    Financial Analyst

    Key Responsibilities (but not limited to):

    Financial Perspective

    • Monthly validation of foreign exchange gains/losses results. Includes performing validation on results of monthly revaluation program executed by financial systems analyst
    • Take ownership for accuracy of foreign exchange mapping table in SAP and instruct Financial Systems Analyst to make changes as and when required
    • Processing of monthly foreign exchange journals (FBB1 entries) as and when needed to correct entity financial records
    • Monthly review of general accountant journals and account reconciliations for South Africa, Botswana and the Development Funds
    • Responsible for ensuring intercompany confirmations of transactions and balances are executed timeously by various members of financial team including the intercompany accountant, costing accountant and treasury accountant
    • Responsible for collation and consolidation of intercompany transactions and balances reporting with the purpose of ensuring no material imbalances exist with Glencore trading partners at month-end
    • Ensuring integrity of financial results through performance of variance analysis on income statement and balance sheet
    • Ensuring integrity of financial results through performance of validation and reasonability checks on cash flow statement for South Africa, Botswana and the Development Funds
    • Responsible for monthly consolidation and upload of Accounts Payable Aging in SAC
    • Responsible for monthly upload of consolidation and intercompany reclassification journal entries to ensure accurate SAC reporting
    • Responsible for performance of ad-hoc research into IFRS accounting treatment of new types of transactions entered into by Astron Energy as and when requested by General Accounting Lead

    Customer Perspective

    • Prepare, distribute and consolidate monthly movement type reporting files for Finance to enable accurate balance sheet movement reporting in HFM
    • Prepare consolidated earnings file for South Africa, Botswana and the Development Funds for upload into Glencore group reporting tool (HFM) on a monthly basis
    • Co-ordination and consolidation of quarterly additional information pack for South African, Botswana and the Development Funds for submission to Glencore group in HFM
    • Assist General Accounting Lead with providing responses to ad-hoc queries from offshore controller and group reporting team
    • Planning and coordination of bi-annual statutory audit timelines and auditor deliverables listing
    • Annual preparation of AFS lead schedules and relevant supporting documentation for external auditors
    • Annual co-ordination of preparation of USD and ZAR/BWP annual financial statements (AFS) for South Africa, Botswana and the Development Funds by external service provider
    • Preparation of annual financial statements for smaller Astron entities AEPP Trust,  AEEPP No 2 Trust and Astron Energy Development Funds
    • Assist with periodic ad-hoc BEE reporting requirements

    Internal Processes

    • Ownership of Chart of Accounts management in SAP, HFM and SAC in line with IFRS requirements and Glencore group accounting policy. Periodically review CoA and drive continuous improvement in accuracy of financial reporting
    • Deployment of changes in group accounting policy and/or HFM reporting requirements within the company as prescribed by General Accounting Lead
    • Review new vendor creation in SAP against supporting documents provided and ensure accuracy before providing sign-off
    • Responsible for review and approval of external payments as house bank signatory

    People Management

    • Oversight over General Accountant ensuring month-end journals are processed and reviewed for all accounts under reconciliation
    • Review and sign-off of General Accountant reconciliations on a monthly basis

    Professional Qualification and Certifications:

    • CA(SA) with strong technical IFRS knowledge

    Work Experience:  

    • Minimum 5 years’ experience in accounting and finance roles
    • Big Four external audit experience and oil and gas experience preferred 
    • Experience in external and internal audit management preferred

    Knowledge and skills:

    • Reporting in terms of IFRS
    • SAP, CaseWare and HFM
    • Preparation and review of annual financial statements
    • Reporting to internal and external offshore shareholders

    Lead - Electrical, Instruments & Control Systems

    Job Description

    • Reporting to the Manager, Reliability & Maintenance, this role manages Electrical, Instrumentation (including Analysers) & Control Systems maintenance & reliability at the Refinery.
    • There are 3 Supervisors reporting into this role and an organisation of around 25 Astron employees.
    • The Lead will be a member of the Reliability & Maintenance Leadership Team.
    • The role may include some travel to conduct Vendor / Original Equipment Manufacture (OEM) Audits or attend Training.
    • The role takes responsibility for actions, projects and people; takes initiative and works under own direction; initiates and generates activity and introduces changes into work processes; makes quick, clear decisions which may include tough choices or considered risks.
    • Manages work direction and team coordination of the Electrical, Instrumentation, Analyser & Control Systems groups to successfully execute routine maintenance activities (at the Cape Town refinery) in order to optimize plant reliability, availability and safe plant operation.
    • Manages and maintains general contractor services and supply agreements in terms of resource and facilities outsourcing to maximize benefits and returns of the Refinery.
    • Continuously improve plant reliability through monitoring, failure investigation and corporate Best Practice reliability & maintenance programmes.
    • Executes Loss Prevention System (LPS) Manager Stewardship functions by formally reviewing Loss Prevention System (LPS) activities and ensuring execution of the process. Provides coaching to reports and contractors to sustain excellent reviewing Loss Prevention System (LPS) performance. Fosters and promotes Zero Harm and High Reliability Organisation (HRO) behaviours within the workgroup
    • Accountable for the compilation and control of the annual budget related to this position.
    • Effectively utilizes company and contractor manpower, materials and other resources to meet refinery strategic plans and ensuring sufficient materials and equipment are available at optimum levels to achieve.
    • Leads & Develops staff using appropriate Astron Energy Human Resources processes and tools and partnering with Learning & Development. Provide frequent periodic feedback on individual and workgroup achievements. Sets expectations and targets for individual reports via Performance Scorecard goal setting & review process, to support and enable continuous improvement in order to achieve and sustain 1st quartile corporate refining performance. Ensures that corporate compliance requirements are met. Drives efforts to develop and maintain competency framework, and participation in apprenticeship and Graduate Intern development programmes.
    • Key Stakeholders include Refinery Leadership Team (RLT), Extended Leadership Team (ELT) and 3rd party Vendor Management and staff.

    Professional Qualification and Certifications:

    • B.Sc / B Eng / B Tech Electrical Engineering (Heavy or Light Current), Mechatronics, Instrumentation or Control Systems; or
    • N3 with Trade Test in one the following disciplines (Electrical, Instrumentation or Controls); plus a recognised track record of relevant experience of 10+ years

    Manager - Loyalty & Payments

    Job Description

     

    • A member of the Retail Marketing Leadership team, this position would be responsible for resetting the loyalty and payments landscape for the retail business across the full network. This entails developing the loyalty and payments strategy, as well as design and execution of the brand loyalty “go to market” strategy and measuring effectiveness.
    • Required to lead a team towards successful execution, as well as influencing and leading senior cross functional team members/stakeholders to deploy strong consumer centric loyalty and payments solutions in a cohesive manner. The position requires a mastery understanding of loyalty and payment models/solutions, customer relationship management tools, other eCommerce/digital platforms, customer value management trends and innovations.
    • In addition, the role requires a deep understanding of the fuels industry regulations, thorough fuel eco-system commerciality, consumer evolving landscape, competitor landscape, knowledge and understanding of existing and future loyalty partnerships and offers, as well as the commercial and operational drivers of the fuels value chain (Crude to customer) to enable profitable and competitive programs

    • Enhanced customer loyalty value proposition via owned program loyalty initiatives and new partnerships
    • Develop business cases for new initiatives that demonstrate commercial viability and seek executive management approval

    Executive Administrator

    Job Description

    • The Executive Administrator plays a pivotal role in providing administrative and secretarial support to the Refinery General Manager of Astron Energy Refinery and his leadership team.
    • This position requires exceptional organizational skills, discretion, and the ability to handle sensitive information with confidentiality.
    • This site-based senior Executive Administrator role based in Milnerton, Cape Town is available due to an internal move within Astron Energy.
    • We would welcome applications from experienced professionals with proven ability to demonstrate exceptional skills within a Corporate environment. The successful candidate will build relationship to resolve calendar conflicts, manage events and align on process improvement opportunities.

    Provide support to the General Manager Refining

    • Provide direct support to other Refinery Leadership Team members if required
    • Weekly / Daily schedule coordination including daily pack / pre-read preparation including email and calendar management.
    • Travel arrangements, event management, procurement, screening calls and re-routing as required,
    • Understands the operations within the department to direct calls appropriately, minimizing the impact on management
    • Manage day to day communication

    Fiscal Administrative Support

    • Prepare Systems, Applications, and Products (SAP) purchase orders.
    • Prepare Expenditure Requests and data for purchase of equipment that forms part of Capital.

    • Decision/Recommendation: As the gatekeeper of the calendar, the executive administrator may need to prioritise meeting requests and schedule appointments based on their importance and relevance to the executives' objectives.
    • Nature of Decision/Recommendation: The executive administrator assesses incoming meeting requests, considering factors such as urgency, strategic significance, and alignment with priorities. Based on this assessment, they may decide to accept, decline, or reschedule meetings accordingly. Additionally, they may recommend time blocks for focused work or strategic planning sessions, ensuring that the executives have adequate time for critical tasks.

    Document Handling and Distribution:

    • Decision/Recommendation: When managing confidential documents and correspondence, the executive administrator may need to determine the appropriate recipients and distribution channels to ensure timely and secure delivery.
    • Nature of Decision/Recommendation: They evaluate the sensitivity and relevance of documents before deciding who should receive them. They may recommend distributing certain documents only to key stakeholders or limiting access to sensitive information on a need-to-know basis. Additionally, they may decide on the most secure method of document delivery, whether it's through encrypted emails, secure file-sharing platforms, or physical delivery via courier services.

    Travel Arrangements and Itinerary Planning:

    • Decision/Recommendation: When coordinating travel arrangements for the General Manager Refining, the executive administrator may need to make decisions regarding flight schedules, hotel accommodations, transportation options, and itinerary planning.
    • Nature of Decision/Recommendation: The executive administrator evaluates various factors, including travel preferences, budget considerations, and logistical constraints, to recommend optimal travel plans. They may decide on the most efficient routes, suitable accommodations, and convenient transportation options based on the executives' schedules and preferences. Additionally, the executive administrator may recommend adjustments to travel plans in response to unexpected changes or emergencies, ensuring that the executives' travel experiences are smooth and productive.

    Internal Key Relationships (to Astron Energy):

    • General Manager Refinery: Your primary internal relationships would be with the Refinery General Manager (GM), of Astron Energy, and the Refinery Leadership team. You would directly support them in their daily activities and act as a liaison between them and other departments within the company.
    • Refinery Leadership Team: Build strong working relationships with other members of the refinery team, you would collaborate with them on various initiatives and projects as directed.
    • Board of Directors: Maintain a professional relationship with members of the Board of Directors. You may assist the Refinery General Manager with their Board duties.
    • Administrative Staff: Collaborate with other refinery administrative staff members to ensure seamless operations and support services. This may include sharing resources, coordinating schedules, and assisting with workload management during busy periods.  You will lead a bi-monthly coordination meeting with this group.

    External Relationships:

    • Clients and Customers: Act as a point of contact for clients and customers of Astron Energy, particularly high-level clients or partners. You may assist in scheduling meetings, responding to inquiries, and facilitating communication to ensure customer satisfaction.
    • Suppliers and Vendors: Maintain relationships with suppliers and vendors who provide goods and services to Astron Energy. You may assist in coordinating procurement activities, negotiating contracts, and resolving issues related to vendor relationships.
    • Industry Partners and Associations: Represent Astron Energy in relationships with industry partners, associations, and professional organizations. You may attend industry events, conferences, and meetings to network and stay informed about industry trends and developments.
