    Senior PMO Co-ordinator

    Job description


    Finance PMO requires results driven, highly efficient individual to provide Central PMO support across all Finance Projects. Ability to work with multiple sets of information, consolidate information from various sources required. Proven track record working in a Project Management Office coordinating a wide variety of projects is essential. Experience managing contracts, external vendors and understanding project needs is required.
    The Programme Coordinator will assist in the definition and maintenance of the standards of project management and process within the Finance Change Team. Strive to standardise and introduce economies of repetition in the execution of projects. Act as the source of documentation, guidance and metrics on the practice of project management and execution.
    Support the successful delivery of programs undertaken by the programme through effective facilitation, tracking and reporting.
    Assist with advising managers and teams on the best use of project management disciplines and approaches and act as the first point of contact for any program management queries. Assist in the management of key initiatives and programs supporting the strategic objectives of the organization

    Accountability: Programme Support and Advisory Activities

    • Assist and advise programme/project managers and other members of the Finance Change community to the best use of project management methodologies, tools and suggest different approaches within a fast-paced, high tech environment
    • Develop positive relationships with managers and staff to enable the Finance PMO to provide support including facilitation, tracking and reporting on projects, and training
    • Share lessons learned and best practices across programs, building relationships with stakeholders and brokering relationships at all levels
    • Understand the deliverables of internal and external programme customers and contribute to success through cooperative and collegial processes
    • Develop and maintain a basic understanding of policies and procedures as relevant to change processes
    • Assist with the establishment of stakeholder management plan and implementation of the communication framework to facilitate communication between programme/project stakeholders
    • Assist Programme Manager with meeting setups, liaising with senior executives and their PA’s
    • Maintain Finance Change book of work


    Accountability: Programme Office Support Activities

    • Act as a reference point for PMO queries and information and an advocate for best practices in project management
    • Maintain processes to ensure project management documentation, reports and plans are relevant, accurate and complete
    • Track and report on programme performance, providing a real-time, comprehensive, and prioritized view of all projects
    • Provide assistance to maintain and update the project management framework and disciplines necessary to support the Finance PMO
    • Assist in managing enterprise level resource allocation, including adjustments based on emerging business or technical opportunities and challenges
    • Assist with establishing Finance PMO stakeholder management plan and implementation of the communication framework
    • Setup and Minute all relevant PMO governance meetings.
    • Follow up with Project Managers so that the monthly Finance PMO reports are produced, distributed and stored digitally on time
    • Support reporting and review of project finances


    Accountability: Quality Assurance & Technical Support

    • Check that all Gated Reviews milestones and/or deliverables have auditable, completed items
    • Assist with setting up SharePoint and develop and maintain SharePoint and other relevant electronic systems
    • Provide technical assistance to Project Managers on using Microsoft Project
    • Assist with facilitation sessions – setting up, running and documenting.
    • Quality check the project schedules and conduct remediation actions with Project Managers
    • Quality check the project dashboards and give feedback to Project Managers and Administrators


    Accountability: People Development

    Coach and Mentor project administrators
    Provide on the job training to project administrators on Schedule Development, Dashboard Completion and Minute Preparation

    Education and Experience Required

    Relevant tertiary qualification preferred. Project management certification e.g. PMP, CAPM, PRINCE 2 preferred.
    5 years’ experience in Project management environment, with experience managing contracts, external vendors and understanding project needs

    Knowledge & Skills:

    • Proven PMO/Project Analyst or Coordinator experience and knowledge of project management and understanding of the principles and frameworks of successful project management from a support perspective
    • Proven experience in providing service to internal stakeholders to achieve successful project outcomes
    • Understanding of project delivery and acceptance processes within a fast-paced business environment
    • Excellent oral and written communication skills as well as excellent presentation skills with ability to conduct presentations comfortably to large groups
    • Strong relationship building and interpersonal skills
    • Experienced user of MS Project and MS Office toolset (Word, Excel and PowerPoint)
