    Operations Admin Clerk

    About the Job

    Job Purpose

    • BIL seeks to employ an operations admin clerk who will assist with the administrative functions for one of its operational facilities in Alrode, the successful candidate with have great attention to detail, Administrative skills, is driven and has transport industry knowledge and experience.

    Qualifications & Experience

    • Grade 12 or equivalent
    • 1-2 years Transport industry experience
    • 1+ years administration experience
    • Experience in capturing waybills and POD’s
    • Experience in -MS Office, Windows, Fuel Manager, TNA, Bidtrack, ESS, Dovetail

    Key Responsibilities

    Operational Activities

    • Capturing of TMS.
    • Capture details from load confirmation on relevant waybills.
    • Ensure that all relevant documents related to each shipment that is required by the client is attached to invoice.
    • Assist Finance staff in resolving queries that may exist with invoices raised and resolve where possible.
    • File all completed shipment documents.
    • Assist with collating information and data for reporting purposes.
    • Ensure that the casual labour time sheets are accurately captured and submitted to Ops Admin Controller.
    • Ensure that all waybills are captured on TMS and the delivery status is updated.
    • Build and maintain professional but cordial relationships with all clients and suppliers.
    • Ensure that performance against standards is achieved by efficiently/effectively carrying out duties and tasks of the job.
    • Contribute to the Health and Safety programme by performing all relevant task associated.
    • Ensure that action requests are raised and preventative measures followed.
    • To efficiently and effectively fulfil the requirements necessary for the administration of various BIL Transport Depts according to the companies policies and procedures.
    • Responsible for the capturing of waybills accurately onto TMS
    • Assist with general admin duties as requested by superior.
    • Ensure that TMS waybills are captured daily
    • Ensure that all POD's are returned and updated on TMS and scanned to Edocs.

    Groupage Controller

    About the Job

    Job Purpose

    • To QC Proforma invoices and check for errors and log same errors with controller . To handle all aspects of the Groupages, from various ports. Receiving the pre alerts, capturing data onto our system. Instructions to the carriers and ensuring the containers are moved to the depot for unpack, arranging releases and loading of relevant charges from the depot onto the system.
    • Ensuring manifest is tallied, out turn reports are checked and damaged cargo received is communicated to the relevant parties. Action and handle any SAPS, NRCS stops or any similar such stops.
    • Obtaining charges from the carrier, action cargo dues and release with the carriers. To be able to handover prepaid shipments to clearing agents or to the import department on behalf of our agents .
    • Following up on customs releases and original bills of ladings when required.To be able to handle DAP shipments, arrange delivery and bill back to agents accordingly Checking and verifiying all charges received from third parties.
    • Loading of accruals and WIPS onto CW, being able to work on WIP queries and understand the profit and loss on shipment levels. Ensuring the highest level of service to our customers, agents and internal departments. Ensuring escalation is done when required.

    Qualifications & Experience

    • Matric
    • Tertiary education will be advantageous
    • Any shipping accredited unit standard advantageous

    EXPERIANCE:

    • At least 3 years’ experience as a Forwarding Controller or similar position
    • Highly experience in all aspects of International Forwarding – Sea freight

    Key Responsibilities

    • QC Files before final invoice is done in order to maintain high quality and accuracy of our charges.
    • Ability to handle the entire administrative de-group function for all documents received from Overseas agent for the allocated lanes.
    • Check and follow through on RCG process.
    • Monitor the document flow , create file and load relevant documents onto CW.
    • Ensure there is close liaison and regular follow up with co-loaders, shipping lines, and unpack depots to obtain SOB's , charges, etc and arrange for groupage container unpacks!
    • Ensure all charges/freight rates are checked and are correct in items of customers contractual agreements. Where discrepancies occur, ensure follow mechanism in place to obtain the necessary credit.
    • Arrange DAP shipments as per the process.
    • Ensure all necessary data is captured correctly and timeously on Cargo Wise and invoices are processed and handed to Import department timeously.
    • Ensure all charges/freight rates are checked and are correct in items of customers contractual agreements. Where discrepancies occur, ensure follow mechanism in place to obtain the necessary credit.
    • Authorize release of shipments subject to the validity of negotiable documents and payment of our charges
    • Ensure pro-forma invoices are complete maximum of 1 working day after ANF issued.
    • Assist other Controllers where required based urgency, backlogs, and staff shortages.
    • Monitor and ensure detailed Forex exposure advised to Head Office daily.
    • Ensure shipment / Consoles are pre-captured at all times and ANF's are sent out no later than 5 working days prior to vessels arrival.
