    Coordinator: Sustainable Finance

    Description
    To ensure the smooth day-to-day running of all the transformative finance and selected corporate partnerships in the Sustainable Finance and specific Corporate Partnership programme within the Business Development Unit to ensure that sound financial and administration practices are implemented, recorded, and controlled in addition to aiding the Sustainable Finance Project team as and when required. 

    Minimum Requirements

    • Diploma in business management / project management or similar
    • Minimum of 5 years’ experience in project coordination or project administration
    • NetSuite experience an advantage
    • Experience in international and domestic travel arrangements

    Duties and Responsibilities

    Responsibilities: 

    • Improve systems, processes, and policies in support of WWF-SA mission – specifically support better management reporting, information flow and management, business process and organisational planning.
    • Support the Sustainable Finance Project and specific Corporate Partnership teams with managing and increasing the effectiveness and efficiency of Business Support including Human Resources, Information Technology, Legal and Finance, through coordination and communication between the administrative and finance support together with the Sustainable Finance Project team.
    • Assist with overseeing financial systems and controls.

    Responsibilities by function 

    Financial Management: 

    • Managing the day-to-day processing of accounts receivable and payable through coordination with Finance and Business Support and NetSuite.
    • Provide financial administration support, e.g.  Assist with processing travel claim forms, processing invoices, obtaining quotes, create purchase orders in NetSuite and liaising with service providers.  
    • Maintaining filing system of relevant project expenditure and assist with tracking income and expenditure. 
    • Draw monthly Trial balance and Income statements per project fund and provide this to the relevant Programme or Project Managers.

    Organisational requirements: 

    • Coordination of submissions to Project Administration Team (PAT) meetings, specifically relating to approvals of new projects, project amendments, disbursements contracts and disbursement amendments including time extensions, budget reallocations and cost recoveries for Project team.
    • Rotational third spotter for Project Administration Meeting.

    Project Coordination: 

    • Assist Project team with coordinating income and disbursement agreements and the execution thereof.
    • Assist Project team in ensuring they meet their donor reporting by tracking income, report deadlines and notifying them accordingly.
    • Assist Project team with creating funding proposals, new grants, and new project numbers in NetSuite.
    • Assist Project team with keeping funding proposals, grant and existing project records updated.
    • Assist Project team with capturing and maintaining contact records on NetSuite.

    Administration: 

    • Assist the Project team with day-to-day administration duties.
    • Drafting of project disbursement contracts and addendums.
    • Drafting of calling of funds as per the income agreement dates and monitoring that income is allocated to the correct project.
    • Ensure that electronic & paper filing of signed a) contracts, b) Invoices & payments, c) Reports & d) Correspondence is kept in order and up to date.
    • Travel arrangements (national & international) for Project staff and third parties when required.
    • Process the Project staff travel and other expenses as well as kilometer claims, following up with finance and keep records thereof.
    • Assist the Project team in coordinating meetings, events & workshops with major partners, including distribution of invitations, venue sourcing and booking, finalising dates, travel arrangements, managing RSVP list, arrange catering and any administrative requirements.
    • Abide and guide the Project team to follow processes and procedures within the organisation.
    • Manage financial administration (invoices, payment tranches etc.) for income, disbursement projects and events.
    • Provide backup assistance to the Sustainable Finance Programme Manager and selected Corporate Partnership team members. 
    • Update and input CPM data for Project team as and when required.
    • Gather information for organizational reporting and auditors as and when required.
    • Provide support / training where necessary.

    Corporate Partnerships Officer

    Description
    Responsible for leading the corporate engagement strategy and team to deliver on WWF SA strategic outcomes and funding needs. This position will report directly to the Senior Manager: Corporate Engagement and Environmental Behaviour Change.

    Minimum Requirements

    • Appropriate graduate tertiary qualification in Sales / Marketing / Sustainability / Commerce / Finance / Economics or similar.
    • 5-8 years’ experience in Relationship management / fundraising
    • Knowledge and understanding of the components of corporate fundraising, CSR, CSI, BBBEE, Shared Value, Marketing, Corporate Relations, and Sustainability is required.
    • Computer literate - good working knowledge of MS Word, Excel, PowerPoint and ability to use databases for recording and reporting.
    • Research skills, fundraising skills, knowledge sharing, presentation skills, negotiation and diplomacy skills, which enables an understanding of the corporate and its sector orientation, networking and fundraising at corporate level are required.

    • Draft specific funding proposals to attract unrestricted and restricted funding:
      • Write up tailored funding proposals;
      • Establish communication channels with programmes and projects;
      • Ensure projects information is up to date;
      • Engage and gain inputs and comments from relevant managers, coordinators and consultants;
      • Edit documents;
      • Get approval and sign off fundraising proposals from relevant Managers.
    • Identification and cultivation of prospective business and related Trusts and Foundations:
      • Examine all prospects:
      • Oversee and assist in the identifying and research of potential businesses/Trusts/Foundations to be targeted;
      • Develop and nurture relationships, in association with relevant WWF colleagues, with key stakeholders (Business, Trusts and Foundations) on behalf of the WWF-SA;
      • Monitor WWF project and programme outputs and manage all related fund reporting;
      • Establish regular communication channels with programme and project staff to ensure expedient reporting to donors;
    • Liaise readily with the Programme and Conservation teams to better know and represent their funding requirements.
    • Be able to make presentations and share all aspects of WWF-SA’s work to Corporates, Trusts and Foundations. 
    • Proactively build networks with key decision makers and influencers with prospective funders and existing funders, as well as the wider commercial sector to secure maximum support for WWF-SA.

    General 

    • Contribute to the development of corporate relationships to maximise value and establish a foundation on which to secure longer-term, fully integrated conservation and transformative partnerships. This will include the Corporate Network, Funding & Donations-in-Kind, Loyalty Programmes, Staff engagement of corporate partners and Licensing.
    • Participate in specific events that form part of the WWF Business Development engagements.
    • Update and maintain the database of all related fundraising contacts including contact reports and fundraising relationships.
    • Provide monthly activity and new business status reports (including income potential) and maintain accurate database records of all approaches to potential/existing supporters.
    • Work with the Communications, Business Development, Corporate Partnerships and Individual. Relations teams within WWF to develop and implement fundraising initiatives and campaigns, and look to maximize all initiatives and activities of the Business Development Unit.

    Background

    The Donor Engagement Specialist plays a key role in the implementation of programmes and day-to-day fundraising operations, in line with organisational plans and objectives. This position has specific responsibilities for the coordination of acquisition, retention and loyalty programmes for WWF SA’s financial supporters. This includes regular givers, occasional donors, legacy pledgers, major donors and retention and acquisition through events.

    Specifically, the Donor Engagement Specialist will research, propose, manage and write regular and special communications for donors, and prospects that deliver clear and compelling messages about the opportunities for and impact of philanthropic support for WWF. These communications will include content that can be used online and in print, in cases for support, in customized communications, as talking points, in broader communications and marketing efforts in support of development campaigns.

    The position works closely with the Individual Fundraising Manager and the Head of BDU and Marketing who have the responsibility of ensuring the ongoing income from our donors.

    The Donor Engagement Specialist will work autonomously in project-managing identified donor campaigns and will work closely with the Individual Relations Manager in developing new acquisition and retention-based initiatives, before taking ownership of their ongoing monitoring, maintenance and further development. This role will also assist in the analysis and monitoring of our donor base to ensure quality loyalty and retention programmes. This position reports directly to the Individual Fundraising Manager.

    • Drive messaging, content and execution of assigned development communications projects, including producing print mailers and e-communications for donors highlighting impactful stories, accolades and donations received
    • Develop and maintain stakeholder communications via social media and newsletters, creating promotional assets as necessary;
