    Facility Administrator (Receptionist)

    Technical Work Responsibilities

    • Facility Management – Reception and main switchboard
    • Asset Management – site assets
    • Supply Chain Management – sourcing and requisitions
    • Records Management - electronic records

    Duties

    Facility Management

    • Effective communication with internal and external stakeholders.
    • Responsible for the daily management of the Aurum Parktown Head Office reception area.
    • Responsible for the Parktown Visitors Management system.  Complete procedures when visitors/contractors arrive and depart.
    • Greet visitors and contractors on their arrival to Aurum Parktown.
    • Check visitors in and escort them to specific destinations or advise the appropriate staff member that their guest/s have arrived.
    • Answer the phone in a timely manner and forward calls to the correct extension number.
    • Take comprehensive messages and email to the relevant staff member.
    • Assist the Corporate Operations Manager / Site Manager with performing administration duties.
    • Set up the Boardrooms and meeting venues for meetings.
    • Ensure that the Reception and Waiting area are maintained to the highest hygiene standards.
    • Asset Management – providing support to the Corporate Operations Manager in respect to the management of site assets.
    • Supply Chain Management: Sourcing and Requisitions – providing support to the Corporate Operations Manager relating to administration duties.
    • Records Management – providing support to the Corporate Operations Manager in ensuring that all records are filed electronically and are POPI compliant.
    • Policies and Standard Operating Procedures – adhere to all departmental and company policies, standard operating procedures, working practice guidelines and How to Guides.
    • Comply with all health and safety policies, practices, and procedures according to prescribed legislation.

    Requirements

    Education

    • Grade 12

    Experience

    • One to Two years’ experience in a similar role or/an administrative role.

    Requirements

    • SA Citizen or valid work permit to work in South Africa
    • Willing to work overtime (if applicable)

    • Proficient on Microsoft Office skills (Excel, Word, PowerPoint) with a high level of PC literacy
