    Monitoring & Evaluation Officer - Johannesburg South

    • The successful candidate will be required to effectively lead and coordinate the implementation of M&E systems focused on data collection, analysis, and reporting of results within Anova APACE supported facilities. The M&E Officer will report to the M&E (Technical) Manager and work in close collaboration with relevant programmatic technical advisers, as well as counterparts to ensure that quality data are available to program teams to guide decision making.

    Key Duties and Responsibilities

    Data Collection and Reporting Coordination:

    • Ensure that facility M&E data staff have the tools, access, and training necessary to perform their duties optimally. Problem-solve challenges
    • Engage facility managers and program teams on a weekly basis to discuss challenges with data collection, analysis, and reporting
    • Prepare and develop systematic and realistic facility M&E implementation plans that outline processes for the capturing of quantitative and qualitative data to report on project performance indicators, and with input from the M&E Manager finalise for approval by the Program Manager
    • Coordinate the implementation of baseline surveys
    • Review and adapt existing, or develop new, project reporting templates that facilitate the effective collection of data and aggregation of information
    • Compile data from all Anova projects ensuring data is at the agreed levels of quality standards
    • Maintain effective information databases for projects
    • Compile reports and verify data, validating the accuracy of reports generated from projects. prior to submission to donors on a quarterly and annual basis or as directed by the M&E Manager
    • Provide facility level M&E reports to the program on technical focus areas (i.e., key populations, AGYW, etc)

    Data Quality Improvement:

    • Conduct monthly data quality assessments/audits to identify data quality improvement and training needs
    • Develop facility data quality improvement project plans
    • Work closely with the Facility Managers, M&E Data Capturers, M&E Manager, and Technical Advisors to implement data collection and data quality improvement plans
    • Measure and report data quality improvement project progress and outcomes
    • Support the M&E Manager on regular data quality drives, setting targets to reduce data capturing and reporting mistakes
    • Provide supportive supervision on data entry and capturing processes to the M&E Data Collectors
    • Work alongside with clinical staff to ensure adequate completion of clinical stationery according to latest DoH SOP/Guides

    Data Analysing and Reporting for Facility and Program Performance Improvement

    • Support managers and advisors in the evaluation and documentation of qualitative and quantitative performance measures at quarterly and yearly intervals, following completion of implementation of projects
    • Investigate and resolve queries regarding reporting form all programs and activities
    • Regularly analyse data trends at facility level to identify patterns observed, preparing monthly reports to M&E Managers and facility leaders
    • Prepare high quality reports and disseminate findings to the program teams to support evidence-based decision making relating to activities and focus areas

    Support to Program stakeholders (DOH and other Health stakeholders)

    • Collaborate with the M&E Manager to resolve any difficulties with program activities and program compliance
    • Contribute to the development of guidelines and standards for the implementation, monitoring and evaluation of all project interventions
    • Ensure adherence and compliance with relevant norms and policies
    • Actively identify successful activities and interventions and working with the M&E Manager, develop lessons learnt and document these
    • Organise and coordinate regular lessons learnt workshops to contribute to knowledge sharing and improved data driven decision-making
    • Facilitate implementation of key community capacity building initiatives to ensure community-based monitoring and evaluation

    Minimum Qualifications, Experience and Skills Required

    • A minimum of a 3-year Bachelor’ degree in development related subjects (preferable)
    • Or A minimum 5 years’ experience in monitoring and evaluation of development programs
    • Good knowledge of programme and Project Cycle Management and Development.
    • Good knowledge of computer and MS Package.
    • Communication and analytical skills
    • Exposure to at least one of the health information System used in the COCT (PREHMIS, Health Systems, PHCIS)
    • Proficiency in Excel, Word, Power point: SPSS Ms Access, STATA, Excel, or other statistical software package desired
    • Attention to detail

    Pharmacist Assistant - Cape Town

    • We are looking for a Pharmacist Assistant to support implementation of pharmacy activities in Anova supported facilities by ensuring that they are compliant with Basic Pharmacy principles, implementation and maintenance of stock visibility solution and alternative distribution models.

    Key Duties and Responsibilities

    • Support the implementation of Multi month dispensing for Differentiated Models of Care (DMOC)
    • Assist with updating data collection and completion using pharmacy systems.
    • Provide mentorship and support to ensure that adequate levels of stock are always available
    • Identify areas of improvement or correction with script writing and liaise with the pharmacist and doctor to ensure corrections are made in future.
    • Ensure compliance with good pharmacy practice
    • Guide facilities on storage and disposal of expired stock.
    • Generate and analyse stock reports regarding stock levels and medicine availability
    • Ensure uninterrupted and adequate supply of medication for clients accessing treatment through Differentiated Models of Care
    • Support the retention of accurate and updated records on pharmacy activity & decanting
    • Perform duties of Pharmacist Assistant such as dispensing, drug supply management etc. in line with Scope of Practice
    • Represent Anova in stakeholder meetings and workshops when requested

    Minimum Qualifications, Experience and Skills Required

    • Registered as a post basic Pharmacist Assistant with SAPC
    • At least 1 year experience on HIV/AIDS treatment regimen and adherence issues
    • Understanding of ART, TB and general medication
    • Good knowledge of antiretroviral therapy, TB and chronic medication
    • Excellent communication & interpersonal skills
    • Be able to work under pressure & independently
    • Proficiency in Ms Office

    Site Coordinator - PWUD - Johannesburg

    • Anova is looking for a Site Coordinator to be responsible for the day-to-day management of all the site activities, including providing HTS services, engaging and sensitising stakeholders on the PWUD project, conducting outreach, providing harm reduction services, dealing with human rights violations, mobilising and referring potential clients for Opioid Substitution Therapy (OST), and linkage of PWUD’s for further treatment and care.

    Key Duties and Responsibilities
     Project Coordination

    • Lead and manage the team at the site.
    • Identify, maintain and look for new sites.
    • Coordinate activities towards testing people.
    • Coordinate HTS activities towards finding newly diagnosed HIV positive people.
    • Ensure that HIV positive people are initiated on ART.

     Opioid Substitution Therapy

    • Coordinate OST activities towards initiating new clients.
    • Coordinate logistics to ensure clients are retained in care.

     Project Administration & Support

    • Ensure project assets and records are daily monitored.
    • Vehicles are managed as per Anova policy, logbooks filled, and assets registers updated and submitted monthly, quarterly, or as and when required.
    • Ensure that supplies inventory is done and submitted monthly.
    • Ensure that the team completes sign in/out register daily.
    • Ensure timesheets are completed and submitted by the 1st of each month.

     Stakeholder Engagement

    • Represent Anova in funders, regional, partners and community meetings.
    • Attend operational meetings and feedback to all relevant parties.

     Data Management

    • Ensure that site forms are completed correctly before submission.
    • Submit daily, weekly, monthly, and quarterly reports or as and when required.

    Any other tasks as agreed with line manager.

    Minimum Qualifications, Experience and Skills Required

    • Degree in Social Work, Nursing, Psychology or any relevant Social Science degree.
    • Knowledge of DoH policies and strategies on HIV/AIDS/TB/HTS
    • 1 year experience working on HIV/AIDS or TB Programmes
    • Driver’s license with PrDP
    • Willing to go for a driver’s assessment every 3 years
    • Training in Basic HAST, HIV Counselling, Adherence Counselling
    • 2 years project management/ coordination skills are essential
    • Excellent interpersonal skills
    • Computer literate on Ms Office (Outlook, Word, Excel and PowerPoint), etc.
    • Must be able to work independently and in a team
    • Good oral and written communication skills
    • Willing to travel to various communities as and when required

    Payroll Supervisor - Johannesburg

    • The main purpose of the role is to oversee and supervise the organizations payroll functions, and payroll administrators, ensuring that pay is processed on time, accurately, and in compliance with government regulations.

    Key duties and responsibilities:

    Supervisory Responsibilities

    • Recruits, interviews, hires, and trains new staff in the department to ensure the team is adequately staffed and equipped with the skills to perform their function.
    • Oversees the daily workflow of the department by ensuring the payroll is processed timeously, in line with service level requirements.
    • Provides constructive and timely performance evaluations.
    • Conduct regular team and one-on-one check ins to monitor performance against contracted deliverables.
    • Handles discipline and career development of employees in accordance with company policy.

    Payroll administration and processes

    • Reviews procedures and processes and manages inquiries and requests related to preparation and distribution of payroll.
    • Oversees payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
    • Prepares and submits SARS EMP201 & EMP501 Reconciliations and Submissions.
    • Payroll weekly and monthly general reporting.
    • ESS portal & reporting.
    • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
    • Maintains or oversees the maintenance of employee records.
    • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
    • Facilitates audits by providing records and documentation to auditors.
    • Identifies and recommends updates to payroll software, systems, and procedures.

    Payroll reconciliations

    • Prepare medical aid reconciliations.
    • Supports Payroll GL process & submission to Sage Intelligence
    • Conduct general ledger reconciliations from Sage 300 People and Sage Evolution reports.
    • Prepare and balance retirement fund reconciliations and reports.
    • Create ad-hoc journal entries and reports for management when required.
    • Ensure all reconciliations are filed correctly by month for audit and retrieval purposes.

    Any other tasks as agreed with line manager.

    Minimum qualifications and experience:

    • Matric
    • Payroll Diploma or equivalent qualification at NQF Level 5
    • 10 years’ experience in payroll administration
    • 3 to 5 years payroll supervisor experience
    • Certification on Sage VIP Premier/Sage 300 People and ESS
    • 1 year Sage 300 People experience (3 years preferable)
    • Experience with multiple payrolls, project costing and 3000 employees

    Skills, competencies, and attributes:

    • Sound knowledge of Sage VIP/300 People and ESS
    • BIM/Smart/Sage Reporting
    • Sage Evolution (payroll GL)
    • Computer literate (MS Office, including Excel intermediate to advanced)
    • Solid knowledge of BCEA and LRA
    • Report generation (Excel and Sage)
    • Excellent organizational skills and attention to detail.
