    Group Artwork and Integration Manager

    Job description

    ROLE PURPOSE:

    The Group Artwork Manager is a Group role based out of Durban South Africa. The purpose of this role is to define, implement and maintain the strategic processes and systems for Aspen’s pharmaceutical artworks. The Group Artwork Manager has direct responsibility for the integration and implementation of artworks resulting from Group strategic projects, both locally and internationally, and in line with overall project requirements. The Group Artwork Manager also has direct responsibility for the APTL Artwork department in Dublin Ireland with the APTL Artwork Manager reporting directly to the Group Artwork Manager. The Group Artwork Manger’s goals and objectives will be set in line with the company vision and competencies.

    SPECIFIC OUTCOMES / ACCOUNTABILITY:

    Group Artwork Processes:

    Group Art Work Process Management

    • Define and implement the short-term and long-term Group strategies and processes for the management of Aspen pharmaceutical artworks to ensure industry best practices are met.
    • Ensure Group Artwork processes fully support the overall business strategic requirements and are integrated seamlessly with Regulatory Affairs, Manufacturing Sites (internal and external), Supply Chain and other work functions.
    • Ensure Aspen Artwork Management Processes are appropriately documented and trained to all relevant parties in the group.

     Group Artwork Technical Development Processes

    • Define and implement the Group Artwork Technical Development strategic processes.
    • Process flexibility essential given Aspen’s diverse Manufacturing and CMO structure.
    • Implementation of a process for the development and maintenance of site Technical Deadlines and Artwork Templates.
    • Implementation of Aspen Artwork development standards at internal and external studios.
    • Implementation of a support network for Aspen sites Technical Packaging Requirements.

     Affiliate Team Oversight

    • Support all Affiliate artwork teams and regions with the implementation of Group Artwork processes.
    • Develop and maintain a programme of continuous improvement with each Affiliate artwork team.
    Continuous Improvement
    • Implement mechanisms to monitor and measure performance of the Group Artwork processes at both Group and Affiliate levels.
    • Provide periodic reports to the Group RA Executive in relation to artwork quality, capacity and risks. Report to include a strategic continuous improvement plan.

    Group Artwork Systems and Software:

    • Owner for Aspen Group Artwork Management Systems

    SharePoint Change Request (CR) System:

    • Maintain and improve interim Change Request system (SharePoint based system).
    • Roll out CR system to all affiliates and CMO’s for Group International Products.
    • Roll out CR system to relevant affiliates and sites for Pharmacare products.
    • Ensure documented and validated statuses for the CR System are maintained.

    Lifecycle & Artwork Management System:

    • Manage the on-time development and roll out of the Aspen Lifecycle & Artwork Management System in line with the documented business requirements (URS).
    • Ensure project and budget milestones are met and reported accordingly.
    • Ensure validation, documentation and training of the Aspen Lifecycle & Artwork Management System in line GAMP/GMP requirements.
    • Post go-live, ensure documented and validated statuses are maintained and programme for system and process improvement is in place.

    Identify, implement and own software solutions to support Aspen Artwork process and compliance, e.g., electronic proofreading software

    Integration & Implementation:

    Mergers & Acquisitions and Strategic Projects:
    • Artwork point of contact for all international and local M&A and Strategic projects (e.g., site transfers etc.).
    • Establish and maintain livery implementation plans based on input from key internal and external partners.
    • Ensure livery implementation time-lines are met in line with the overall strategic project schedule.
    • Define, in collaboration with M&A partners and/or new sites, the business practices in relation to artwork transfer, livery implementation, risk management etc.
    • Coordinate artwork activities with Affiliate teams as appropriate.
    • Ensure Aspen systems and process requirements are met/amended to support M&A and Strategic project requirements.

    Operational Projects – Artwork Implementation:

    • Establish and maintain robust process between Affiliate Demand teams, Affiliate Artwork/RA and AGI to ensure on time implementation of artworks.
    • Establish and maintain reporting and tracking tools to drive artwork/implementation priorities ensuring alignment with demand requirements, supply timelines and/or restrictions.
    • Establish regional implementation matrices (by product/site/country) to support Artwork Coordinator project planning and implementation.
    • Develop process and systems integration with Lifecycle & Artwork Management system to support the defined processes.
    • Establish metrics (e.g., out of stock value/write of costs) for monitoring process improvements in this area

    APTL Artwork Department Management: 

    • Direct responsibility for the operational performance of the APTL Artwork team.
    • Talent development of the APTL Artwork Manager and APTL Artwork team as a whole.
    • Provide periodic reports to the RA Executive in relation to APTL artwork quality, capacity and risks.

    Any other duties as assigned by your Manager

    Requirements

    EDUCATION AND EXPERIENCE:

    • A minimum of relevant Science degree and/or a minimum of 10 years Artwork experience preferably with 5+ yrs. Management/Supervisory experience at a senior level.
    • Business process expert in artwork management, regulatory compliance and Artwork Management Systems.
    • Proven track record in Supply Chain and supply integration and implementation in the Pharmaceutical sector.
    • Proven track record of working in accordance with quality standards e.g. GMP.
    • Demonstrated strategic mind-set and strong business acumen
