    Secretary II/III (Pretoria)

    Duties and responsibilities

    • Prepare trade mark recordal and renewal applications together with certificates and notices for lodging with the various registries
    • Create new trade mark records as well as update existing records on Patricia/Netdocs
    • Type correspondence in response to the Registrar’s queries or official actions
    • File South African and foreign recordal and renewal applications
    • Capturing of history on computer records
    • Communicate regularly with the Search Clerks and other individuals at the Trade Mark Office
    • Attend to accounting matters (re: queries) and chase up outstanding accounts with clients
    • Capture invoices and credit notes
    • Manage monthly WIP and outstanding debtors accounts
    • Create and print trade mark listings
    • Open files and attend to correspondence
    • Prepare worldwide quotes and responses to general queries
    • Answer telephone calls
    • Diarise files and handle routine correspondence
    • Deal with urgent matters promptly and efficiently and ensure that all urgent tasks are completed timeously

    Requirements

    Skills and knowledge

    • Computer Literacy
    • Typing speed of 50 - 60 wpm with excellent dictation skills
    • Fully conversant in English
    • Excellent telephone etiquette
    • Ability to deal with files independently
    • Ability to handle volumes, work under pressure and to use initiative
    • Ability to prioritise and work meticulously
    • Ability to handle information related to the department with confidentiality
    • Good administrative skills

     Qualification/s

    • Matric/ National Diploma or equivalent qualification
    • Secretarial Diploma/Certificate (preferably legal)
    • 3+ yrs relevant experience as a secretary

    Credit Controller (Pretoria)

    Duties and responsibilities

    • Ensure timeous collection of debtors
    • Reconcile statements, refunds and write-offs
    • Maintain accounts and ensure that client details are up to date
    • Liaise with clients, staff members and partners
    • Attend to general debtors queries and resolve timeously
    • Conduct company searches on the internet
    • Attend to month-end tasks within specified timelines
    • Fill in for absent Credit Controllers as and when requested
    • Assisting with departmental ad-hoc duties

    Requirements

    • Exceptional collection skills
    • Computer literacy : MS Outlook, Word & Excel
    • Sound accounting knowledge
    • Attention to detail, accuracy and diligence
    • Excellent time management skills – ability to meet deadlines

    • Good data capturing skills

     Qualification/s

    • Matric or equivalent qualification
    • NQF level 5 qualification in a finance related field
    • Minimum 5 years Credit Controller or Junior Bookkeeping experience
    • Clear Criminal and ITC record

    Duties and responsibilities

    • Conducting audits
    • Reviewing trade mark portfolios and making recommendations
    • Assist in Trade Mark filing strategy discussions and due diligence
    • Prepare trade mark related legal advice and opinions
    • Manage, coordinate and attend to major trade marks clearance and filing projects throughout the world
    • Providing opinions, reports and quotes on the registerability of Trade Marks throughout the world, as well as any regulatory or copyright considerations
    • Preparing and drafting of correspondence including responses to client enquiries and all routine correspondence
    • Prepare and file Trade Mark applications, attending to registration and post-registration maintenance and renewals
    • Managing deadlines
    • Managing a diary
    • Dealing with urgent matters and client requests
    • Preparing reports and schedules
    • Effect portfolio transfers and manage and develop multi-client portfolios
    • Report official actions, comply with official actions
    • Address and assist with Classification queries
    • Updating client standing instructions and A&A’s records
    • Do research
    • Prepare marketing material, including articles for publication
    • Client visits
    • Ability to attract clients and build relationships

     Qualification/s

    • Admitted attorney
    • Trade Marks experience
    • Qualified Trade Marks Practitioner, in the process of being qualified (advantageous), or a real intention to qualify as a Trade Mark Practitioner
    • Experience of working in an IP firm (Intellectual Property) will be highly advantageous
    • 1 or more years post articles experience (advantageous)
