    Vehicle Monitoring Coordinator

    Purpose of the Job

    • To monitor vehicles during delivery times, follow up on alarms and report all incidents on a daily basis.

    Key Responsibilities

    Branch Administrator

    Purpose of the Job

    • To ensure that all rental agreements have been debriefed daily, completed correctly, and sent to head office within specified timelines. To ensure that a general administration in the branch is managed. Ensure that fines are administered upon receipt, asset registers are maintained, fuel and e-tolls are up-to-date, and all deadlines are met.

    Key Responsibilities 

    Operational

    • Compile a Sequence Audit Report of rental agreements received with a report supplied from embrace, debriefed, and closed as soon as vehicles return, and submit it to the invoicing department within the relevant time frame
    • Ensure a register is kept of contracts issued to operations to control the sequence
    • Ensure that rental agreements are updated daily
    • Ensure that before doing cost estimates, all rental agreements are to be closed correctly by checking that all fields are correct with all the checks that are in place when closing off rental agreements
    • Compile a handover sheet stating the RA number, date of hire, customer, and contracts, and send it to invoicing only once the costing estimates have been processed, checked, and approved
    • Confirm the correct fuel recovered, the correct e-toll recovered, and all rental agreements for the month have been verified as billed once invoicing has rolled over
    • Resolve any queries relating to rental contracts, cost estimates, and debriefing
    • Ensure all RA’s and customer/company documentation are locked in the safe after office hours
    • Updating of fuel and e-tolls is to be done daily to ensure full recoveries on all rental agreements
    • Maintain the asset register for non-vehicle assets. This should be updated monthly by comparing it with the asset register from the Assets department
    • Immediately advise the Assets Department of any changes or discrepancies
    • Ensure that all assets are labelled with the relevant asset tag
    • Ensure that correct VMA’s are completed and filed for any assets transferred
    • Ensure asset verifications are conducted quarterly, annually, and within the required timelines

    Dispatch Supervisor (Nightshift)

    Purpose of the Job

    • Supervise the dispatch processes and staff working in the dispatch area to ensure that the required activities are carried out as per Value and customer requirements.

    Key Responsibilities 

    Process

    • Ensure that the Standard Operating Procedures are known, understood, trained on and maintained to ensure that the dispatch procedures are carried out correctly
    • Understand and know how to make use of the various systems in the business
    • Ensure effective planning of outbound stock is done daily as per the volumes to be dispatched
    • Ensure effective planning of staff requirements to manage volumes expected
    • Ensure that picking is planned correctly in order to meet volume requirements

    Inventory Controller

    Purpose of the Job

    • Carry out inventory procedures within an operation or as allocated in line with Value inventory procedures and customer inventory requirements. Ensure all reports are managed and maintained and inventory accuracy levels are maintained at all times.

    Key Responsibilities 

    General

    • Ensure that the Standard Operating Procedures relating to the management and control of inventory are known, understood and followed
    • Understand and know how to make use of the various systems in the business
    • Carry out inventory-related investigations and queries needing resolution and sustainable corrective, action and driving the required actions

    Purpose of the Job

    • Ensure that delivery trip sheets, POD and drivers are debriefed according to the Value Procedure. Reporting of driver incidents/accidents to Branch/Operations Manager. Report vehicle damages to the dedicated distribution manager.

    Dayshift Transport Supervisor

    Purpose of the Job

    • Manage and supervise the fleet and staff in a manner that meets the Branch objectives, maximises profits, reduces costs, and meets customer requirements. This also includes maintaining MHE equipment, fuel bowers, and Linehaul planning.

    Key Responsibilities

    Operational 

    • To ensure that vehicles are correctly allocated according to the load requirement sensible utilisation
    • Ensure drivers remain married to vehicles
    • Ensure the vehicles are dispatched on time as per dispatch cut-offs
    • Ensure vehicles are allocated as per specification
    • Ensure that route sheets are correct and submitted in accordance with the C-Track Procedure
    • Ensure that all keys are properly controlled and access to vehicles restricted
    • On departure of vehicles the following items are in place. Vehicle Key, Clawtainer, Checklist book, Trip sheet, Trolley, Straps, Chock Blocks, Load Bars, gate pass or Manifest, seal, lock and crew
    • Ensure that Return Procedure is in place; return inspection, the vehicle is cleaned, filled with diesel, parked and locked
    • Ensure pre-trip and post-trip vehicle inspections are carried out by the drivers to identify any electrical or mechanical defects that need to be actioned immediately
    • Ensure all correct care is taken regarding tracking and monitoring all vehicles on route. A route sheet of all vehicles out on the road should always be present
    • Ensure that bookings of faulty tracking units are made immediately with C-Track to be repaired asap
    • Vehicle breakdowns and accidents must be handled efficiently to prevent failed deliveries and stock losses
    • Ensure all breakdowns, incidents and accidents are reported immediately to superiors
    • Investigate all accidents and complete accident form and insurance forms. Accidents to be handled as per procedure – notification to Insurance within 24 hours
    • To ensure that the Vehicle Accident Steering Committee are held and that all relevant information is sent through to Value Insurance to obtain a claim number
    • Ensure the vehicle/s are sent for a quote, and these quotes are sent to the relevant parties immediately—no delays

    Tyre Maintenance Controller - Gqeberha

    Purpose of the Job

    • To take full control of the Tyre Bay functions, including driving to various sites to carry out routine tyre maintenance, including tyre breakdowns, tyre surveys, preventative tyre maintenance and ensuring all is maintained as per Value standards.

    Key Responsibilities 

    Stock 

    • Ensure Tyre stock is locked and secured at all times
    • Investigate and report discrepancies daily
    • Assist with monthly cycle counts
    • Ensure sufficient stock on hand.

    Tyre surveys 

    • Drive to sites where required
    • Prioritise vehicle tyre surveys and maintenance by working on the fleet list provided by your supervisor
    • Conduct daily tyre surveys on the Intersect tyre management software provided, use manual documentation when the system is offline
    • Ensure that accurate information is captured on tyre surveys IE, Brand numbers, wheel positions, tyre pressure, and tread depth readings
    • Ensure all vehicles are surveyed, and tyre pressures are maintained and corrected once a month
    • Ensure that spare wheels are also surveyed, and report back to the supervisor on missing spare wheels
    • Spray spare wheel rims with red paint for easy Identification of spare

    • Ensure all Value vehicle tyres are branded

    Tyres replacement

    • Identify and replace smooth tyres, punctured and damaged tyres as per SOP
    • Ensure that the tyre change slips are completed accurately and timelessly
    • Tyre change slips are to be actioned daily

    Breakdowns

    • Ensure that the breakdown support vehicle is loaded with the correct size and quantity of tyres needed for the said breakdown
    • Drive to the site and ensure breakdowns relating to tyres are attended to promptly
    • Ensure that breakdowns are handled with priority and urgency while still abiding by the regulations governed by our driving rules in South Africa
    • Ensure that the breakdown report and change slips for tyres removed and fitted are completed
    • Return damaged/punctured smooth tyres back to the depot and ensure the tyres and change slips are actioned accordingly

    Company equipment and assets

    • Keep tyre maintenance tablets locked away, in a safe place when not in use and at the end of your shift
    • Vehicle checklists must be conducted daily and submitted to your supervisor for filing
    • Ensure that Vehicles are parked and locked when not in use
    • Ensure vehicle keys are handed to your supervisor and locked away in a safe after every shift
    • Report all accidents and damages to your vehicle to your supervisor
    • Ensure that all tools and equipment are always in working order
    • Submit the tyre bay tool checklist weekly to your supervisor

    Site Supervisor - Gqeberha

    Purpose of the Job

    • The Site Supervisor represents Value Logistics on-site by efficiently managing the costs and fleet and making sure the customer receives the best possible service regarding deliveries.

    Key Responsibilities 

    Operational duties

    • Supervise and control staff attendance registers and absenteeism, ensuring that the optimal staff function is available on-site
    • Co-ordinate any site staff requirements with the Labour Broker and Key Account Manager
    • Ensure that site staff hours are correctly captured on Wage Keep
    • Co-ordinate, supervise and control all fuel-related processes in terms of bowser control, refuelling, fuel consumptions, EDC/Ned fleet Cards and reconciling of fuel usage schedules

    Purpose of the Job

    Key Responsibilities 

    • Read the job card/quotation to establish what work needs to be done
    • Check the vehicle against the job card/quotation and establish what parts are to be ordered

    • Assist with any other company requirements

     Minimum Requirements

    • Grade 12 (Matric)Matric (Grade 12)
    • Qualified Panel beater
    • Valid drivers license
    • Good communication skills
