    Financial Manager - VKB Agriculture, Head Office Reitz

    Job Description

    The Financial Manager: VKB Agriculture will be responsible for the overall management of the division’s financial function, projects, budgets as well as the compliance of the division.

    Requirements

    • Relevant BCom/ BAcc Degree in Accounting
    • Qualified CA (Chartered Accountant) will serve as recommendation
    • Applicable experience in a fast-moving environment
    • Previous experience within an agricultural company will serve as recommendation
    • Proficient in the MS Office package with the ability to work with Excel on an advanced level
    • Proficient in Caseware working papers
    • Knowledge of Microsoft Navision/Business Central will serve as recommendation

    Duties and Responsibilities

    • Compilation of annual financial statements
    • Compilation of monthly management financial statements
    • Preparation and management of annual budget
    • Overall management of the treasurer function within the Division
    • Ensure that financial reporting throughout the VKB Landbou Division is standardised
    • Ensure that all the relevant financial departments comply with legislation and VKBs Policies and Procedures

    • Design and implement uniform controls and procedures

    The Trader's Assistant will be responsible for the management of Free State Oil's Trader's contracts and administration to ensure compliance and accuracy.

    Requirements

    • Grade 12/ NQF4

    Duties and Responsibilities              

    • Monitor and manage expenses.                
    • Post daily Mark to Market, Initial Margin & Booking Fee journals.                             
    • Monitor and manage expenses related to trading that includes Brokerage Fees and Variation Margin.
    • Comply to VKB’s Risk Management policy.                          
    • Continuously monitor and report on the progress and availability of stock on contracts.  
    • Verify the accreditation process to ensure FICA documents of all clients and suppliers are in place before the transaction takes place.
    • Reconciliate of Purchase Orders, loading sheets, Raw Materials and Finished Goods
    • Review external load sheets to ensure correctness.
    • Ensure correctness of reconciliations and timeous distribution to the relevant personnel.
    • Review the Hedge- & Sales Admin orders and report deviations from normal business practice to the Financial Manager.
    • Report recon items on stock reconciliations to ensure that they are resolved timeously.
    • Continuous liaison with internal departments with regards to relevant transactions.

    Job Description

    Responsible for performing all clerical tasks related to Dispatch/ Warehousing administration activities, as well as the capturing of all dispatch information onto the required reports in alignment with predefined work objectives (as per agreed standard operating procedures). 

    Requirements

    • Grade 12 / NQF Level 4 Equivalent.
    • At least 3 years’ experience in Warehousing/ Distribution environment.
    • Diploma in Logistics/ Supply Chain Management will be an advantage.

    Duties and Responsibilities

    • Document Control – compile, edit, record, file and capture documents.
    • Ensure that all CHEP pallets received and issued are captured daily.
    • Conduct spot-checks on loads picked and loaded to ensure accuracy.
    • Liaise and correspond with the Sales Dept. when and where needed.
    • Obtain Production Plan from Operations Administration.
    • Create orders, fill in loading books, CHEP slips and other Dispatch documentation.
    • Place orders on the board and confirm orders according to route planning.
    • Handle the Dispatch team queries related to orders placed.
    • Coordinate changeovers in admin documentation, outstanding orders and delivery information when and where needed.
    • Ensure correct data capturing and updating of information on excel and SharePoint.
    • Ensure all Reports are submitted on time.
    • Work out the fresh production plan as per order received.
    • Ensure that quantity balance with the orders.
    • Assist with truck loading as per SOP to ensure 100% loading efficiency.
    • Record loading information on relevant computer sheets & printed copies when and where needed.
    • Complete all documentation accurately and in full - Range: Documents include, but are not limited to:
    1. Customer Service Sheet
    2. Production Planning – Fresh
    3. Loading Information Papers
    4. CHEP Control
    • Capture all documentation accurately and on time.
    • Ensure that all credits are processed accurately in terms of the SOP.
    • Any other duties as may be required by management.

    Responsible for operating the gyro machine according to standard operating procedures.

    Requirements

    • Grade 12 or NQF Level 4 Equivalent.
    • N2 Mechanical engineering.
    • 1 to 2 years' proven experience as a gyro operator within the FMCG environment will be advantageous.
    • A willingness to work overtime, shifts and weekends when required.

    Duties and Responsibilities

    • To control, organise the gyros and conveyors. 
    • Ensuring that gyros are always operational, and inspections are done according to Health and safety standard procedure.
    • Ensuring that inspection is done as per job cards issued.
    • To ensure that gyros and conveyors are washed.
    • Ensuring that damaged, broken machines and equipment are repaired.
    • Perform maintenance on plant equipment on weekends as per shift roster.
    • Do breakdowns as agreed on the whole plant where needed, with the correct tools and spares at hand.
    • Perform any other duties as may be required by management.

    • Sending and receiving of load numbers and instructions to invoice external products.
    • Report daily weighbridge information internal and external to contract administrator.
    • Request weighbridge documents from Suppliers and allocate to bookings report.
    • Daily Reporting of Contract Progress.
    • Receive external load quantities on purchase orders and send through to relevant parties for invoicing.
    • Manage contract allocations between Free State Oil- and client’s loading sheets to assure correct shipping and invoicing.
    • Assist Traders with weekly delivery planning and allocation.
    • Accurately recon and balance external loads on a daily basis.
    • Accurately create and check purchase orders on VKBs internal system.
    • Recon between dispatch mass and final mass off-loaded on a weekly basis.
