    Office Administrator - Mahikeng

    About the role

    • To provide and efficient and accurate executive personal - and administrative support services to the line and partner/s for the smooth operation of the business.

    Responsibilities:

    • Extensive management of online diaries, book appointments and arrange meetings, updates as required
    • Ensure Partner/Director get to meetings on time with appropriate documentation
    • Handle and screen calls for Partner/Director
    • Coordinate and prepare monthly timesheets and expenses claims 
    • Take and pass messages to Partner/Director in a timely manner
    • Monitor Partner/Director’ email inboxes when they are out of the office or at meetings and taking action as necessary
    • Maintain and build good working relationships with Partner/Director‘s clients and their assistants via phone and email communication
    • Organize business travel and accommodation bookings for the office.
    • Maximize cost reduction opportunities through timely and appropriate travel choices
    • Liaise with travel approvals team to follow up on approvals
    • Organize visas and taxi bookings as required
    • Organize and coordinate logistics for both internal and external meetings and training events (room bookings and refreshments)
    • Prepare and send out the call information to all concerned parties
    • Organize conference calls as needed and maintain call record for accounts purposes
    • Develop good working relationships with Partner/Director via phone and email communication
    • Pro-active planning for meetings and follow up actions (documents, papers needed…)
    • Organize local internal and external meetings, including organizing catering, IT requirements etc.
    • Proofread and finalize documents when required i.e. presentations, proposals and letters
    • Exercise confidentiality, discretion and personal sensitivity in all aspects of the role
    • Comply with PwC policies and procedures in all aspects of the role
    • Build network of strong working relationships both internally and externally

    Administrative support:

    • Downloading of risk reports for the team - circulating and attending to queries raised
    • Running of Job Costing reports for the line of service leader and providing any other information as required
    • Learning and Development database management and circulating non-compliance reports.
    • Client database management and marketing assistance when needed. 
    • Keeping Partner/Director own contacts databases up to date
    • Assist with the organization of PwC events as needed including training events,  dinners and outside events
    • Act as a key resource and liaison to other functional areas of the business, building cross-functional relationships as needed.


    Requirements

    Required qualifications

    • At least three years’ experience as secretary or admin assistant in multi-national companies;
    • Good English and Afrikaans language skills (speaking, listening, writing, and reading);
    • Good communication and problem solving skills;
    • Aptitude in standard computer software, including Word, Excel and PowerPoint.
    • Preference will be given to Employment Equity
    • Drivers License essential
    • Overtime occasionally required
