    Talent Coordinator

    Description

    The role:

    Summary:

    The Talent Coordinator will support the Talent Management team in ensuring that the entire employee experience is well-executed with attention to detail and care. The employee lifecycle – from onboarding to offboarding – requires administrative and coordination elements to ensure that team members’ interactions with Talent are memorable and that requests are completed with diligence. The responsibilities will entail adherence to regulatory standards, maintenance of employee records and supporting the overall functioning of the Talent department. This role requires someone who is attentive to detail while ensuring that the department executes their promise to team members with accuracy, while creating a memorable employee experience in the process.

     

    Day-to-day responsibilities include:

    Contracting, Compliance and Reporting (50%)

    • Draft offer letters, amendment letters and contract extensions;

    • Create employee folders and maintain employee records;

    • Monitor validity period of certifications for Faculty team members;

    • Monitor validity and applications of visa documents;

    • Monitor and coordinate the termination period and/or extension of fixed-term contractors;

    • Maintain a register of all employee- and contract-types, such as permanent, part-time and fixed-term employees as well as independent contractors;

    • Assist with data capturing and compilation of documents for annual audits;

    • Capture and report on Talent’s reporting metrics to enable data-driven decision-making.

    Employee Experience (50%)

    • Ensure all new employees complete onboarding process and sign appropriate documents for filing;

    • Coordinate the offboarding process by facilitating the exit survey and interview process;

    • Coordinate mandatory employee background checks and training certifications with vendors;

    • Compile and send warning and notice letters to employees;

    • Compile and coordinate the bi-weekly Talent newsletter;

    • Coordinate team events.

    Requirements

    • Minimum 2 years’ experience in an HR administration, coordination, or employee experience role;

    • A tertiary qualification in Human Resources, Industrial/Organisational Psychology or Business Management is beneficial, but not required;

    • Experience with data capturing;

    • Experience in working with highly sensitive information;

    • Demonstrable skills in time management, prioritisation and attention to detail.
