Warehouse Controller - Pretoria West at RCL Foods

Job Description    
Our Talent Team is looking for an efficient Warehouse Controller with great interpersonal skills to join our Baking team based in Pretoria West.

The individual is required manage the warehouse stock integrity. Ensure effective internal distribution and replenishment.

Minimum Requirements    

• National Diploma in Warehouse/Logistics Management.
• 3 years’ experience in a warehouse environment
• SAP/Syspro knowledge.
• Knowledge of Ms Office
• Sound knowledge of warehousing, distribution and planning.
• Warehouse based business processes and practices
• Warehouse methodologies and principles

Duties & Responsibilities 

• Operational Warehouse Management
• Control operational deliverables, and expectations, and coordinate progress with direct line manager.
• Approve and oversee the execution of all relevant warehouse documentation and ensure compliance with all audit requirements including ISO.
• Ensure that all products are received and stored timeously and in accordance with Group policy.
• Provide direction to warehouse team on a daily basis including overseeing the assignment of individual responsibilities, tasks and technical functions.
• Maintain team focus on the business objectives in order to drive success.
• Identify and resolve issues and conflicts within and between various operational teams and team members within span of control.
• Conduct daily checks on all facilities, storage areas and equipment within area of responsibility, ensure compliance to all mechanical, electrical, safety and hazard standards and raise any areas of non-conformances for action.
• Monitor and ensure optimum stock rotation practices are applied across area of responsibility.
• Carry out daily system warehouse checks and action any reported defaults.
• Ensure compliance to relevant hygiene standards.
• Conduct regular safety checks and ensure maintenance is conducted on all lifting and other equipment.
• Distribute workload fairly amongst various loading points.
• Inbound Control
• Ensure the effective control of the inbound process, e.g. quality checks, driving solid put away strategies, compliance to system movement requirements, etc.
• Activate internal material movement, incorporating placing the order; picking the product and moving it to truck for despatch.
• Control First Expiry First Out management through the inbound and outbound movements.
• Outbound Control
• Control the functions of outbound, ensuring the correct products are despatched promptly out to the customer.
• Ensure that all orders are leaving the warehouse correctly packed and damage free.
• Ensure that all invoicing is completed accurately and make necessary corrections where required.
• Facilitate the process of loading goods onto trucks and where applicable ensure they are sealed for transport to the customers.
• Track outbound customer service failure trends related to Logistics, establish root causes and take the appropriate corrective action, e.g. damages, late dispatches, incorrect loading, etc.
• Stock Control
• Ensure stock is in the right location by completing cyclic counts on a daily basis.
• Control damages on inbound/outbound and track trends.
• Proactively manage stock age, slow moving and obsolete stock across all stock holding points and make recommendations to clear stock for the categories being managed.
• Monitor shelf life to ensure staff are doing proper stock rotation using the FEFO (First Expiry, First Out) system.
• Warehouse Maintenance
• Ensure the warehouse is kept clean by inspecting the various areas.
• Ensure the appropriate physical segregation and labelling of damaged goods
• Check that lighting is adequate, doors open and close easily amongst other specifics that impact productivity.
• Report areas/issues in need of attention to the respective Maintenance Manager.
• Ensure that all bin allocations are clear of any obstruction.
• Ensure all forklifts are in good working order.
• Security Control
• Ensure that all stocks leaving the warehouse premises do so with accurate documentation
• Instruct security to check staff when they leave or enter the premises.
• Ensure that all trucks leaving the warehouse are correctly documented.
• Ensure adherence to all relevant security protocols
• Standards/Compliance Adherence
• Ensure goods are delivered in the appropriate condition and that there is no damage or discrepancy.
• Verify that a new load always enters a clean and well-maintained vehicle, highlighting the significance of quality.

Team Supervision

• Train staff on the Standard Operating Procedures that serve to guide their approach to work. Ensure that staff understand the procedures and sign off the relevant documents.
• Implement the Standard Operating Procedures through consistent application and communication.
• Take responsibility for ensuring that the team workload is fairly distributed and, if team members are away, allocate tasks between the remainder of the team to ensure all activities are completed.
• Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.

Pick Environments (where applicable)

• Review stock levels in picking bins and replenish to required levels to fulfil customer orders.
• Optimise the allocation of picking slots to meet sale patterns.

Depots (responsibilities only applicable to depots)

• Ensure that the warehouse is locked and secure after hours.
• Write Off Finished Goods when required (for Mixback, damages etc.).
• Resolve issues regarding damaged stock or shortage thereof.
• Reconcile invoice details with requirements.
• Report any incident that may have occurred involving drivers that in turn impacts on customers.
• Schedule customer deliveries according to the time window process.
• Verify orders and liaise with customers on the point of receiving by making use of the SAP System.
• Manage and maintain the fleet and the transport team on site to ensure that productivity and performance are maximized at lowest cost
