    Deputy Director Operations

    Background 

    • Oversight and management functions of the Cooperative Collaboration / Consortium Agreement. The HIV VISTA Deputy Director: Operations, together with the Deputy Director: Technical, will: Co-manage the responsibilities of the Program Director when the Program Director is absent or unable to perform her/his duties and responsibilities; Manage and implement the program delivery, offer strategic guidance and provide technical assistance in the areas of management, co-ordination leadership, governance and grants and systems support and compliance; Facilitate collaboration with program collaborative stakeholders, locally and in the International African context; Provide strategic leadership to HIV VISTA core management team including the functional program management and co-ordination unit and internal   Communications, Information & Knowledge Management, Finance, Grants, Compliance and Human Resources stakeholders, Advocacy and Community  ;Oversee and implement systems of collaboration within the collaboration: Data sharing, Technical skills transfer, Biobanking, Career Development, Relationship building and Partnership Development and MEL, Advocacy and Community; Provide high level Regulatory oversight to various early phase Pre-clinical research projects (Immunogen design, adjuvant evaluation, basic sciences and animal models), Early phase Clinical Research projects (Advanced pre-clinical immunogen / adjuvants).Oversee the advancement of human collaborator career development driving capacity development to capacity utilization; Instill USAID Equity, Diversity and Inclusion Policies within the collaboration and the research projects; Ensure and maintain a state of audit preparedness internally, within the collaboration and within partnerships; Oversee all administartive functions related to HIV Vista within the collaborative partners.

    Supervisory Responsibility

    • Administrative functions of collaborators, Program Manager, Project Co-ordinator and internal systems support: Finance, Grants and Contracts, Human Resources, Information and Knowledge Management, Community, Advocacy and Stakeholder Engagement,  Media and Communications, and Regulatory oversight.

    Requirements

    • At a minimum, the Deputy Director: Operations must have at least a Masters’ degree in health sciences or a related advanced degree.  Qualification and experience in business administration will be advantageous.
    • Experience in designing and/or implementing research projects.
    • Demonstrated skills as a manager or deputy director of a similar program, 10 years of combined relevant work experience, and strong written and oral English Language skills.
    • Leadership qualities, depth and breadth of operational expertise and experience, strong management experience, and written and oral communication and interpersonal skills to fulfill the program description's diverse technical and managerial requirements.

    Occupational Health Nurse - Parktown

    Occupational Health Nurse

    • The assessment of illnesses and injuries to ensure optimal functioning of occupational health care and primary health care services for Aurum Innova in accordance with Aurum Innova health policies and procedures and Occupational Health and Safety Act.

    Technical Work Responsibilities

    • Perform and follow-up of pre–placement, periodical, exit medical examinations complying with relevant legislation, environment job demands and physical ability to perform as per job specification.
    • Perform medical surveillance programmes by implementing periodical medicals, special medicals, biological monitoring and exit medical examination to ensure the health of employees during employment and on leaving the company to prevent unwarranted litigation.
    • Perform an Occupational Health Surveillance Programme for all the companies/department according to OREP.
    • Provide Primary Health Care, family planning, monitoring and referral of acute and chronic cases to relevant Health and Wellness functionaries outside the company.
    • Management of injuries on duty – verify the extent of injury or occupational disease and co-ordinate the necessary health services for the rehabilitation of the injured employee in their return to work.

    Monitoring & Evaluation Manager

    Work Description

    • To ensure the management and implementation of strong Monitoring & Evaluation systems and procedures that allows tracking of program performance, flagging of gaps through regular monitoring of program implementation processes and outcomes.

    Technical Work Responsibilities

    Monitoring & Evaluation Manager is expected to work with the Aurum Project Team and other key consultants to implement the Fleming Fund Ghana Transition Grant through the following deliverables:

    • Work with project team to develop project Monitoring & Evaluation plan and oversee its effective and efficient implementation; track project monitoring activities to ensure they are being implemented according to schedule; provide timely reports and data summaries.
    • Work with program implementation teams to design and utilize effective project monitoring tools.
    • Train program implementation teams on the use of data collection tools and protocols.
    • Support with surveillance management system for tracking AMR data 
    • Develop monitoring schedule with Technical Advisor-Microbiologist and reports submitted per each monitoring activity.
    • Develop and submit project reports (Quarterly/Routine/Ad hoc) according to funder reporting schedule.
    • Listed items are not exhaustive and can be changed as deemed necessary.

    Work Output:

    Management of M&E Systems and Procedures

    Responsible for:

    • Participating in the design of the M&E Strategy, planning  and  implementation.
    • Participating in program implementation planning and review meetings together with relevant role players
    • Identify and assist with the development of M&E components for Aurum new projects/interventions (e.g. development of logic model/framework for new intervention projects
    • Assisting with the monitoring of key Aurum projects’ implementation fidelity (e.g. intervention coverage, quality and quantity as well as resource allocation
    • Identification of opportunities for M&E future funding & participate in the development of grant concept notes/proposals
    • Customizing core competency best practices in M&E
    • Accountable for implementing relevant approved M&E systems and SOP’s
    • Responsible for best practice learning writ-up and presentation where relevant in M&E.
    • Overseeing and assisting with the analysis of program data and work with senior management in the preparation of key reports for key Funders.

    Data Verification Management

    Responsible to ensure:

    • That all the relevant data for reporting preparations are delivered on time at M&E Department
    • Oversee and assists with the retrieving, filtering, analysis and reporting of the data.
    • Identification of gaps and Flagging of gaps
    • Submission of accurate feedback reports that presents identified and flagged gaps, trends, challenges, and achievements.
    • Follow up on reports submitted to ensure effective and timeous response to address identified challenges and gaps.
    • Coordinate the key reporting preparation and ensure quality timely reports:
    • PEPFAR quarterly report
    • PEPFAR annual report
    • Other reports as requested by Stakeholders.
    • Serve as key focal point for processing key queries around data and general M&E issues.
    • Accountable for best practice/audit correction implementation planning activities in general in M&E Department

    Human Capital Management

    • Oversees, coordinate and manages the M&E Department indirectly through planning, scheduling, evaluating and feedback.
    • Comply with all safety policies, practices, and procedures according to prescribed procedures and legislation.
    • Accountable for Training activities in M& E
    • Report all unsafe activities to Senior Management/Human Resources
    • Adhere and maintain Decision making authority as allocated to the position.
    • Management of management M&E team to ensure deadlines are met, funder invoices are accurate and overseeing overall output from the team.
    • Participate in proactive team efforts to achieve departmental and company goals.
    • Provide leadership to others through example and sharing of knowledge/skill.

    Liaise with External and Internal Customers

    • Coordinate, collaborate and liaise with all Internal and external Customers towards the achievement of organizational goals.
    • Liaise with Data Managers and Operations Managers daily to ensure the timeous delivery of data for reporting preparation.
    • Attend M&E Stakeholder meetings to ensure continuous development and learning.

    Requirements

    Qualification

    • Applicable Master's degree

    Work Experience:

    • 4 to 10 years related experience and/or training or equivalent combination of education and experience.
    • At least 2 years’ experience in working with donor funded projects would be desirable.
    • Experience and knowledge of monitoring and evaluation tools
    • Experience and knowledge of project management processes

    Other Skills

    • Excellent technical writing abilities.
    • Fluent in Microsoft suite including higher level data visualization skills.
    • Detail oriented, with good time management skills.
    • Ability to work effectively and harmoniously with people representing a wide range of personal and organizational cultures.
