    Senior Administrator

    Senior Administrator

    • Our client in the construction industry is seeking an experienced and detail-oriented Senior Administrator to join their team in Edenvale, Johannesburg. The ideal candidate will have a minimum of 5 years of experience in a similar administrative role. The Senior Administrator will play a key role in supporting the company's operations, ensuring that all administrative functions are carried out efficiently and effectively.

    Minimum Requirements:

    • Matric.
    • Own vehicle and valid Driver’s License.
    • Proficiency in Microsoft Word, Excel, and Outlook (Intermediate Level).
    • Familiarity with BuildSmart, Infinity or ERS Bio.
    • 5 years working experience as an Administrator.

     Roles and Responsibilities:
    Administration:

    • Manage creditors, including processing and reconciling credit card statements.
    • Issue purchase orders and ensure accurate documentation.
    • Add supplier bills to QuickBooks and follow up on any outstanding documentation.
    • Negotiate better prices and payment terms with suppliers.
    • Facilitate and manage credit applications with suppliers.

    Payment Management:

    • Reconcile supplier account statements and manage the addition of supplier bills in QuickBooks.
    • Oversee cash withdrawal and reimbursement processes, ensuring accuracy before processing payments.
    • Ensure all invoices and reimbursements are correct and that payment terms are met.
    • Prepare and submit payment sheets to the Office Manager for processing, adhering to deadlines.
    • Manage petty cash, ensuring monthly reconciliation with dual sign-off.

    Construction-Related:

    • Coordinate site set-up arrangements and send drawings for printing.
    • Obtain all required client documentation as listed on Infinity.
    • Assist with NHBRC company registration and site enrolment.

    Fleet Management:

    • Distribute vehicle check sheets to drivers and arrange vehicle services/roadworthy tests.
    • Procure maintenance items, complete license renewal documentation, and handle insurance claims.
    • Monitor vehicle tracking systems and compile monthly fleet reports.

    Human Resources:

    • Manage leave applications and trackers.
    • Process casual labour and fortnight wages for payment.
    • Monitor the ERS Bio clock-in system, checking daily for errors.

    General Administration:

    • Respond to emails and calls promptly, managing queries and deadlines efficiently.
    • Address IT queries and manage company communication media.
    • Handle the ordering of printed media (e.g., brochures, business cards) and office supplies.
    • Organise expos, events, and open days as needed.
    • Ensure the timely ordering of stationery, health and safety supplies, and other office essentials.
