    OHS - Officer - Rusternburg

    Duties & Responsibilities    

    • Rationalised, compliant and contracted subcontractor database
    • Build and maintain a site-based database of Suppliers, whilst identifying alternative suppliers, thereby ensuring continuity for both Tsebo and the Client
    • Ensure all suppliers legal documentation: Letters of Good Standing; 37.2; Site personnel information is captured and current.
    • Changes to be noted and communicated to Client and Tsebo Management Team.
    • Identify alternate service providers within the industry and setup meetings with on-site Operational Managers for evaluation.

    Customer focus

    • Client and internal Operational Team deadlines and turnaround times for various processes are achieved. 
    •  Work with on-site team to develop and maintain a Client focused attitude toward activities
    • Interact with Client to provide and process information in response to enquiries, concerns and requests about services
    • Work with processes and procedures in such a way that operational efficiencies and performance are enhanced
    • Attend to and resolve all client queries timeously or escalate when necessar

    Administrative and other support to the Procurement function to maximise productivity

    •  Ensure that overall compliance of site operations is in line with contractual requirements, legal requirements, regulations, 
    • standards and organisational requirements.
    • Variation/Change Control Notification Documentation: Ensure all variations (Change Management/Control) which affect the 
    • client/Tsebo agreement, on all service levels, are implemented and maintained in accordance with the contractual 
    • requirements.
    • Ensure mechanisms are in place for effective performance management and review of sub-contractors. Review Hard and Soft Service Level Agreements (SLA’s) with external service providers and Category Managers annually. Revise if necessary for inclusion into new SLA’s.  Report on, monitor, manage and coordinate actions relating to the Corrective Action process. 
    • Implementation of systems, processes, procedures and policies to effectively improve / implement HSE.
    • Drive standardisation of systems and processes at site level.
    • Provide administrative support to team members
    • Obtain supporting documentation from Suppliers to submit to Tsebo HQ Procurement for onboarding process.

    Reporting 

    • Prepare weekly/monthly reporting within set timeframes for submission to your Senior Facilities Manager as requested
    • Update, maintain and report all relevant records pertaining to service records/certification etc

    Compliance to all policies and processes 

     Adhere to the TFS’s Safety, Health, Environmental and Quality (SHEQ) Management System’s Policies & Procedures as 

    • applicable to this position.
    • Establish a Self-Audit Program to be used at site level to ensure compliance with the standards and any other applicable legal 
    • requirements.
    • Manage and lead all site (internal/external) compliance audits to drive desired compliance against the Contractual outputs.
    • Ensure staff are provided with the necessary mentoring and training on an ongoing basis to ensure competencies required on 
    • site are in place (Induction and site orientation, emergency preparedness training, toolbox talks, safe operating procedures 
    • and on the job training)
    •  Ensure all sub-contractors and critical suppliers used on site are provided with the necessary mentoring and training on an 
    • ongoing basis to ensure competencies required on site are in place (Induction and site orientation, emergency preparedness

    • Ensure that Operational Risks, Health and Safety Risks and Hazards and Environmental Risks are documented and reviewed

    • Implement, confirm, and manage, monitoring and measuring systems in place to track environmental performance.
    •  Report on and follow up on any Incidents / Accidents on site and ensure corrective actions implemented eliminate 
    • reoccurrence if required.
    • Monitor all legislation changes and update policies and procedures accordingly.
    • Work in a flexible way when the occasion arises so that tasks, which are not specifically covered in the job description, are 
    • undertaken

    Skills and Competencies    

    • Legal knowledge pertaining to statutory requirements relevant to the site (local & national).
    •  Knowledge and understanding of Risk Management relating to legislative requirements.
    •  Auditing and reporting skills
    •  Understanding and implementing requirements of ISO standards relating to Health and Safety, Environmental and Quality
    • Exceptional attention to detail

    Record keeping

    •  Strong planning, prioritising, organising and time management skills with the ability to multi-task effectively
    •  Ability to work independently as well as within a team to meet a singular goal or deadline
    •  Ability to communicate effectively at all levels with, Client, Tsebo management and sub-contractors

    Qualifications    

    • Minimum Grade 12
    • Relevant HSE Certification / Qualification.
    • Relevant ISO auditing accreditation / certification / qualification
    • Work/Skills Knowledge/Experience (career path that should ideally be followed before attaining this position)
    • Experience must be demonstrated in having held a similar position

    Maintenance Supervisor - Rusternburg

    Duties & Responsibilities    
    Sub-Contractors

    • Supervise on-site contractors and procedures, ensuring they provide service as per SLA agreement.

    Preventative Maintenance Programmes

    • Ensure that effective preventative maintenance programs are either in existence and operational or creates and implements programmes.
    • Where outside contractors are used, ensures that such contractors perform to the extent that is listed in the SLA’s and that they do all the work necessary to rectify the problem timeously and without needless expense.
    • Ensure that proper preventative maintenance schedules and equipment registers are maintained at the unit.

    Help Desk

    • Liaise daily with Help Desk for client requests that require following up.
    • Action open call list daily with the intention of resolving each call and set up call list meetings with line managers as required.
    • Liaison – Senior Facilities Manager / Electrical Engineer
    • Liaise daily with the Operations Executive / Senior Facilities Manager and the Engineer on site.

    Audits / Inspections

    • Carry out daily, weekly and monthly inspections on site to determine service delivery measured against SLAs.
    • Conduct a detailed maintenance audit at least once every month.
    • Carry out weekly / Monthly Inspections of all Artisan’s tools.  

    Meetings

    • Hold documented meetings with Service providers and management.
    • Attend the 07h00 meeting with the Maintenance Team every morning.
    • Attend meetings with client as and when required.
    • Attend operational / management meetings as required.

    Documentation

    • Service Manuals: Co-ordinate the compilation of service manuals for the unit equipment where these do not exist and maintains the accuracy of “As Installed” information (drawings, etc.).
    • Quality Standards: Ensure quality systems of the SLA are implemented and monitored on an ongoing basis. Ensure that you are familiar with the penalty regime of the SLA from the client and that of the contractor.
    • Variation Documentation: Ensure all variations (change management) which affect the SLA and TFS services are implemented in accordance with the contractual requirements
    • Document Library: Ensure that a document library is maintained and updated onsite in accordance with the SLA.
    • Integrated Management System: Assist with and monitor effective and ongoing successful "roll out" of the IMS.
    • Administration: Ensure that all administration and all other paperwork is kept up to date and on record. Be proactive and initiate new ideas and or procedures as and when necessary.

    Skills and Competencies    

    • Computer literate
    • Proven leadership ability;
    • Excellent interpersonal skills
    • Organizational skills
    • Valid driver’s license and own transport

    Qualifications    

    • Grade 12 (Std. 10)
    • Qualified Artisan–Electrical or Millwright. (N4 or equivalent).
    • An Engineering tertiary qualification will be an added advantage.
    • Minimum five (5) years industry experience
    • Minimum three (3) years Management experience in a similar environment

    Cleaning Supervisor - Gqeberha

    Duties & Responsibilities    
    Operations and Service Delivery:

    • Ensure work schedules/job cards are in place for each position and relevant to site.
    • Ensure consistently high service standards are maintained for all services in scope with regular inspections.
    • Ensure that staff are correctly and smartly dressed displaying a name badge.
    • Highlight to sites the importance of upholding the company image at all times.
    • Ensure that cleaning methodology are strictly adhered to in line with company policies, quality programmes and legislation.
    • Managing company assets by performing monthly spot checks on high value items.
    • When checking assets ensure that equipment is kept in a good condition and repaired and serviced when required. 
    • Do daily checks and follow-ups.
    • Report maintenance and safety concerns to the manager on a day to day bases.
    • Maintain personal health, hygiene and professional appearance.

    Communication:

    • Responding to management request timeously and providing necessary action required.
    • Responsible to regularly keep line management informed of pertinent issues relating to the unit

    Health and Safety:

    • Ensure that all OHS Act (Occupational Health and Safety) requirements are adhered to for site specific requirements in line with company policies, quality programmes and legislation.

    General:

    • To maintain a high standard of morale and motivation through good communication skills.
    • May be required to assist with any other duties that may be outside scope of responsibility.

    • Understand cleaning principles and knowledge of company policies and procedures.

    • Able to work long hours, after hours and some weekends.

    Qualifications    

    • Matric/Grade 12 or relevant experience.
