Executive Secretary at PEP

PURPOSE OF THE JOB 

• To coordinate the Planning department’s office activities and provide assistance to the Chief Executive: Planning and Planning Department.

Requirements

KEY RESPONSIBILITIES 

• Management of senior leader’s calendars 
• General office management
• Maintain record of all IT and office equipment
• Coordinating meeting schedules
• Office reception and screening of calls
• Administration of monthly reports
• Planning and organizing functions and meetings
• Building presentations
• Making travel and accommodation arrangements
• Processing of payments of invoices for the Planning department on SAP
• Responding to written communication
• Ad hoc tasks

JOB INCUMBENT REQUIREMENTS

• Grade 12
• Secretarial / Office coordinator Diploma
• 5 years experience as secretary to senior management / executive. 
• Retail experience will be an advantage
• Experience with travel arrangements both domestic and international. 
• PC literacy (MS Office / Google Suite)
• Knowledge and understanding of event coordination
• Strong service orientation
