achievement of Trade Finance’s, Sasfin’s and SAL’s goals;
    • Promoting and upholding Sasfin and SAL’s brand and values; and
    • Disclosing any errors, whether made personally or known to be made by anyone else.

    NATURE OF POSITION

    Admin

    • Monitoring client deals submitted and ensuring compliance of all conditions of the account;
    • Accurate processing of deals within 48-hour turnaround time;
    • Follow up with clients for EFT’s and documents related to payments made on their behalf;
    • Verification of client signatures on all applications submitted; and
    • Good internal and external relationship.

    Credit management

    • Manage credit risk of existing customers and new clients; and
    • Ensure all control measures related to the approved facility and account are adhered to.

    General

    • Assist team members and management, where required;
    • Practice a “clean desk” policy at all times;
    • Must be service-orientated, proactive and able to use initiative and meet deadlines;
    • Must be able to work under pressure; and
    • Must have excellent written and verbal communication and organisational ability.

    SKILLS/PERSONAL ATTRIBUTES REQUIRED

    • Minimum matric/GR12 with mathematics;
    • A minimum of three years’ Banking experience which require Foreign Exchange knowledge, Letters of Credit, SWIFT payments and Forward Exchange Contracts;
    • Enthusiastic, passionate and willing to contribute to a changing working environment;
    • Team player but self-sufficient; and
    • Must be able to work under pressure.
