    Administrator Assistant: Sustainable Energy (Midrand)

    Job Purpose:

    • The Administrative Assistant’s role is to provide support to the Product Manager(s) and Specialists from an administrative perspective. This individual will also interact with the sales teams by providing a degree of insight and advice pertaining to the products, therefore a certain degree of product-specific and technical knowledge is also required.

    Responsibilities:

    • Generate detailed reports on sell-out, inventory, profitability, etc.
    • Provide informed advice/insight for sales queries (product-specific).
    • Generate basic Bill of Materials (BOMs) and quotes based on customer-specific requirements.
    • Keep track of inbound stock ETAs and shipping documents.
    • Correspond with suppliers for necessary documents and information.
    • Strong understanding of Energy-related products.
    • Assist in expediting operational processes when necessary.

    Requirements

    Qualification and Experience:

    • Minimum 3 Years experience in Technical and/or Sales relating to Energy/Infrastructure products
    • Matric certificate (compulsory)
    • Advanced/Tertiary education or training in electrical and/or infrastructure products (advantageous)

    Skills and Knowledge:

    • Technical skills
    • Understand various sustainable energy designs, to draw up a Bill of Materials for a solar PV system
    • Problem solving skills (analytical)

    Supervisor: Dispatch (Midrand)

    Purpose:

    • The supervisor is primarily responsible for overseeing the daily operations in the distribution centre.  The supervisor is also responsible to ensure that the staff are productive at all times.

    Responsibilities:

    Logistics Supervisor

    • Follow up on the Studio system on all orders placed before the given time and ensuring that they are ready for shipping on time.
    • Ensure that correct orders are booked out efficiently and effectively with correct qty to the correct customer.
    • Ensure that clerks and assistants are productive and that any issues are resolved.
    • Follow up with assistants daily on the cancellations that needs to be done.
    • Run dispatch weekly and monthly reports on delivery, collection and courier and update all stats reports.
    • Oversee those internal stationary orders are received in time.
    • Check the inhouse courier reports monthly and submit reports by latest 13th of each month and Dispatch reports.
    • Oversee productivity of collections staff and area.
    • Ensure that stock quantities are always correct by means of monthly stock check and regular spot checks.
    • Assist the courier clerk with customer couriers when needed.
    • Follow up with internal issues and resolve problems or queries.
    • Do performance assessments on staff quarterly. 
    • Meeting on a regular (weekly / bi-weekly) basis with staff and file all minutes by close of business next day.
    • Ensure that staff are always following the safety regulations and that fire exits are not obstructed.
    • Follow up with delivery clerk that all bulk and urgent deliveries are arranged and done on time.
    • Ensures that returns from delivery are sent to credits or re-delivered.
    • Assist the delivery clerk with the invoicing of deliveries for the next day in necessary. 
    • Assist the delivery clerk with local delivery arrangements when needed.

    Customer Satisfaction

    • Build relationships with customers. Observable through surveys or number of customer complaints logged.
    • Client liaison - Understand needs and requirements of clients; meet with at least 3 clients annually, target at 100%. Measurable via register.
    • Ensure customer interaction with the Dispatch department (including drivers) is a positive reflection of Company values; measurable through client feedback and surveys.

    Staff Management

    • Performance Management - Conduct performance assessment and facilitate through supervisors for 100% of staff on a bi-annual basis.
    • Tasks and Responsibilities – Ensure all in department have up to date job descriptions.
    • Skills - Ensure staff are skilled to carry out what is expected of them, recommend training, coach, develop. Observation, evaluation and appraisals to be used as indication.
    • Have monthly meetings with staff; schedule those meetings on outlook with the operations head so that it is diarised.
    • Succession Planning – Ensure that a possible successor is identified and mentored as far as possible. If not at all possible, train and develop a supervisor/manager under you to be able to stand in for you as and when required.

    Requirements

    Qualification and Knowledge:

    • Matric
    • Tertiary qualification in logistics/supply chain, industrial engineering or business/finance
    • 1 to 3 years’ management experience in a similar field
