    Administrative Controller

    Job Advert Summary    

    • Clover is looking for an experienced and highly motivated Administrative Controller to join the Commercial team. The successful candidate will provide administrative support to the Sales Execution management team in terms of call quality and training needs.

    Requirements    

    • Grade 12 or equivalent NQF4
    • Business English: Fluent
    • Computer literacy (Intermediate)
    • Code 08 Driver's license

    Duties and Responsibilities    

    • Support the Sales Execution to improve quality assurance standards  
    • Evaluate and monitor Sales Execution customer interactions against defined criteria and SOP's 
    • Facilitate QA calibrating sessions with managers 
    • Support continuous improvement of QA scores by providing managers with information to allow them to coach train and develop their telesellers 
    • Facilitate service improvement projects in Sales Execution 
    • Participate in setting of QA objectives for the various Sales Execution functions 
    • Benchmark Clover Sales Execution standard against Industry 

    Compile and present reports 

    • Draw and analyse data from Morpheus, create reports with recommendations to improve 
    • Evaluate trends and advise/take corrective actions 
    • Gather accurate customer satisfaction ratings, prepare summaries for PMD's with recommendations to improve 
    • Perform training related functions 
    • Determine training needs and facilitate the implementation of the training plans 
    • Conduct training 
    • Create and update training material

    Administrative Controller: Learning and Development

    Job Advert Summary    

    • Clover is looking and an experienced and highly motivated Administrative Controller to join the Learning and Development team. The successful candidate will provide administrative support to the Human Resource Development Team at Head Office enabling the efficient and effective delivery of a Human Resource Development Service to the business.

    Requirements    

    • NATIONAL DIPLOMA: ADMINISTRATION
    • Business English: Fluent
    • Effective Communication Skills
    • Experience in Learning and Development and Recruitment Administration
    • Proficient in MS Office (Word, PowerPoint, Excel). Working knowledge of databases, analytics and automated Learning- and Recruitment Management  Systems
    • Understanding of the SETA Landscape and working experience in administration of Seta Related Learning Interventions and the use of Seta Learning Management System.
    • Working knowledge of Social Media Platforms e.g. LinkedIn
    • Code 08 Driver's License

    Duties and Responsibilities    
    General Support        

    • Provide administrative support         
    • Manage general enquiries related to the processes and the systems        
    • Prepare and maintain presentations and manuals         
    • Assist function with the preparation of articles and process specific notifications e.g. Clover Communicate/ In Clover        
    • Set-up surveys and report on results        
    • Co-ordinate the arrangements for special events and meetings        

    Learning and Development Process Support        

    • Co-ordinate the preparation and maintenance of documentation for learner registration        
    • Prepare and distribute material and documentation to support the Learning and Development Process        
    • Maintain the Learning Intervention Library, Provider Library and Qualification Database on Payspace        
    • Maintain storage of learning material        
    • Provide coordination and support for the roll-out of training interventions        
    • Liaise with SETA's              

    Coordinate logistics related to the provision of learning and development                

    • Arrange and prepare venues for training and communicate with delegates prior and during programmes         
    • Prepare learning material         
    • Liaise with service providers to determine needs and requirements                
    • Handle travel, flight and accommodation arrangements                
    • Create purchase orders and arrange for payments (service providers)                 
    • Handle documents and payments for employed and unemployed bursars         

    Onboarding Process Support        

    • Co-ordinate the preparation of starter packs and related media for new employees
    • Ensure all resources are in place as per job requirements e.g. Computers etc.        
    • Co-ordinate the arrangements for the initial orientation session        
    • Monitor and track the employee onboarding process and remind relevant stakeholders of actions required        

    Record keeping and reporting        

    • Update and maintain databases and information related to Learning Management-, Recruitment Management and On-Boarding Management on the Clover HR Management System        
    • Generate accurate routine and ad hoc information/reports from Learning Management System and other sources (Financial and other)        
    • Prepare schedules and supporting documentation for audits         
    • Maintain filing System including filing, archiving, storing and upkeep of records (Electronic)        
    • Conduct routine audits of the related administration processes and system and provide input into the improvement        
    • Provide reporting on Learning and Development
