    Administrative Secretary

    POST: SECRETARY/ADMIN ASSISTANT

    Minimum Requirements:

    • National Diploma (NQF Level 6) in Office Management with 3 years’ experience in a Secretarial or Administration Support role or Secretarial Diploma (NQF Level 5)
    • 3 to 5 years relevant experience in Secretarial Support, Executive Assistance and Administration
    • Strong interpersonal and communication skills (oral and in writing) and the ability to work effectively with a wide range of divisions and departments across the University.

    Summary of Duties

    • Effectively manage and maintain Director’s complex and challenging diary for university business
    • Provide full secretarial support for all IPMEs meetings, workshops, conferences, events etc by preparing and/or arranging for meeting venues and catering; appropriate equipment and developing; circulating meeting agenda, prepare documentation pack and taking, preparing and distributing minutes of meeting
    • Assist in updating and maintaining the IPME web page and DUT IPME SharePoint site/folder
    • Maintain an asset register for IPME and maintain an inventory of shared asset usage
    • Order and replenish stationery
    • Process travel and/or overtime claims by IPME staff members
    • Manages petty cash within University guideline and policies
    • Manage procurement of goods and services in line with University guideline and policies
    • Ensure smooth, effective, and efficient flow of documents and relevant information between IPME and other Divisions/Departments/Units

    Institutional Researcher

    POST: INSTITUTIONAL RESEARCHER

    Minimum Requirements:

    • Master’s degree in a relevant discipline with competencies in qualitative and quantitative research
    • 3 to 6 years’ experience in institutional research; responsible for institutional research work
    • Demonstrated knowledge and competency in research methodologies
    • Knowledge of research ethics and its associated approval processes
    • Microsoft Word and Excel, statistical analysis tools/ packages and databases
    • Communicate effectively (oral, written, symbolic forms) with all audiences and communicate complex ideas and institutional research findings clearly and concisely
    • The ability to function under pressure and be responsive and unquestionable professional integrity, stature, and abilities
    • Ability to collaborate in a team

    Summary of Duties

    • Support in the internal consultation with management for and/or anticipate their institutional research/strategic intelligence management information needs and deliver on these
    • Responsible for conducting institutional research (IR) from IR planning, design, implementation, data analysis and dissemination of findings and recommendations
    • Develop data collection tools (e.g., survey questionnaires) to collect data from a wide variety of sources
    • Conduct institutional research in accordance with policies, procedures, and legal requirements in support of planning, decision-making, and performance assessment across the University
    • Analyze and interpret data by conducting qualitative and quantitative analysis and across longitudinal periods for trend analysis
    • Participate in institutional strategic planning and help re-integrate strategic intelligence emanating from IR outcomes into business cycle and service delivery to inform the formulation of the University's strategic direction and deliverables.
    • Compile reports of and present institutional research outcomes and recommendations accurately to management stakeholders.

    Institutional Planning Officer

    INSTITUTIONAL PLANNING MONITORING AND EVALUATION

    POST: INSTITUTIONAL PLANNING OFFICER

    Minimum Requirements

    • Honours Degree or equivalent (NQF 8) in a relevant discipline
    • 5-8 years relevant experience in developing organizational strategic and operational plans
    • Knowledge and understanding of strategic and operational planning and reporting principles
    • Understand internal and external factors which impact on strategic direction of the Institution and ensure these are reflected in forecasts
    • Ability to identify challenges, trends, and opportunities
    • Knowledge of planning analysis tools and modelling
    • High level written and oral communication skills in the business language of the University
    • Demonstrated capacity to manage multiple priorities to meet competing deadlines

    Summary of Duties

    • Maintains and further develop the strategic planning framework and design approaches for strategic and multi-year operational planning
    • Facilitate the line of sight between Institutional strategy and the APP and EAPP and facilitates the cascade of this alignment to divisional-, faculty- and departmental-level operational plans and tactical plans
    • Collaborate with and capacity build stakeholders responsible for KPI achievement on planning execution principles and concepts
    • Supports in the mid-term/cyclical review of the strategic plan
    • Supports in the facilitation of adaptive management learning sessions
    • Manage all administrative processes surrounding the strategic and operational planning process
    • Collate data into reporting templates and draft written narratives for mandatory, statutory and management plans and reports
    • Compile plans and complete reports, in alignment to DHET regulations and institutional requirements, for submission to DHET and Council
    • Review the planning and reporting processes to make process improvement recommendations to line management
    • Collaborate with Institutional Planning Monitoring and Evaluation (IPME) team and other stakeholders to support collation and compilation of data and information for the preparation of plans and reports
