    Returns Clerk - Midrand

    As a Returns Clerk, the job holder is expected to:

    Key Responsibilities

    Returns Administration

    • Ensure compliance with established procedures and Company standards to  maintain effective control over administrative processes.
    • Receive returned stock, ensuring an accurate record is maintained of the reason for the return and state of the returned item(s).
    • Inspect returned product and check that it matches product listed in returns papers.
    • Ensure returned products are correctly stored and the transaction is recorded in SAP. 
    • Assess whether returned products can be repackaged or resold, and prepare them for transportation to the new location where required.

    Transport Controller - Midrand

    • This position exists to manage and maintain the fleet and transport team in the hub/depot, thereby ensuring that productivity and performance and controls are maximized. 

    Minimum Requirements   

    • Minimum of a Diploma in Fleet Management.
    • Valid Code EB drivers' license.
    • A minimum of 3 years in a transport management environment.
    • System skills (SAP skills).
    • Computer literacy (MS Office).
    • Union experience would be beneficial.

    Duties & Responsibilities    
    Fleet Control:

    • Manage the daily schedule
    • Check that a job card has been allocated to work and that the driver has managed to complete the form correctly.
    • Ensure that drivers complete the checklist every morning and afternoon to establish if there are any defaults.
    • Request complaints and difficulties for the day and take the appropriate action.
    • Monitor transport performance against benchmarks by obtaining vehicle exception reports from the tracking department as a means of monitoring drivers’ conduct and vehicle performance such as: speeding, excessive revving or braking, backdoor standing time, yard delays, route adherence.
    • Take the necessary disciplinary action depending on the particular instance or trend.
    • Build a culture of asset care through counselling discussions with staff particularly drivers.
    • Consolidate, on an ongoing basis, accident/incident reports that display each driver’s conduct and make appropriate decisions on the sanction depending on the severity of the incident.
    • Conduct physical checks on vehicles, identify areas that require attention and take the necessary action to resolve any issues.
    • Analyse the details on the monthly vehicle inspection sheets and take the necessary action.
    • Record the specific details of maintenance and repair requirements for each vehicle and send that detail to the workshop indicating the dates when vehicles will be required.
    • Report daily to the Transport Manager or LM on the trucks, indicating trucks that have been booked off.
    • Providing reasons for why trucks are not being utilized and when they are expected to be in use again.
    • Reconcile hired trucks kilometres to supplier shipments on a daily basis
    • Ensure that all vehicles are used optimally by checking that they are loaded to capacity and updated on the Vehicle Utilization Report on a daily basis.
    • Complete a daily Casuals Report indicating reasons why ad hoc casuals were used.
    • Monitor daily overtime on the BLICK system for drivers, van assistants, supervisors and refrigeration mechanics
    • Manage routes ensuring that time is optimised for each delivery.
    • Check fuel controls daily and report on Masana reports, bowser reports weekly. Share fuel consumption weekly on a Monday.

    Workshop Control:

    • Consolidate the total cost allocated to each truck on a monthly basis in a Cost Analysis Report.
    • Demonstrate in report format the reasons for additional expenditure on vehicles.
    • Keep diesel documents on a daily basis ensuring that they are reconciled to the Vector statement(s).
    • Check and sign off overtime for the workshop.
    • Monitor workshop service standards.
    • Identify anomalies in service quality and stocks levels and investigate further.
    • Complete a combined summary of all monthly expenditure and report on a cost analysis sheet ensuring that it balances to the income statement.
    • Ensure that all traffic fines have been paid correctly and promptly.
    • Complete the Weekly Repair Template reflecting time and reasons spent on trucks booked off.
    • Control fuel-related issues regarding hired and vector trucks.
    • Complete the daily checklists for the workshop.

    Risk Control:

    • Investigate hijacking incidents to establish whether or not they are genuine cases.
    • Handle proxy responsibilities.
    • Ensure that all drivers have valid driver’s licences and PDP’s.

    Health and Safety Compliance:

    • Ensure all staff members comply with health and safety requirements
    • Investigate and report on all injuries on duty (IOD’s).
    • Implement safe working procedures.
    • Manage the outsourced washing of trucks and check all chemicals used are approved.

    Team Supervision:

    • Train staff on the Standard Operating Procedures that serve to guide their approach to work.

    Shift Warehouse Controller - Midrand

    • The purpose of the role is to control the processes of inbound, outbound and stock handling in order to maintain efficiency within the warehouse.

    Minimum Requirements    

    • Must have at least 3 years of experience in a warehouse environment.
    • Must have a relevant Logistics Diploma or Qualification (Logistics, Warehousing, Operations, Supply Chain, etc).
    • Valid Forklift driver’s license (preferred).
    • SAP knowledge and experience impressive knowledge of warehouse operations, efficiencies, processes, and practices.
    • The ability to work under pressure and in a fast paced environment.

    Duties & Responsibilities    
    Operational Warehouse Management:

    • Control shift operational deliverables, and expectations, and coordinate progress with direct line manager / controller.
    • Approve and oversee the execution of all relevant warehouse documentation and ensure compliance with all audit requirements including ISO.
    • Ensure that all products are received and stored timeously and in accordance with Group policy.
    • Provide direction to warehouse shift team on a daily basis including overseeing the assignment of individual responsibilities, tasks and technical functions.
    • Maintain team focus on the business objectives in order to drive success.
    • Identify and resolve issues and conflicts within and between various operational teams and team members within span of control.

    • Check the temperature records of probe thermometers and compile a weekly report for submission to the Warehouse Controller / Manager.
    • Ensure that the warehouse is locked and secure after hours.

    • Optimise the allocation of picking slots to meet demand patterns.
    • Carry out daily SAP warehouse checks and action any reported defaults.

    Inbound Control:

    • Control the inbound process by receiving product in good condition.
    • Capture stock on the SAP system to ensure that goods are controlled and easily identified.
    • Manage the efficiencies of product going to the right bin in order to access with ease and convenience as and when required.
    • Activate internal material movement, incorporating placing the order; picking the product and moving it to truck for dispatch.
    • Check shelf life in order to ensure it has not expired using the FIFO (First In, First Out) system.
    • Prepare for and initiate stock take preparation ensuring that the entire process is embarked on and completed within the specified time frame.

    Stock Control:

    • Ensure stock is in the right location by completing cyclic counts on a daily basis.
    • Ensure staff are doing proper stock rotation where it does not go to the pick face but to the back-up location.
    • Control production and expiry dates on every inbound and outbound.
    • Control damages on inbound/outbound and track trends.
    • Identify root cause and take the necessary actions such as issuing verbal warnings.
    • Conduct monthly stock takes.
    • Ensure stock is maintained / stored under the appropriate temperature requirement.

    Customer Liaison:

    • Resolve issues regarding damaged stock or shortage thereof.
    • Reconcile invoice details with requirements.
    • Report any incident that may have occurred involving drivers that in turn impacts on customers (shorts and overs).

    Warehouse Maintenance:

    • Ensure the warehouse is kept clean by inspecting the various areas.
    • Liaise with the cleaning staff on site / the external cleaning company.
    • Arrange for damaged goods to be left in the designated area of the warehouse within category of repack; repair or dump.
    • Check that lighting is adequate, doors open and close easily amongst other specifics that impact productivity.
    • Report areas/issues in need of attention to the relevant maintenance staff.
    • Ensure that all bin allocations are clear from any damaged pallets.
    • Ensure all forklifts are in good working order

    Security Control:

    • Ensure that all stocks leaving the warehouse premises do so with proper documentation.
    • Ensure all cameras are focused on risk areas such as entry and exit points and on areas that assist in the determination of the level of inactivity amongst casual staff, ensuring there is no overstaffing.
    • Issue a stock count on key lines such as “ready to eat” products like polony and cheese on a daily basis.
    • Instruct security to check staff when they leave for a tea or lunch break.
    • Ensure that all trucks leaving the warehouse are sealed and documented.
    • Verify the seals on warehouse doors every morning, after nightshift.

    Standards/Compliance Adherence:

    • Verify the temperature for the entire warehouse by looking at the temperature worksheet.
    • Ensure frozen stock is kept not below minus 18 and chilled not below -1.
    • Check that staff understand and comply with the standards set by ISO 22 000 and HACCP.
    • Ensure goods are delivered in the appropriate condition and that there is no damage or discrepancy.
    • Certify that a new load always enters a clean and well maintained vehicle, highlighting the significance of quality.

    Outbound Control:

    • Control the functions of outbound, ensuring the correct products are dispatched promptly out to the customer.
    • Ensure that all orders are leaving the warehouse correctly packed and damage free.
    • Ensure that all invoicing is completed accurately and make necessary corrections where required.
    • Facilitate the process of loading goods onto trucks and ensure they are sealed for transport to the customers.

    Warehouse Controller PSD / CSD - Midrand

    • The individual is required to oversee the safe receipt, storage, retrieval and timely dispatch of goods for VCS/PBCS, thereby meeting customer service levels and reducing costs. 

    Minimum Requirements    

    • National Diploma in Warehouse/Logistics Management.
    • Valid Code EB drivers’ license.
    • 4 - 6 years’ experience in a warehouse environment, 3 of which in a Supervisory/Team Leader position.

    Duties & Responsibilities    
    Strategy Execution:

    • Work closely with the Warehouse Manager and/or Logistics Manager and the transport management team to ensure the delivery of an integrated supply chain benefit and strategic target achievement.
    • Drive the implementation of improvements in VCS/PBCS warehouse operations to achieve significant gains in efficiency.
    • Ensure the implementation of warehouse best operating practices and standardised procedures / practices throughout the warehouse.
    • Manage the system for keeping VCS/PBCS stock control systems up to date and plan future capacity requirements based on forward planning

    Operations Management:

    • Control and monitor VCS/PBCS inventory levels and replenishment processes.
    • Maintain the physical condition of the warehouse(s) by planning and implementing new design layouts in conjunction with the Warehouse Manager / Logistics Manager, inspecting facilities and equipment; issuing work orders for repair and requisitions for replacement.
    • Manage VCS/PBCS operational requirements by deploying warehouse operational and administrative employees and following up on work results.
    • Continuously consider cost reducing strategies over all activities of the warehouse.
    • Manage the housekeeping of the warehouse(s) and surrounding area.
    • Plan the arrangement of goods within the warehouse and ensure special requirements for certain stock, such as chilled goods or fragile products are met.

    • Ensure customer orders are filled and placed on trucks in the proper order as described in the loading procedures.
    • Ensure that all orders leaving the warehouse are correctly packed and damage free.
    • Manage the execution of the transport plan for PSD / CSD.
    • Oversee returns and the document process back into SAP. Perform regular system health checks regarding replenishments, transfers, returns not completed.

    Warehouse Administration Management:

    • Oversee the warehouse administration, ensuring that all goods receipting and issuing documents are accurately and promptly processed. Monitor the warehouse billing status.
    • Ensure computerised administration and automated storage and retrieval systems are accurately maintained.
    • Analyse and provide the inventory report, IN/OUT status report, dead stock report, goods age report, consumption report, manpower status report to the Logistics Manager.
    • Audit daily labour and billing reports.
    • Warehouse Maintenance Management: Oversee the planned and unplanned maintenance of warehouse equipment.
    • Customers Service Level Management: Resolve issues encountered around damaged or short stock.

    Risk Management:

    • Ensure ISO compliance throughout the warehouse(s), including health and safety and food safety.
    • Conduct daily health inspections and risk compliance inspections incorporating: Forklift inspections, lighting inspections, reach truck inspections, facility inspections, damaged stock.
    • Participate in the risk committee and in HIRA work studies.
    • Ensure warehouse compliance with all national and provincial legislation and regulations, international SHERQ standards and with company policy.
    • Ensure the safeguarding of warehouse operations and contents by establishing and monitoring security procedures and protocols.

    Area Marketer (Roodepoort)

    • As an Area Marketer, you will be required to be an effective marketer to area customers by maintaining regular contact and providing relevant solutions based on a clear understanding of the customers’ business, the macro environment, and Vector products.

    Duties & Responsibilities    
    Customer Engagement:

    • Where not defined, establish an effective route plan to achieve maximum call rate efficiencies each day for the quarter.
    • Conduct research, preparation and planning to achieve the relevant objectives for both Vector and the customer. This includes: Analysis of the customer’s micro (business objectives, operational capacity, storage facilities, wastage etc) and macro environment (trends, competitors, economic climate etc).
    • Analysis of Vector products and capabilities so that the right solutions can be matched to the gaps or opportunities found in the customer analysis.
    • Setting SMART call objectives for each customer (at least 2 per call).
    • Preparation to handle potential objections. Preparation of questions to gain insight and lead customer to the right solution.
    • Securing the necessary resources to demonstrate to the customer the relevant solution (e.g. products needed for demonstrations, financial tools, product brochures, etc).
    • Based on the above analysis, put together a quarterly planner that shows potential revenue and new line listings, by customer, to deliver against set targets.
    • Where relevant use the IT system to assist in planning quarterly.
    • In call, follow up previous sold solutions and present new opportunities based on real insight from the research and analysis done.
    • Take orders of new line listings and other relevant solution products. Launch new products into assigned customers.
    • Conduct planned promotions with assigned customers.

    Feedback:

    • Provide quality feedback to the supply chain and other relevant functions when required as well as when there is pertinent information (i.e. competitor activity).
