    Document Controller / Office Assistant - Modderfontein

    Job Description    

    • Collect and review all documents relating to processes, systems and policies
    • Store and manage documents and relevant attachments in stipulated format to ensure version control, visibility, availability and integrity
    • Continuously research on best practices in document standards and regulations
    • Archive documents as stipulated by regulations
    • Maintain and oversee the creation, development and storage of documents for AECI Engineering Standards and Site Services
    • Maintain the flow of work for both emergency requests and scheduled work
    • Systematically evaluate and lead efforts to ensure internal customer satisfaction in terms of documents and standards
    • Comply with governance and established policies, systems, procedures and  practices
    • Comply with Safety, Health and Environment standards
    • Support continual business improvement and change management

    Qualifications & Experience    

    • Diploma in relevant field / equivalent
    • 1 - 2 years’ work experience in an document control/office administration
    • Advanced computer literacy and experience in MS Word, Excel, Outlook, PowerPoint and Internet
    • Document Archive system knowledge
    • Administration skills
    • Intermediate MS Excel
    • Knowledge of SAP

    Job Description    

    • Provide efficient administrative support services to HC Specialist
    • Create Purchase Order numbers on Syspro for invoices for payments
    • Preparing high quality PowerPoint Presentations
    • Preparing packs for meetings
    • Super User for TravelIt
    • Arranging Flight bookings for the department
    • Load cost codes on the system
    • Unlock users when they system is locked or the forget their pass words
    • Modify trips for approval
    • Booking of appointments and boardrooms for meetings
    • Arranging of Human Capital functions
    • Ordering of stationary and office equipment
    • Assisting with Induction Plans for new joiners in HR
    • Arrange Long Service Awards Functions
    • Assist team with sorting out of PC, Telephones
    • Help Team Complete forms for cellphones and 3g when required
    • Handle the administrative role for employee invoices, agreements, signatures, board packs, minutes and reports etc.

    Qualifications & Experience    

    • Minimum of 3-year experience in similar position
    • Must have a high level of proficiency in MS Word, Excel and Power Point, especially in Power Point
    • Must be able to multi-task and meet strict deadlines
    • Must have previous HR Administration or Project Coordinator experience
    • HR related qualification will be an advantage
