    Export Controller (Air & Road Freight)

    Qualifications & Experience

    • Matric/Grade 12 essential
    • Relevant tertiary qualification essential will be viewed highly favourable
    • Minimum of 3-5 years experience in a full function Export Controller role
    • Experience in Roadfreight, Seafreight and Airfreight Exports essential

    Key Responsibilities of the role

    • Liaising with clients regarding collection of cargo including arranging specialised services if required      
    • Coordination and execution of Export shipments (start to finish - All modes of Transport).
    • Keeping clients well informed on the progress of their shipment (Customer care).
    • Collaborating with other departments to optimise our service to our clients.
    • Assist business with possible new or existing sales leads for business growth.
    • Manage Risk and ensure ongoing Compliance. 

    Main activities of the role

    • Liaising with clients regarding collection of cargo including arranging specialised services if required.
    • Liasing with the BIL warehouse regarding the checking in of cargo, screening and correct labelling of shipments.
    • Ensuring that all relevant documentation is received and that documents are in good order.
    • Booking of flights, vessels and vehicles with road hauliers.
    • Liasing with the Customs department regarding the customs clearance of the shipments.
    • Providing the warehouse or transporter with the correct documents to present the cargo to the airline, shipping line or road haulier.
    • Constant updating of client on shipment status.
    • Providing destination with pre alert documents.
    • Preparing invoices for payments (coding of invoices).
    • Updating all the milestones to ensure our tracking system is always updated.
    • Other general admnistrative functions.
    • Log all claims timeously on the app & Log all incidents on Smartsure tool.

    Skills & Competencies

    Knowledge

    • Customs documents, rules and regulations  
    • Knowledge of Air, Sea and Road Exports processes.
    • Knowledge of inducstry safety regulations.
    • Knowledge of documentary letters of credit (LCs).
    • Good knowledge and understanding of Incoterms.
    •  Knowledge of exchange control regulations.
    •  Knowledge of dangerous goods handling.
    •  Good geographical knowledge  
    •  Knowledge on RIB & RIT movements ( Release in Bond; Realease in Transit).

    Assistant Forwarding Controller (FTC)

    Qualifications:

    •  Matric
    • Tertiary education will be advantegeous 

    Experience:

    • At least 2 years experience in Forwarding/ Clearing.  A sound knowledge of seafreight, import procedures and documentation.
    • Have thorough working knowledge of various ocean and house bills of lading and respective landside charges.

    Key Responsibilities

    • To ensure ongoing receipt of indents and capturing of all indents on Cargo Wise and monitoring of indents via e-mail / Cargo-Wise
    • Check and follow through on RCG process 
    • Monitor the document flow ,create file and load relevant documents onto CW                                
    • Ensure there is close liaison  and regular follow up with co-loaders, shipping lines, and unpack depots to obtain SOB's , charges, etc and arrange for groupage container unpacks
    • Track all shipments and load tracking to CW, ensure the client and Controllers are kept up to date on any abnormalties
    • Assist on correcting and updating order management on CW
    • Ensure all necessary copy documents, SOB details, etc are handed to the Sea Import Department and outside clearing agent timeously so as not to attract any storage charges
    • Ensure all necessary data is captured correctly and timeously on Cargo Wise and invoices are processed and handed  to Import department  and outside agent timeously
    • Ensure shipment / Consols are pre-captured at all times and ANF's are sent out no later thank 5 working days prior to vessels arrival 
    • Check agent invoices, credit notes and carrier invoices are in line with agreements. Load invoices onto CW in otder for agent /carrier to be paid 
    • Monitor and ensure detailed Forex exposure advised to Head Office daily
    • Ensure all charges/freight rates are checked and are correct in items of customers contractual agreements.
    • Where discrepancies occur, ensure follow mechanism in place to obtain the necessary credit 
    • Prepare statement of charges                                
    • Ensure pro-forma invoices are completed prior to eta
    • Ability to handle the entire administrative de-group function for all documents received from Over seas agent for the allocated lanes 
    • Assist other Controllers where required based urgency, backlogs and staff shortages
    • FQMS queries
    • Rejections from Entries

    • Well developed computer skills  (MS Office)
    • Possess good oral and written communication skills and the ability to interface at all levels
    • Ability to work to deadlines, under pressure and a after hours  as the need arises

    Human Resources Officer

    Qualifications & Experience

    • Secondary Education: Matric (Grade 12)
    • Tertiary Education: Minimum B Degree or N Diploma in Industrial Psychology/Human Resource Management.

    Experience: 

    • Minimum of 5 - 7 years full generalist HR related experience (Full life cycle of Human Resources) in a similar environment at a junior/mid managerial level and be able to demonstrate superior Human Capital specialist expertise and junior managerial ability.
    • A proven track record and experience in managing labour relations in similar environment.
    • Working experience in SAGE 300 People management system, essential.

    Key Responsibilities

    Recruitment

    • Responsible for the overall recruitment and selection of employees.
    • Control the Pre-authorization process and ensure the accuracy thereof.
    • Advertise vacancies on the BIL Careers page/Neptune system.
    • Screen applicants for suitability.
    • Prepare shortlist of suitable candidates subsequent to communicating with Manager.
    • Set up the interview with the shortlisted candidates subsequent to communicating with Manager.
    • Conduct interviews in conjunction with the relevant Manager.
    • Make recommendations to Manager regarding the most suitable candidate for the vacancy.
    • Perform the necessary credit and criminal checks for all potential new employees.
    • Compile Contracts of Employment and starter packs for new appointments.
    • Compliance documentation is in place

    Payroll Administration

    • Capture all new employees on HR SAGE 300 People system.
    • Ensure that employee information is captured on the HR SAGE People system.
    • Ensure that employee documentation is uploaded onto the HR SAGE People system.
    • Responsible for the professional maintenance of the HR SAGE People system.
    • Ensure that payroll deadlines and document submissions are adhered to on a monthly basis.

    Human Resources Administration

    • Open files for new employees and ensure that all required documentation is on the file.
    • Prepare promotion, increase, job title and grade change letters for employees and ensure that the necessary documentation surrounding this is completed and signed.
    • Assist with the completion of the Company's Employment Equity requirements as and when required.
    • Provide HR Reports as and when requested or required to do so.
    • Check fixed term contracts of employment on a monthly basis and advise HR and Facility Manager of findings.
    • Attend to general queries in a timeous manner.
    • Attend content of exit interviews prior to filing. Bring problem areas to attention of the HR Manager.
    • Play an active role in the Employment Equity and training Committee.
    • Facilitate the transfer of staff by ensuring that the transfer letters are done and quotes are evaluated.
    • Administration of staff and study loans.

    Retirement

    • Ensure that all documentation is filed timeously. 
    • Ensure that all documentation pertaining to any termination is completed with immediate effect upon termination and sent to payroll.
    • Ensure that a separate file is maintained for terminated employees and withdrawals from the Bidcorp Fund.
    • Maintaining knowledge with regards to the Bidcorp fund and bring any and all changes to the attention of the HR Manager.
    • Ensure that HR Manager is kept abreast of all new applications and the progress therein. Send monthly reports to Manager for perusal.

    Medical Aid

    • Ensure that all relevant employees are registered with the Medical Aid.
    • Ensure that Medical Aid documents is sent to relevant employees upon appointment.
    • Ensure that Payroll Department are aware of any new members of Medical Aid.
    • Bring any problem areas to the attention of Manager.

    Industrial Relations

    • Provide an advisory service to staff & Management in matters pertaining to Industrial Relations, with specific reference to disciplinary hearings.
    • Attends disciplinary hearings, appeal hearings and grievances.
    • Provides guidance, direction & support during disciplinary hearings, appeal hearings & grievances.
    • Ensures that both Management and staff adheres to the IR Policy.
    • Assist and advise on charges for disciplinary enquiries.
    • Maintain knowledge base with regards to changes in legislation, new developments & case law.
    • Represent and act on behalf of the company at the Council for Conciliation, Mediation and Arbitration or Bargaining Council on matters which require mediation or arbitration.

     General

    • Communicate effectively with Management and staff, both verbally and in writing.
    • Maintain high level of professionalism within Departments.
    • Compare HR policies and procedures as and when required.
    • Maintain an excellent understanding of all HR policies and procedures.
