    Office Coordinator

    Work Description

    To manage and coordinate all administrative functions and staff-related activities within the Department as well as establish and maintain appropriate recording and reporting systems within the Department.

    Technical Work Responsibilities

    • Coordinate and execute office administration
    • Coordinate the planning of events
    • Coordinate financial and procurement activities, and related tasks
    • Coordinate the visitors programme
    • Liaise with external and internal stakeholders
    • Supervision of subordinates

    Duties:

    • Coordinate, collaborate and liaise with all internal and external stakeholders when necessary towards the achievement of Company goals
    • Provide support and assistance to all Company staff
    • Liaise with all relevant stakeholders to advertise and organise successful training events in the training and communications sub-divisions
    • Prioritise all administrative functions and their timely and accurate completion
    • Develop and implement appropriate administrative systems within the Company
    • Develop and implement appropriate recording and reporting systems with the Company
    • Develop, maintain and distribute the work calendar to all relevant stakeholders and Company personnel
    • Coordination of meetings, booking of boardrooms, taking of minutes and distribution of minutes
    • Draw reports on a weekly and monthly basis and when a special request is raised
    • Compilation, printing and distribution of communications, materials and tools
    • Liaise with ICT to confirm content on the intranet and internet are developed and maintained
    • Support management with administrative functions
    • Assist in organising events within the Company including administrative functions, communication and implementation
    • Coordinate all travel and related reimbursements for the Company and stakeholders 
    • Manage the petty cash of the Company
    • Oversee and coordinate all procurement and invoicing processes
    • Obtain and compare quotes for cost effectiveness
    • Familiar with Global Fund and PEPFAR/USAID/CDC procurement policies and regulations
    • Coordinate and supervise administrators in the Company directly and indirectly through planning, scheduling, evaluating and feedback
    • Oversee that appointed sub-ordinates are developed in the best administrative practices and the use of the intranet
    • Comply with all safety policies, practices and procedures according to prescribed legislation
    • Report all unsafe activities to Senior Management/Human Resources
    • Participate in proactive team efforts to achieve departmental and company goals

    Requirements

    SELECTION CRITERIA

    Education

    • Grade 12
    • Appropriate Post Matric Qualification

    Advantageous

    • Relevant Degree/Advanced Diploma in Communication or Business Administration
    • Diploma/Degree in Finance, Accounting or Bookkeeping

    Experience

    • 2 years’ experience in a Senior Administrator/Coordinator/Communications Officer position
    • 5 years’ administration experience
    • 2 years’ experience in managing people and/or projects

    Requirements

    • Understanding of HIV/Aids and TB
    • Valid Driver’s Licence
    • Own Vehicle
    • Advanced computer and software skills including electronic mail, record keeping, routine database activity, Word, EXCEL, PowerPoint etc.
    • Minimal overnight travel (up to 10%) by land and/or air
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals
    • Ability to write routine reports and correspondence

    Senior Programme Manager – Stakeholder Management (Parktown)

    Description
    The Aurum Institute is offering a great opportunity to suitably qualified and experienced staff to contribute towards our mission to improve the health of people and communities through innovation in Global Health Research and Systems. 

    We are focused on research, support and implementing integrated approaches to managing TB and HIVin our funded provinces. 

    Work Description:  

    Through various health systems strengthening projects, manage and focus on strategic stakeholder relationship building,  the provision of technical assistance and advisory to various Aurum and DOH programmes.Establish sound and manage  both  internal and external relationships not limited to Northwest province but cross cutting throughout the department of health spheres of government ( Sub-district, Districts, Province and National department of health.. The position is available to support the NW province. 

    • Leading and overseeing the planning and execution of complex programs, ensuring alignment with organizational goals and objectives. 
    • Introduction of new projects, and promote buy-in of the implementation of new innovative projects / programmes 
    • Developing and maintaining strong relationships with stakeholders, including the funders Department of health, Various PEPFAR and Non PEPFARfunded Implementing partners, and internal teams, to understand their needs and expectations. 

    Programme Delivery Responsibilities 

    • Identifying key stakeholders (both private and public), assessing their interests and influence, and devising strategies to effectively engage and manage their expectations throughout the programme lifecycle. 
    • Facilitating communication between different stakeholders, ensuring transparent and timely exchange of information. 
    • Assist DOH in coordination of key partners meetings and report writing. 
    • Collaborating and coordination with cross-functional teams from different Aurum business units to ensure programme success, addressing potential conflicts, and promoting a unified Provincial approach to achieve programme objectives. 
    • Manage and be accountable for all communications and working relationships with stakeholders ·  
    • Provide technical advice to national and provincial leads in the public sector on subjects relating to the the Aurum Programme/s 
    • Assist in monitoring the Care and treatment programme progress, identifying risks, early escalation to management, and implementing mitigation strategies to ensure successful outcome 
    • Defining and tracking key performance indicators (KPIs) to measure programme performance and communicating results to both internal and external key stakeholders. 
    • Assist DOH in preparing and delivering comprehensive reports and presentations to both internal and external senior management and stakeholders to update them on programme status and outcomes. 
    • Identifying opportunities for programme improvement and implementing continuous improvement initiatives in collaboration with Q units. 
    • Staying up to date with industry trends, best practices, and regulations related to the programme domain. 
    • In line with Aurum HR practices, manage the deployment and performance of the team delivering the Programme/s 
    • In line with Aurum Contracting practices, manage the deployment and performance of any sub-contractors. 
    • Lead and/or provide technical advice and assistance with the development, piloting and assessment of new Programme content §  
    • Ensure the documentation of all relevant learning materials, SOP’s and guidelines for implementing the Programmes. 
    • Ensure that the team is orientated and trained on relevant Programme content, and have access to and knowledge of relevant support materials § 
    • Lead and/or provide input towards the development of quality control measures to ensure team compliance with good practice. 
    • Keep track and monitor the renewal of the MOU/SLA with relevant stakeholders. 
    • Develop project plans aligned to the workplan deliverables of each grant requiring the Programme/s · 

    Requirements
    Education / Professional Membership 

    • Tertiary qualification in Health, Social Development or Education to NQF level 8 (Honours) 
    • Post-graduate qualification in Public Health and/or Management 

    Experience 

    • Minimum 15 years’ work experience in the health sector, of which at least 4 years were in the public sector or in work that supports this sector; and at least 4 years were in management. 
    • Experience in training, facilitation, mentoring and/or coaching an advantage. 

    Skills 

    • Good personal and computer skills including electronic mail, record keeping, data handling and analysis, word processing, spread sheets, graphics. 
    • Efficient in Microsoft Office 
    • Writing project plans, standard procedures, reports, papers etc 
    • Requirements

    Enrolled Nurse - Kimberley

    Work Description

    The Enrolled/Staff Nurses is responsible for providing on-site and hands on gaps analysis, QI coaching to TB focal staff and facility staff, analysis of TB Indicators as well as assist in the co-ordination and management of QI Projects within supported facilities within a District. They will have a dual function in providing direct service delivery within the TB program at CHC level to update data recording systems and linkage to care activities as specified by Quality Improvement Advisor and Program Manager for project.

    Technical Work Responsibilities

    • Liaise with Internal and External Customers/Stakeholders
    • Coordination and management of all QI Projects at supported facilities within a District
    • QI Site visit scheduling, coordination, and oversight
    • Generate innovative QI ideas for Mentors and Facilities
    • Collecting DHIS Data at a Sub-district level
    • QI record keeping
    • Ensure the management of TB patients efficiently according to DoH guidelines.
    • Improve quality standards for recording, reporting of TB data in the hospital.
    • Ensure patients who are diagnosed with TB in the hospital are registered.
    • Coordinate the down referral of patients diagnosed in the hospital and follow up to confirm that they reached the clinic and close contacts are traced.
    • Human capital management through supervision and monitor capturing of TB data in the information system by the data capturer.
    • Validate and strengthen collated TB data in the TB identification register for the hospital for reporting.
    • Coordinate TB activities in the hospital, in close collaboration with hospital management.
    • Support Quality Nurses to compile quarterly reports for SR program manager and district TB/HAST Manager
    • Work closely with information officers in CHC’s.
    • Promote the provision of treatment for latent TB infection (LTBI) in eligible patients.
    • Map their feeder clinics and create and maintain a data base.
    • Participate in district quarterly TB and data review meetings.
    • Provide and Coordinate TB specific training through coaching and mentoring based on the need.

    Requirements

    Education

    • Registered with SANC as an Enrolled Nurse/Staff Nurse

    Experience

    • At least three years’ experience working with TB/HIV program within public health care sector.

    Requirements

    • Registration with the South African Nursing Council as an Enrolled/Staff Nurse
    • SA Citizen or valid work permit to work in South Africa
    • Sound knowledge on TB/HIV data tools and systems
    • Basic computer skills in Microsoft Office packages
    • Valid driver’s license
    • Own car
    • Minimal/Moderate/Excessive overnight travel (up to 30%) by land or air if required
    • Willing to work overtime

     Advantageous

    • Qualification in TB and/or HIV management
